Overview
In December 2015, CSU’s new Video Conferencing infrastructure
went live. The ‘any device, anywhere, anytime’ solution is more
reliable and accessible than ever and offers you a number of
options when accessing CSU’s conference services.
To ensure you receive the best conference experience possible,
please consider the following before joining a conference:
• the device you are using;
• the type of conference (e.g. audio or video) you are joining;
and
• your available internet connection speed

What’s Changed?
While some options have changed, others have stayed the same
including:

Admin Video Conferences (VCs) are just as they were in 2015 but you now
have additional options for joining a conference including:

Joining from your computer or personal device (tablets and smartphones) using a web
browser (Chrome is recommended) or mobile app
Joining via Skype for Business
Ability to be on or off campus to participate
You can still use the teleconference service as you did before by dialling
37555 (or 693 37555) and entering your conference ID to either start or join
a teleconference
Each staff member now has a Virtual Meeting Room (VMR) for personal VCs
Skype for Business has been introduced as the replacement for Microsoft
Office Communicator
Staff VMR Pin Numbers have been introduced

Conference Options
There are three (3) high level conference options available to you at
CSU:
• Admin VCs - used where there is a need for face-to face discussion
as well as connected on-campus rooms;
• Personal VCs – used where there are many individuals joining a
conference. Options include VMRs (preferred due to scalability and
accessibility options for staff and students) and Skype for Business;
and
• Teleconferences
Note - each conferencing option can be used in conjunction with screen
sharing software (e.g. Bridgit)

Admin Video Conferences
•
An Admin VC includes one or more on-campus VC enabled rooms
and is booked using Outlook 2013
•
You can connect to an Admin VC via web browser (Chrome is
preferred), Skype for Business (software or application), Pexip
Infinity Connect (software or mobile app) or telephone
•
Any number of internal and external (non-CSU) participants can join
an Admin VC using the methods mentioned
•
If you join the conference via mobile device or computer, you’ll need
a headset and web-cam so other participants can hear and see you

Personal Video Conferences - VMR
•
Every staff member has a personal VMR which can be accessed by
their phone extension or email prefix (e.g. [email protected]
or [email protected])
•
Your VMR can be used for both video and audio conferences and is
always available for you to use for scheduled or ad-hoc
conferences
•
Can be used for one-to-one conferences or one-to-many
•
Headset and web-cam required
•
VMRs are the preferred personal video conferencing solution

Personal Video Conferences – Skype for
Business
•
Instant messaging, presence information and personal video
conferencing but also integrates seamlessly with Outlook 2013
•
Easy to use ‘New Skype Meeting’ button as part of Outlook 2013
•
Can be used for both video and audio conferences and is always
available for you to use for scheduled or ad-hoc conferences
•
Available for one-to-one conferences or one-to-many, but is not
accessible to non-CSU participants
•
Headset and web-cam required when using Skype for Business

Teleconferences
•
Dial 37555 (or 693 37555) to access and enter the conference ID
•
No web-cam or video conferencing facility required
•
Available for one-to-one conferences or one-to-many
•
No need to book – always available
•
When using your CSU extension as the conference ID, you can see
the list of conference participants by logging into your VMR at
http://conference.csu.edu.au/

Staff VMR Host Pin Numbers
•
VMR host pin numbers have been introduced as a way to identify
personal conference hosts and enhance security by preventing
unauthorised use of staff VMRs
•
Before entering your VMR, you will be required to set a host pin
number. Pin numbers are comprised of 4 digits (no characters)
•
Pin numbers cannot be retrieved. If you have forgotten your pin, you
will need to reset it
•
VMR pin numbers are managed and activated by you via the online
pin number portal

Off Campus Conferencing
•
You can connect to any CSU conference by phone, web browser or
mobile app
•
Consider your available internet connection speed before joining.
For instance, if you are travelling - the best option may be to join by
phone
•
Using Skype for Business from home requires use of the CSU VPN
service and a CSU imaged/managed computer
