2016-2017 Work-Study Supervisor Agreement OFFICE USE ONLY Approved: yes no date This agreement is for Cuyamaca College Staff, Faculty or Administrators and community employers who are interested in hiring and supervising a Cuyamaca College Federal Work-Study Student for the 2016-2017 Academic Year. This entire agreement must be completed in order for you to participate in this program. SUPERVISOR: Carefully read and enter your initials for each item below: INITIALS a. I understand that students awarded Federal Work-Study, who are interested in the position we offer, will contact me for an interview; after the interview, I will notify them of my decision in a timely manner. b. If hiring a student, I will supply the student with the hire packet (new student) or re-hire form (returning student), review the Safety Tips Booklet with the student, obtain the hire packet/form back from the student, make sure the packet/hire form has been accurately completed in its entirety, have my dean/manger sign the hire form, and forward the packet/hire form to the WorkStudy Coordinator in Financial Aid for approval. c. I will track my work-study students’ hours and earnings and will not allow them to earn more than they have been awarded each semester. If they earn more than their award, the overage will be charged to my departmental budget number which I will provide to the Work-Study Coordinator. d. I will train my work-study students on how to track their hours and earnings, and I will frequently and consistently verify their records against my records. e. I understand that work-study students can only earn up to half of their annual work-study award each semester. f. I understand that if any work-study students earn less than half of their annual work-study award in the Fall Semester, they can complete these hours during Spring Intersession and/or the Spring Semester, unless otherwise specified by the Work-Study Coordinator. g. I understand that in order for the students to get paid on time, their completed and signed timesheets must be submitted to Payroll by the 11th day of each month (except when notified by Payroll about holiday adjustments). I will submit timesheets on-time. h. I understand that the work-study program not only help students meet their educational and living expenses while attending school, but that it also provides an educational experience where they can gain valuable interview and work experiences, learn work ethics, and learn how to function in a workplace with co-workers, a supervisor and customers. Therefore, I understand that it is very important that I give work-study students feedback on their performance and give them a chance to learn and improve on any lack of performance. i. I understand that District Policy is to pay according to the job tasks/position, not what experiences or level of education a student may bring to the position. j. I understand that it is at my discretion that I may give my work-study students a STEP increase in rate at least one year after the student has successfully been employed with me and will continue working in the same position. k. To avoid confusion and the misplacing of employment documents, I will read all instructions from the Work-Study Coordinator and follow the steps indicated, even if I have read the instructions before. l. I understand that work-study students cannot begin working until I receive approval by email from the Financial Aid Office. Any earnings earned from work prior to approval from Financial Aid must be paid from my department’s budget. m. I have read and understand the: Work-Study Employee Job Obligations, and Work-Study Placement Policies and Procedures. I have read, understand and agree to all items above.
