Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Introduction to the New MCCCD Student Email, Powered by Google The first thing you need to know about this great new email system is that this is NOT GMAIL, however, it is powered by Google, which gives much of the same functionality and style, but with a Maricopa centered approach. This email system replaces the MEMO system which was used by Maricopa, but not Rio students or faculty or staff. The change is that ALL students in Maricopa will be using this new MCCD Student Email, Powered by Google. Faculty and Staff will have accounts, but will also still be expected to use their current Rio email accounts for correspondence. What this means for our staff and faculty is that we must either log into our new accounts regularly or forward the emails to our current Rio accounts, so that we will not lose any emails sent to us by our students. Logging In/Finding Your MEID and Password Log in using your MEID and the password you use to access HRMS and PeopleSoft and My.Maricopa.edu. o Since most faculty and staff have not used their MEMO accounts, often it is best to create a new password, especially if you wish to choose the exact same password you use for RioLearn. Do this by using the link below and following the steps. https://memo2.maricopa.edu/cgi-bin/UserLookupMEID.pl MCCCD Google Mail: Introduction to the New MCCCD Student Email, Powered by Google Your email address using this new system: Employees who are also students: your [email protected] Employees who are not students: [email protected] To access these emails, please follow the steps below: Go to http://google.maricopa.edu 2 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time The first time you log in, by entering your MEID and your MEMO Password, you will see the following screen: Please read the terms of service, enter in the coded word as shown and then agree to the terms by clicking on I accept, Continue to my account. You will now be in your account. You may notice a LOT of emails that were sent even before you were officially set up with this account. Do not worry, this is a change over and will take some adjustment periods. The emails that were sent before the official switch are just automatic emails from MEMO and should not be of any vital importance or pertaining to students. MCCCD Google Mail: Logging In/Finding Your MEID and Password Logging In For the First Time 3 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Using Mail Help If you have a question or want to know more about using your Google Mail Account, once you are logged into your Google Mail account, click on the Settings icon at the top right and then choose Mail Help. From there, click on the categories that suit your needs. Using Your Email Reading Messages Click on a message to have it opened in the screen. Once opened, the following can be done in the email: 1. Go back to the Inbox. 2. Place this message in the Archive, Spam, or Deleted Mail folders. 3. Mark as Important or Unimportant. 4. Move this email to another folder. 5. Label this message. 6. The More button allows you to do many other things with this message. 7. The arrows allow you to go to the next or previous messages. 8. Gives contact options for the sender of the message. 9. Allows you to Reply to the sender (if there are multiple recipients, you will see the option to Reply to all) and to Forward to others. 2 3 4 5 7 6 8 9 MCCCD Google Mail: Using Mail Help 1 4 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Composing Messages Whether composing a new email, replying, replying to all or forwarding, the tools will all be the same when sending any type of email. For this example, you will be composing a new email. 1. Click Compose mail to create a new message (or use Reply, Reply to all, or Forward if you wish). 2. Send, Save the email for later, or Discard the email you were going to write. 3. View this composition in a new window. 4. Either type in or paste an address or click To and find the addresses through the system. 5. Add a Carbon Copy (Cc) or Blind Carbon Copy (Bcc) by clicking on one of the choices and then placing addresses just as you do in the To area. 6. Type in your Subject. 7. Attach a file or insert an Invitation to an event that will be saved on the calendar. 8. Use the formatting tools and Check Spelling to ensure the quality of your message. 4 2 3 1 5 6 7 2 Mail Size Limits An email cannot be sent if it is larger than 25 MB. Your total amount of stored space on your account is 25 GB. Mail This will take you back to the mailbox, where you usually start out. 2. Contacts This is an area where you can keep track of those you contact. 3. Tasks You can add or delete tasks here. 4. Compose mail This allows you to write an email. 5. Inbox This will take you back to your inbox. 6. Starred This shows any “starred” messages. 7. Important This shows any messages you marked as “important.” 8. Chats This keeps a record of any chats. 9. Sent Mail This is the folder where you sent messages are kept. 10. Drafts This is where all saved but not sent messages are kept. 11. All Mail This view combines all emails into one location. 12. Spam This is where any emails filtered as spam end up. 13. Trash When you delete an email, this is where it goes. The Trash is automatically deleted every 30 days. Clicking into it gives more options. 14. More Extra folders or options will be available here. 15. Chat You can add a person to an instant chat from here. 16. Recent contacts This is a small list of your most recent contacts. You are able to click into them and find information or contact them in a variety of ways. Sign Out of MCCCD E-Mail Powered By Google In the top right, click on the arrow to the right of your email address and click on Sign out. The Tabs Each tab has multiple options that may or may not pertain to your needs. If you do make changes inside of one of the tabs, always click on the Save Changes button at the bottom to make sure that your changes are kept. Labels This shows which sections you wish to show or hide, such as: Spam Starred Chats Trash MCCCD Google Mail: Using Settings Accounts This is where you can change your account settings and even get mail from other accounts sent to and from this one. 7 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time General This should be the most used settings area where you will find many choices, such as the samples shown here: 1. Maximum page size (Increase or Decrease the amount of messages seen on one page) 2. My picture (Choose to show a picture that everyone will see when you email them) 3. Signature (Create a signature to be added at the end of all emails you send) 4. Vacation responder (Set up an automatic message if you are on vacation) 1 2 4 MCCCD Google Mail: Using Settings 3 8 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Filters New filters can be created and edited that will sort by the following categories: From To Subject Has the words Doesn’t have Has attachment Forwarding and Pop/IMAP This area allows you to forward your mail to an email of your choosing. Chat Gmail allows the option of a live chat and the settings for those sessions can be found here. Web Clips This controls what small news notifications and ads appear at the top of your email. Labs This is a place where things are tested and it is not recommended that changes are made to this area without notification to do so. Offline This gives the option to allow the downloading of email so that when offline, the emails are still showing. MCCCD Google Mail: Using Settings Themes This is where you can choose a theme for your email that matches your personality, mood, and eye comfort. 9 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Forwarding from Google You will see a Settings bar. Click on the Forwarding and POP/IMAP tab You will now see the Forwarding and POP/IMAP screen. MCCCD Google Mail: Forwarding from Google It is possible to forward your Google mail to another email address…or…even to social networks, so you can receive alerts and the messages from there. Each social network (Facebook, etc…) has their own policies that are not managed by Maricopa...but here is the Google side of the process: Once you are logged into your Google Mail account, click on the Settings icon at the top right and then choose mail settings. 1 0 Click on the Add a forwarding address bar In the new box that just popped up, enter in the email address ([email protected]) or ([email protected]) and click NEXT and then OK. o NOTE: A verification email will be sent to the email address you specified. Read the instructions in the email and click on the link as outlined in the email. When you do so, you will get a notification that you are now allowed to forward to that address. If you do not get any notification, then there was an issue, most likely, an incorrect email address was entered. You will now get a notification from Google that the email was successfully confirmed! Make sure you are back at your MCCD Email Settings Screen (this would have stayed open during all of this) and refresh the page. You will now see a slightly different looking screen that gives the possibility to forward emails. Once done, you will see that the email being forwarded to will have an “In Use” placed next to it. This signifies that your Rio email is now receiving copies of all email sent to your new MCCD Email Powered by Google account. You have now forwarded your emails. Search Other Google Applications The top left corner has all of the Google applications that Maricopa has adapted for use. Not all are currently used and more may be added in time. Be sure to go back and see what is offered by clicking on the more link. MCCCD Google Mail: Search Always at the top of the page are your Search options. You can search your mail, the web, or use options and filters. These options are always available and make navigating even simpler. 1 2 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Calendar By clicking on the Calendar link on the top left of the page, you are taken to the Google Calendar for your MCCCD Mail Powered by Google Account. Calendar Functions 1. Click the Create Button OR click on any time block to create an event. You can also click on the arrow to the right of Create to Quick Add an event. 2. Use the Search Bar to search for specific events or information and the Show search options to narrow that search by certain criteria. 3. Use the Day, Week, Month and 4 Day buttons to change the view of the calendar. 3.1. See a list of the events by clicking on Agenda 3.2. Print the calendar by clicking on the Printer Icon 3.3. Refresh the page by clicking on the Circled Arrow. 4. Click on My calendars to see all of the calendars you have added and any tasks for those calendars. 5. Clicking on Other calendars will give you the option to add other users’ calendars so that you can see their schedules. 6. Use the Monthly Calendar on the left or the arrows near the top to navigate through the days, weeks, months, and even years. 2 3.2 3.3 3 3.1 6 4 5 Calendar Settings Just as in the Mail page, you can click on the circular button at the top right and then choose Calendar Settings. This is where you can change everything from when the weeks and work days start to if you want to see the times in Military Time. Please read EVERY option and see what works best for your needs. Click Save when you are done. Adding an event by clicking on Create. Clicking on a time block. Clicking the arrow next to Create to Quick Add an event. The Show Me As and Privacy settings can be useful if your calendar is shared with others. Add Guests allows you to enter in the MCCCD Email address of others to invite them to view or attend this event. o After adding guests, you can click on the Find a time tab to view the schedule of all invited so that you can choose a time that is good for everyone. When your event is done, click SAVE. MCCCD Google Mail: Other Google Applications Clicking on the Create Button A new window will open and you will be asked to fill out the information. Be sure to fill out as much as possible. 1 4 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time Clicking on a Time Block Clicking ONCE on a time block will open a small window that allows you instantly create an event. o o Simply add what the event is and click Create Event. Clicking on Edit event will give you the same choices you see when you click on Create or double click on the time block. Clicking on Appointment slots and following the steps given allows you to create holes in your schedule that are meant for others to reserve as appointments. Double Clicking on a time block will bypass the quick entry and take you directly to the same place you go if you click on the Create button or the Edit event link. MCCCD Google Mail: Other Google Applications Quick Add Clicking on the arrow to the right of the Create button allows you to quickly enter an event or note. 1 5 One Maricopa Training Documentation District Systems | MCCCD E-mail (Powered By Google) | Logging In For the First Time My Calendars Clicking on the My Calendars area opens up your chance to view your other calendars. The chance to see and edit your task is also shown. o Click on Tasks. o A new column will appear on the far right. Use the buttons at the bottom to add, organize, delete and do much more with your tasks. MCCCD Google Mail: Other Google Applications Other Calendars Clicking on this option will allow you to add and view others at MCCCD’s calendars. o To add a calendar, simply enter the email of that person in the spot provided. 1 6
