VENTURA COUNTY PROFESSIONAL WOMEN’S NETWORK Post Office Box 6329 Q Oxnard, CA 93031 Q (805) 656-6011 Q www.VCPWN.org Minutes VENTURA COUNTY PROFESSIONAL WOMEN’S NETWORK LEADERSHIP TEAM RETREAT JUNE 1, 2013 Budget: IN ATTENDANCE: Mary Gabriels, Sue Osborn, Shirley Jones Snyder, Sheila Lowe, Michelle McConica, Alison Balter, Jann Huling, Micki Rickard, Jim Nicoll, Anna Kittleson, Lynn Ryder, and Darian Taylor. Shirley is still working on the budget. We will go over the budget and discuss modifications at June LT meeting. Table Decorations and 50/50: President Darian Taylor called the meeting to order at 9:10 am at The Pierpont Inn. Although it is a lot of work for Mary, all agreed that the table decorations were well liked and more profitable than the 50/50 drawing. Leadership Team Duties: Each LT member read aloud the 2013-2014 duties for his/her position on the leadership team. Some minor changes were made. Jim suggested that the duties be added to the Immediate Past President’s duty description and also add to the budget to cover the costs. Calendar and Meeting Dates Alison suggested that we could “rework: the unsold silent auction baskets for table decorations. A copy of the VCPWN Calendar with all the Meeting dates for the year was distributed and reviewed. Mary asked if 3 tables would be better than 5. It was agreed that 5 tables encourages everyone to walk around and mingle more. Leadership Team Roster: The new LT roster was distributed and corrections were made to email addresses, telephone numbers, etc. Motion: Create budget item for table decorations. Motion tabled until June LT meeting when budget will be discussed. Liability Insurance: Motion: (Jim) To continue table decorations. We will discuss at the June LT meeting. Phil Bullard will be there. Alison seconded and motion passed. 1 Speaker Suggestions: person that may help with the design. To be more fully discussed at June LT meeting. The question was asked if our speakers should have more of a business theme. The consensus was that yes, at least every other month there should be a business topic…. And male speakers should be included. Bags: VCPWN member, Debbie Hazelwood will provide an estimate for bags. Alison will bring samples to the June LT meeting. Sue will take the speaker applications. Speakers need to give Sheila the information that they would like on the website to promote their presentation. There will be 31 tables at the Expo. LT members receive first choice and may apply now. The applications will be open to the membership at the June VCPWN meeting. Prizes for Hat Contest: LT Meeting Location, Day, Time: Mary has the three plants left from the Expo that we can use as prizes for the best three hats. 5 judges will walk around to decide on the hats to receive a prize: Mary, Sheila, Jann, Micki, and Lynn. Third Thursday of each month at 5:45 pm. To be held at Darian Taylor’s home at 5277 Shiloh Way in Ventura. Enter on Ralston. LT Member Goals for Each Position: Expo Postcard and Prize: Immediate Past President – Mary Gabriels Prize: • Motion: (Sheila) To have a Mini I-Pad donated or purchased for the Expo grand prize. To relax and enjoy the meals! President Elect – Sue Osborne • • Anna seconded and motion passed. Lynn will write letters to Best Buy, Fry’s, etc. to see if anyone is willing to donate the Mini I-Pad in exchange for advertising at the Expo. Try to get sponsor for every meeting Good variety of speakers – mixing fun and business Director of Finance – Shirley Jones Snyder • • • Alison and Jim offered to help with the follow-up calls to the vendors solicited. Postcard: Last year the Print Place charged $55 per 1000 post cards. For 4-color and 2-sides, the cost would be $71.50. The 5” x 8” postcard is still in the design stage. Discussion as to what to include: Logo? Pictures? Watermarks? Bleeding colors? Anna knows a graphic design Add W9 to LT website Change banks – maybe to VCCU Back-up signers on the square reader are Darian and Sheila as primary and secondary. Director of Membership/Webmaster – Sheila Lowe • • 2 Get members to come to more meetings; call them Remove non-members from directory • • New member welcome breakfast tentatively set for July 16 at Marie Callendars. • Recording Secretary – Lynn Ryder • • Just learn her job and be available to help out Member – at –Large – Anna Kittleson (Jim had to leave) Director of PR/Communications – Michelle McConica • • • • • Catch up on scrapbook – maybe use an online resource such as SnapFish. Draft procedures for her job including passwords, etc. Recruit a back-up committee member. VC Star: Post and add photos for events that have taken place • • Sue requested that we all get a lesson in reading the financial statements (July LT meeting). Keep “Blow your own horn” and “member connections” short. Drum up more candidates for the Spirit of Networking Award. Perhaps add an incentive of free dinner or 60 second commercial. Table hosts need to define and promote. Maybe make it more competitive? Change the name? Add names of past winners to ballot. Articles of Incorporation – need to get a copy so all can read – maybe on LT website. Alison asked about the safe deposit box. Is there anything in it? Who has keys? Darian will check with Shirley Lorraine and Merle Devita. No one’s really sure we have one. Mary reminded us that VCPWN has a P.O. Box at the “C” street post office in Oxnard. She has keys. Director of Hospitality – Jann Huling • • • • Storage room keys: Darian, Micki, and Jim should each have a copy. Make the table host role more exciting Have trainings every 6 months or so Recruit at new member breakfast Give something to identify hostess – lei, ribbon, pin, etc. Meeting adjourned at 11:30 am. Help with the responsibilities of the different committees. NEW BUSINESS: Director of Networking – Alison Balter • Expo to turn a profit rather than just break even. Have an exhibitor orientation before the Expo. Deadline for applying for table is September 16. The two silent auctions to make at least $1000 this year. 3
