MEMO TO: All Students Participating in the Commencement Ceremony FROM: Thomas Mansperger – Interim Dean of Student Services DATE: April, 2016 SUBJECT: IMPORTANT COMMENCEMENT INFORMATION (please read carefully) It's time to prepare for graduation and in order to assure that each student knows what to do, where to go, and how to get there, graduation practice is scheduled for Thursday, May 5, 2016, from 2:00 p.m. to 4:00 p.m. in the gymnasium at the Campus Recreation Center. PLEASE NOTE: For those who petitioned to graduate spring semester, the receipt of this letter does not confirm or deny your graduation status. Your academic record will be reviewed by the Registrar and by the dean of your division. A letter informing you of your graduation status will be mailed to you from the Student Records Office after your file is reviewed. This letter is an invitation for you to participate in the ceremony if you qualify. While it is important that all students planning to participate in the graduation ceremony attend practice, it is possible that some individuals may not be available to do so because of other obligations (i.e., final exam schedule, job responsibility, etc.). If you are unable to attend practice, you should arrive for the ceremony no later than 6:00 p.m. on May 6. Please pay close attention to the information on the reverse side of this letter. It should answer most questions that you have and help to make your graduation experience a pleasant one. Finally, please look carefully at the way your name is printed on the front of the envelope. This is how your name will appear in the commencement program. If you would like to make changes please contact Traci Lykins at 419-755-4733 by April 25. Hope to see you on May 5 at practice. -OVER- GENERAL INFORMATION CONCERNING COMMENCEMENT PLEASE PASS THIS INFORMATION ON TO YOUR GUESTS / TICKET HOLDERS Graduation practice is scheduled for Thursday, May 5, 2016, from 2:00 p.m. to 4:00 p.m. at the Campus Recreation Center (CRC). The graduation ceremony is scheduled for Friday, May 6, 2016, at the Campus Recreation Center (CRC). The ceremony will begin promptly at 7:00 p.m. and will last approximately one hour and fifteen minutes. Graduates will march to the CRC from Ovalwood Hall in caps, gowns, and tassels. At practice and at the ceremony, graduates will walk up three steps and across a stage. There is also a ramp for any graduate who may require it. If you are planning to use the ramp or need other accommodations for physical limitations, please contact Traci Lykins at 419-755-4733. Commencement announcements are currently available from the bookstore. A limited quantity of non-personalized announcements is available. A package of five is approximately $7.50. Personalized announcements are also available for order; they take approximately four weeks to be delivered once ordered. This is not a required item. Those who qualify for honor cords may pick them up in person at the Student Records Office, Kee Hall room 142, from Monday May 2 through Friday May 6. The hours for the Student Records Office are Monday through Friday 8 am to 5 pm. A separate letter will be mailed to those who qualify for honor cords. Caps, gowns, and tassels are required, and can be purchased from the campus bookstore. The cost is approximately $40.00. Caps and gowns must be black. If you are using someone else’s cap & gown, you should still plan to purchase a tassel with the correct year and in the color that denotes your major at NCSC. You may purchase these up to and including the day of commencement during normal bookstore hours. The Bookstore’s hours are: Monday and Tuesday 9 am to 7 pm; Wednesday and Thursday 9 am to 4 pm; Friday 9 am to 2 pm. You're encouraged to purchase these items well in advance to insure proper sizing and availability. Gowns should not be ironed. Graduates’ guests will need a ticket to attend the ceremony. Children under two who will sit on a ticket-holders lap will be admitted without a ticket. No strollers will be allowed inside the building; there will be a parking area for strollers outside. Ticket distribution is still being processed. An email will be sent to your student email account or go to ncstatecollege.edu/graduation for more information. Please make sure to keep your tickets in a safe location. Tickets cannot be reissued for any reason. The commencement ceremony will be streamed live on the Web at www.ncstatecollege.edu/graduation . Keep in mind that the Campus Recreation Center is not air conditioned. Campus Recreation Center seating is limited, and most seating is in the bleachers. Please remind your guests that they will have to walk a short distance, as there is no parking adjacent to the Center. For graduate’s guests (tickets required): limited floor seating for wheelchair users and other guests with physical limitations is available. Each special-needs individual may have one (1) guest join them in this seating area. Seating in this section is provided on a first-come, first-served basis; therefore arriving at the Campus Recreation Center by 6:30 p.m. is strongly encouraged. Upon arrival, have your guest inform the hostess of their desire to sit in this section. The doors of the Campus Recreation Center will open at 6:00 p.m. on graduation evening. Room 100 in Ovalwood Hall will be available for dressing beginning at 5:30 p.m. Please make arrangements to secure your personal items, such as purses, jackets, etc. No security will be provided in the dressing room. Line-up will begin at 6:30 p.m. inside Ovalwood Hall (may be moved outside weather permitting). A professional photographer will be taking candid photographs of each graduate receiving their diploma. They will also be set up in or around Ovalwood Hall prior to the ceremony to take any individual or group photos requested. The photographer, Bruce L. Heflin Photography, will contact each graduate under a separate mailing to inquire about photo purchases. You will be awarded your diploma cover at the ceremony. Actual diplomas can be picked up in person at the Student Records Office from Monday June 6 through Thursday June 9. The remaining diplomas will be mailed on Monday June 13. (Please note: college offices will be closed on Fridays from May 20 through July 29, 2016). After the ceremony, the front lawn of the CRC is very crowded with graduates and their families. It may be helpful if you and your family/guests meet at a previously agreed upon location, so you can easily find one another.
