Step-by-Step Instructions

To Log into AdvisorTrac to send an Academic Alert go to: https://trac.ncstatecollege.edu
Enter your normal “Outlook” (email) username and password to enter the system and follow the
directions below. You will receive a copy of the email sent to the student as well as a follow-up from the
advisor indicating their attempts and resolution (if any) with the student.
Steps to Send an Academic Alert

Click on your course from the list to the left.
Click the Referral button next to the student's name.
Please complete the Academic Alert as thoroughly as possible.
Be sure that the Subject box at the top reflects the appropriate course.
Add notes that will assist the Advisor/Success Coach in the Notes box at the top. These notes
WILL NOT be sent to the student!
6. Check off any Reasons from the left column that prompted the Academic Alert.
7. Check off any Recommendations from the right column to reflect your suggestions to help the
student remedy the situation.
8. Type your email address in the Faculty Email Address box. (This will allow you to receive a
copy of the Alert via email.)
9. Type your first and last name in the Faculty Name box.
10. Include any additional reasons in the Other reasons for sending Academic Alert? box.
11. Include any other suggestions to help the student in the Other recommendations to the
student? box.
12. Click SAVE to send.

Purpose of an Academic Alert
To alert the student of a problem
To alert the student’s Success Coach/Advisor of the problem
Enlist the Success Coach/Advisor’s help in reaching out to the student
Encourage change (on the part of the student)
Elicit action (on the part of the student)
Reasons to Send an Academic Alert
Academic Concern
Low Test / Quiz Scores
Homework – Poor Effort or missing assignments
Excessive Absences (3 or more)
Tardiness
Personal Concern
Other – Type in your own reason
Most Effective Time to Send an Academic Alert
Early in the term (before mid-term deficiencies)
By the half-way point of the class (by week 8 of a 16 week course)
Before the last day to withdraw from the class
Least Effective Time to Send an Academic Alert
After the last day to withdraw from the class (usually week 11 or 12 of a 16 week course)
(However, the alert can still be used at this point, as a way to document a faculty recommendation
and/or to alert an Success Coach/Advisor to the concern.)
