OFFICE MOVING PROCEDURES
PACKING
Packing containers will be available for packing to be performed by department
personnel. Department heads will assign individuals to perform specific packing
duties. When packing these containers, be careful not to have contents overflow
the top of the carton. If necessary, use a second carton. Please ensure that all
cartons are properly labeled on the end of the box, not the top or side.
It will be necessary to pack the contents of desks, credenzas, bookcases, and
work areas into the provided cartons. All employee property such as fountain
pen sets, desk clocks, photographs, plants, etc. should be removed. While the
moving company will exercise all possible care with these items, its liability
covers only company owned material.
HINT: Seal all paper clips, pencils, and other loose
materials in envelopes and then pack them in boxes.
Protect all glass receptacles with paper or other protective
stuffing. Leave glass tops and pads or top of desks for the
mover.
FILING CABINETS – VERTICAL
Standard vertical files should be unbolted prior to moving
and all contents secured properly for the move. It is
important to remove all breakable and/or high value items
from file drawers. Pack these items separately and mark
them appropriately. If keys are missing or locks are
inoperable, sufficient tape should be wrapped around the
locking button to prevent the button from accidentally being
locked during the move. Do not move any file with the key
in the locking mechanism.
HINT: Tape file cabinet keys to an inside surface of a drawer or assign a person
to be responsible for the safe movement of your keys.
FILING CABINETS – LATERAL
Lateral filing cabinets generally will be moved with the contents intact. However,
if the cabinets are more than 2 drawers high, it will be necessary to pack all
drawers above the second drawer. These files should be discussed specifically
with the move coordinator. Apply same procedures for locking mechanism.
NOTE: All wood or non-metallic filing cabinets will need to be emptied. If
stairs are involved in the relocation of filing cabinets, all contents of these
file cabinets must be removed and boxed for the move.
CARD FILES
Band loose cards together in packs of approximately 150 to 200 each. Pull file
guards as tight as possible. These files will be moved in an upright position.
SAFES
A Bailey’s crew member will move safes in an upright position. Even though it is
not necessary to remove the contents from the safe (unless they are breakable),
it is recommended to secure items. Please lock all safes. Elevator weight
restrictions or clearances may necessitate removing the safe doors and/or
contents.
STORAGE CABINETS
Storage cabinet contents must be removes and packed into packing containers
prior to moving. If filing cabinet drawers are currently being used for storage,
supplies should be removed and packed into containers.
OFFICE MACHINES
It is important that any equipment attached to the desk be
removed and that each machine or piece of equipment be
labeled with the same information as the desk label.
Typewriters and similar office machines will not be moved on
the desk.
Personal computers will be moved on specialized equipment
carts provided by Bailey’s. Each piece of equipment should
have a separate label (monitor, CPU, printer, etc.). It is
important to back up the hard drive and secure it according
to manufacturer’s operating instructions.
Keyboards,
electrical cords, and all other computer attachments should
be placed in plastic bags, sealed and labeled accordingly.
Plastic computer bags are provided by Bailey’s.
WHAT NOT TO PACK
Personal computers, printers, copiers, and other office equipment should not be
packed. Specific vendors have been selected to prepare and move these items.
Telephones and fax machines should be tagged and disconnected.
Wall-hung items such as bulletin boards should be removed from the wall, but a
contractor will professionally pack these items to ensure their safe arrival at the
new office.
Personal items cannot be the responsibility of Bailey’s. We recommend these
items be taken home during the move.
