Introduction
The Accounting User for Web Departmental Deposits is able to make changes to deposits that
are pending as well as create reports for their unit.
Accessing TouchNet Cashiering Operations
You must first be set up with the appropriate user role to access TouchNet Cashiering
Operations. Contact the Business Affairs Process Improvement Team at
[email protected] for assistance.
Access the system at:
https://admtn.ucsadm.oregonstate.edu/tcs/web/admin/login.jsp
Enter your Username and Password to log in.
View Departmental Deposits
1. Once logged in, click on the Status link on the left to view all pending and submitted deposits
for your business center for the last 30 days:

Note: you must click on Cashiering Home>Oregon State University>Offices>Your Business
Center*> Web Departmental Deposits to see the Status link. Some of the links may be grayed
out, but you can still access the details by clicking on the link.
*Your actual business center will be listed: AABC, AMBC, ASBC, BEBC, FOBC, HSBC, or UABC.
2. Click on the Date, Deposit ID, Amount, or Status to view the deposit details for a pending or
submitted deposit:

Edit a Pending Deposit
1. On the Deposits Summary page, click the View/Edit button for the deposit you would like to
change:
2. The Update Web Departmental Deposit page opens with the details of the deposit:

3. You can add rows, delete rows, change amounts, and change FOPAL elements.
Add a row:
Click on the Add Row button to add additional credit or debit lines:
Note: see the Web Departmental Deposit guide for instructions on entering Credit and Debit
information.
Delete a row:
Click on the Trash Can icon to the left of the row to delete it:

Change amounts:
Enter the new amount in the Amount field on the Credit line(s) and Debit line(s) then click
Validate to ensure the credit total equals the debit total:
Change FOPAL elements:
To change the Account, simply enter the correct account and click Validate:
To change the Index, you must first check the Index Lookup box:
Next, enter the new Index in all caps then click Validate to change the Fund, Orgn, and Prog codes.

You will then have to enter the account code before completing the process:
Note: You will receive an error message; ignore the error and enter the account code in the
Acct field.
4. Once you have made all the updates to the deposit, click Update Deposit to save your
changes:
5. On the Deposit Status page, the updated deposit will now have a status of “Changed and
Pending”:

Reject a Deposit
1. On the Deposits Summary page, click Reject for the deposit you would like to delete from the
system:
Note: be sure to verify the deposit ID you are selecting – this action cannot be reversed!
2. You will receive a confirmation the deposit has been successfully rejected:

Reports
1. Click on Cashiering Reports then Web Dept Deposit Report to view the report options:
You can select any combination of options for your report. When you have selected the
options you would like, click View Report.

2. The report will open in the TouchNet window. If needed, you can open the report in Excel
(or other spreadsheet program) by clicking on the Export to CSV button:
