Application Instructions

I. PREPARE THE FOLLOWING APPLICATION MATERIALS:
1) Completed application form (including list of research team members if applicable)
2) Copy of unofficial transcript (including for each team member if applicable)
3) Copy of resume (including for each team member if applicable)
4) If applicable provide a copy of International Studies Office’s Travel Form for Student Research
and Service Learning Abroad (see page 4)
II. SAVE YOUR APPLICATION MATERIALS AS ONE ADOBE PDF AND UPLOAD TO THE
CBURG ON COLLAB SITE (Adobe Pro software for combining files is available in the Scholars Lab).
1) Name your file in this format: “LastnameFirstname.pdf”
2) Go to the uvacollab site here (https://collab.itc.virginia.edu/portal/site/2c9d4b7d-0e6c-47db-b21ad1860c700dc7) and join the CBURG Application site.
3) Complete and then submit the application.
III. OBTAIN 2 LETTERS OF RECOMMENDATION (1 letter must be from your faculty advisor on
this project and the other must be an endorsement letter from the community organization)
Letters may be sent directly to the Center for Undergraduate Excellence, P.O. Box 400874,
Charlottesville, VA 22904 or emailed to Brian Cullaty at [email protected]. Alternatively, letters
may also be turned in to the CUE in a signed and sealed envelope.

other undergraduate research and service grant programs to support as many qualified proposals
as possible. While we encourage students to apply for any funds for which they are eligible, it is
unlikely that proposals will be selected to receive significant funds from more than one
competitive source.

III. The Institutional Review Board:
If your proposed CBURG project will involve working with human or animal subjects, your
work may be subject to approval by the Institutional Review Board (IRB). The IRB ensures the
university’s compliance with federally mandated research guidelines. If awarded, your CBURG
proposal will be forwarded to the IRB and you will receive a message indicating whether your
proposed project will require an IRB submission. If so, you MUST submit an IRB protocol form.

IV. Copy of International Studies Office’s Travel Form for Student Research and Service
Learning Abroad
If your proposed CBURG project will involve international travel, you will need to complete: 1)
the International Studies Office’s (ISO) Travel Form For Student Research and ServiceLearning Abroad (a two page pdf form) and 2) an online registration. The purpose of these
forms is to help your group reflect on and prepare for the unique conditions, opportunities and
challenges of proposing to conduct a CBURG research and service project outside of the United
States. Knowing that you may not have all the details of your project at this time, we ask that
you provide as much information as possible. Your responses will also be considered during
the review of your CBURG project application. In addition to answering several questions
about preparing for a CBURG project abroad, you will need to supply your travel dates and
travel destination at time of online registration. Start your application one week in advance to
ensure yourself sufficient time to complete the form.

This CBURG Project will involve travel abroad. Copy of ISO’s Travel Form for Student

V. Community Organization Endorsement
Please attach endorsement letter from community organization. Letter should address the anticipated
impact of your research project on the organization’s activities. Email accepted if letter is to follow.
VI. Research Proposal:
Please discuss your proposal in the following sections:
Project Abstract (50 to 75 words): This will be used for promotional purposes on the CBURG
website.

Introduce your topic and identify the problem (300 words):



Discuss any relevant literature. [A bibliography and footnotes can be added at the end (not
included in word count).]
If your project expands on a previous project (CBURG or another program), explain what
is new and different about your project.
This section must include a research question or hypothesis of your project in bold
typeface.
Describe you research methodology, e.g. (300 words max):

What data will you collect and how will you collect it?
How will you analyze the data?
Why are these the appropriate methods for your project?
What are the limitations of your research methods?
Explain anticipated outcomes of your CBURG research-service project including (100 words max):




The service component of your project.
The impact of the project on the community.
The production of new knowledge.
How you will share the findings with your community partner.

**If your budget exceeds $3,000, how will you make up the difference? If you do not secure additional
funds, will $3,000 be enough for you to accomplish the project?
For your planning, please not that project funds are disbursed on June 1. Please append a
narrative for any part of your budget your would like to explain further.

Project Evaluation Criteria:
1. Proposal presents a conceptual framework, method, and analysis that are well-developed and
appropriate to aims of project.
2. Project has potential for increased knowledge or social impact for community partner(s).
3. Project demonstrates researcher(s) independent initiative in developing a research question and
collaborating with the community partner(s).
4. Proposal addresses limitations of research project.
5. Project addresses ethical treatment of community partners and research subjects.
6. Proposal clearly explains how findings will be shared with community partner(s).
7. Researcher(s) possess the training, qualifications, coursework, and experience appropriate to the
project that will ensure its success. (faculty letter and transcript)
8. Proposal expresses clear understanding of the community environment(s) in which the research
project situates itself.
9. Community input has been incorporated into project conceptualization, design, and methodology.
10. Community partner demonstrates understanding of research project and is supportive of the
potential outcomes. (community letter)
11. Proposed costs are reasonable and consistent with the methods, aims and goals of the research
project.
12. Application contains all required materials and is presented in a clear, organized, and
professional manner.
