Student Affairs Assessment Council Minutes September 12, 2012 Attendance: Rebecca Sanderson, Maureen Cochran, Melissa Yamamoto, Kami Hammerschmith, Carolyn Killefer, Gus Bedwell, Rick DeBellis, Kent Sumner, Remi Nagata, Michele Ribeiro, Ozge Akcali, Ann Robinson, Jennica Vincent, Chrysanthemum Mattison Rebecca shared copies of the Educational Advisory Board report on “Leveraging Data to Demonstrate Impact.” If you don’t have a copy and would like one, please contact Rebecca or Maureen. Analytics Software has been purchased to move forward towards using Analytics at OSU. This will go live in about 18 months, tentatively. In the meantime, we as a Division, need to make sure we have solid/clean data in order to hit the ground running. Analytics will make use of individually identifiable data by linking it with other data about students. Security levels will be established so not all employees will have access to individual student data. Rather, the majority of employees will only have access to run aggregate data about student activities, grades, retention, enrollment, etc. in order to paint a more detailed picture of our student population and hopefully to be able to serve them more effectively and efficiently. These practices are drawn from the Business world; the intent is to provide more information fo evidence-based interventions for students. Arizona State University is a national leader in Academic Analytics; using this they have seen increased retention and graduation rates and have lowered costs in some areas. The potential for impact with Analytics is impressive. A whole team of people will need to be hired to support this effort; IT employees will generate reports. Content of reports will be based on literature, examples from other schools, etc. This will be discussed with SALT as well. Departmental Highlights Report At the next SALT meeting, the Departmental Highlights report will be discussed. The difference between “fluff” and “stuff” will be discussed, using examples of the information that was 1 submitted by departments for the Departmental Highlights report. Most areas submitted entirely too much information for this report which only creates more work. This is an effort to help department heads understand what forms of information are needed for this report and what is not needed. Campus Labs Update Sometime this fall, they will be moving to one log-in to access both Compliance Assist and Baseline. Let Rebecca or Maureen know if you have any trouble logging in. Review Process If Council Members approve of the updated Review Process, Rebecca will go ahead and share it with Department Heads. No objections were made at the meeting so this item will move forward. Rebecca and Maureen will make the review assignments soon and share with the group. Next Meeting The next meeting will be the first of 7 training sessions that will be taking place at Assessment Council meetings this year, per request from Assessment Council members. This first session will focus on Methodology for Assessments. Please come prepared to share examples of what you or others in your department have tried in terms of Assessment Methodology; including both methods which have and have not worked. Please feel free to invite others in your department who may benefit.
