Key Stakeholders
Building on positive relationships with various departments and
administrative areas of Austin Community College helped our Student Life
team spearhead the First Year Experience for students on eight
campuses–including a rapidly growing distance learning population.
The most significant component of FYE, both in fiscal/staff resources and
impact on student success, is The Orientation Program (TOP). As TOP
transitioned from optional to mandatory, we learned how important it was to
identify key stakeholders at the right time in the development and
implementation process. Highlighted below are our key stakeholders and
the scope of their contributions to FYE.
Administration
IT
Time: 1 year prior to implementation
Create processes for registration holds, TOP registration
Admissions and Records
Time: 1 year prior to implementation
Tag onto or add messaging triggered by application, registration
Instructional Resources and Technology
Time: 1 year prior to implementation
Develop Online TOP modules
Office of Institutional Effectiveness and Accountability
Time: 1 year prior to implementation, then after each semester
Collect, analyze baseline, demographic data for TOP, FYE
Campus Managers
Time: 6 months-1 year prior to each TOP registration period
Reserve facilities for Face-to-Face orientation
Public Information and College Marketing
Time: 6 months prior to implementation, then prior to each TOP reg. period
Create, update student communication plan, messaging, marketing
Advising and Counseling
Time: 2 months prior to each TOP registration opening
Review, clarify TOP policy and registration process, updates
Faculty/Staff
Time: Ongoing
Communicate FYE events and engagement opportunities
Information updates scheduled 2 months prior to TOP registration period,
and as needed. Minor program adjustments scheduled each semester.
Scale up discussions held annually during mid-spring with stakeholders.
Data source: 12th day class data. Students were included in this analysis if they were enrolled on the 12 class day.
Students were considered orientation completers if they completed orientation between August to December 2010.
