Accessing
HuBERT Reports
The purpose of this guidance is to provide a tool to WIC staff for understanding how to access reports
within the HuBERT Reports Environment, and by using the File Transfer Protocol (FTP) site.
Separate documents are available for an overview of HuBERT Report functionality and for state staff.
For reports users, on-line training for reports (Session 9) is recommended:

ACCESS
HuBERT reports are accessed in two locations:
HuBERT application via the Reports Environment (Information is copied from the live production
database nightly, so the information is on a 12-hour delay.)
End-of-Month (EOM) via the FTP site. Reports found here capture the end of the month totals.
Monthly data does not change.
Some reports are found in both locations.
Access to the HuBERT application via the Reports Environment
Pre-defined HuBERT reports are available in several modules within the HuBERT application: Clinic,
Central Administrative Site (CAS) and State Office. All access to the Reports Environment is view-only;
changes cannot be made to any of the screens or fields.
To access the Reports Environment, reports users will be provided a separate username beginning
with “RPT”. Additional icons available on your workstation’s desktop open the different HuBERT
modules in the Reports Environment. These include:
Clinic Module
(Access this module ONLY to run reports-do not view participant folders in this module)
Central Administrative Site (CAS) Module
(Access this module for reports and to view all participant folders in your Local Agency)
State Office Module (Access this module for reports and to view all participant folders in the
Statewide Database. Refer to Pre-Defined Reports Guidance at:

When switching between the HuBERT Production environment and the HuBERT Reports environment,
you MUST completely Log-Off one environment before attempting to access the next.
There are two ways that you can determine the environment in which you are working:
You can hover your mouse over the WIC Session Manager icon (the blue W).
The URL begins with https://reports when you are in the Reports Environment and begins with
https://hubert when you are in the Production Environment.
If you are able to open the State Office Module, you are working in the Reports Environment.
This is the only environment in which Local Agency Staff have access to State Office.
To Log off:
Close the Module in which you are working.
Right click on the WIC Session Manager icon in your taskbar’s tool tray
Click on Log off. A message will ask you to confirm that you want to log off all HuBERT
applications. Click on Yes. Wait until you are completely logged off before attempting to
access the next environment.
When switching between the Production and Reports environments it is required that you Reset Local
Reference Data each time you change environments.

To Reset Local Reference Data, once the module’s main screen opens:
Right click on the WIC Session Manager icon in your taskbar’s tool tray.
Click on Reset Local Reference Data.
In all modules (Clinic, CAS and State Office), reports are found in:
File…System Outputs…Reports.

Access to HuBERT End-of-Month (EOM) Reports via FTP Site
The FTP site is accessed via a separate application called Filezilla, rather than HuBERT. The
FTP site is used to store and distribute the HuBERT End-of-Month (EOM) reports.
The first time you access your EOM reports you will need to call the Help Desk to obtain the
password. (The settings will stick for future encounters.)

The following window will open; click on the arrow/dropdown for the Site Manager Icon.

Click on agencyeom. (For state staff, click on stateeom.)
1) The “Enter password” window will
open the first time local users open
FileZilla: (State staff will see “stateeom”
In addition to “agencyeom.”)
o
Enter the Help Desk-provided
FTP password into the Password
field.
o
Click the OK button.
2) Users on subsequent visits will choose agencyeom in the Site Manaer window and
click on the Connect button only. (Only state staff will see stateeom and stategateway
options.)

The screen below will open; on the right side are folders labeled “yearmonth” (ex:
201206)
Double click on the folder for the year and month you want to view. As time passes, new
files will be added.
When the year/month folder opens, folders with different types of reports will display (ex:
Optional Caseload Reports).
Double click on the folder with the types of reports you want to view.

When the report-type folder opens, the reports available will display.
Right click on the report you want to open.
Click View/Edit.
