Participation Reports HuBERT Report Name: Unduplicated Reported Participation – BF Amt and Ethnicity/Race (Calendar Year) CLD035 Report Topics: Participation, Ethnicity/Race, Breastfeeding Frequency: Monthly Access/Where to find: HuBERT Reports Environment - State Office (starting Nov 2012) Description: This report is available after the End of Month (EOM) process. All participants are counted only once per year. All participants who received a benefit for January are counted at the agency and clinic that issued that set of benefits. WIC category, Breastfeeding status (if applicable), and Ethnicity/Race reflect the participant at the time of issuance. As EOM is run for each subsequent month, only participants who have not yet been counted will be counted. No participant changes are reflected in this report, for example: • If a participant changes from an infant to a child during the calendar year, s/he will be counted only in the Infant category. • If a participant is served by more than one agency during the calendar year, s/he will be counted only in the first agency from which s/he received benefits in that calendar year. • If a participant has more than one ethnicity and race code designated during the year, s/he will be counted only in the ethnicity and race code selected at the time of issuance. This report displays a count of participants’ WIC category, Breastfeeding amount, Ethnicity and Race in the following sequence: A. Total (All Participants in the selected Clinic, Agency, Grantee, or State) Criteria and Filters: • This report displays all months from the start of the calendar year to the month selected for the HuBERT system. • Participants are counted once for the year. • Blank rows are suppressed. • Participants who did not receive a benefit (Fully BF infants <6 months old and Some-BF women > 6 months postpartum) are included. These participants are counted at the clinic in which they were originally certified. • Race and Ethnicity are self-identified. Note: The reference for Ethnicity/Race Codes is on the web in the WIC HuBERT Data Dictionary (RACEETHNICITY table). o Ethnicity -- This report is grouped by ethnicity code within category. Unknown ethnicity/race codes are combined and printed last. o Race -- This report is sorted by race code within ethnicity. The count of those who identified as a single race print first, followed by a total count of those that designated “multiple” races. Some possible purposes for this report: • • • • To describe the WIC population served by a clinic, local agency, grantee, or the state. To look at trends in the population, such as when there is a consistent increase of a certain category – such as pregnant women or ethnicity/race served. To provide a true unduplicated count of participants served. To summarize information for county boards, CAP agencies, administrators and other stakeholders. Output Options: • • • • Select the report to display on the screen, to save as a pdf, or to be sent directly to the chosen printer. See Page 3. Select the report to save as an excel spreadsheet. See page 4. A selection must be made for Clinic (default); Agency (totals); Grantee (CHB, Tribal Organization, Non-Profit totals); or State (totals) from the radio buttons. If several unique local agencies are desired from a multi-county grantee, each local agency must be run as a separate report. This is a lengthy report - view first, then print the selected pages. This spreadsheet has the same columns regardless of whether clinic, agency, grantee or state is selected. The display will change with the selection. Ex. If a clinic is selected, GranteeID, AgencyID, and Service SiteID will each display their respective IDs. If a grantee is selected, the assigned GranteeID will display and ZZZ will appear in AgencyID and Service SiteID. If a Local Agency is selected, the GranteeID and AgencyID will display and Service SiteID will contain ZZZ. Ignore these columns. For the "Ethnicity Code" (Column I), "1" = Hispanic "2" = Not Hispanic "9" = Unknown "0" = Totals For “Ethnicity Description” (Column J), the total of “Multiple Races” is detailed within each ethnicity and WIC Category. For "Race Code" (Column K), “88” = Multiple Races “XX” = Total “99” = Unknown Also refer to “Race Description” (Column L). Hispanic (1XX) (Start Multi-Race Detail) + Not Hispanic (2XX) (Start Multi-Race Detail) = Total (0XX) of new participants for the WIC Category.
