ORIENTATION UPDATE
Orientation for All Task Force Members
Becky Kroll presented her ideas for the March 18th orientation on the new planning process. The
first part of the orientation will be about the reasons for changing the planning process. Becky
will ask Nick Metcalf and Kip Beardsley to talk about the work undertaken by the ad hoc
Restructuring Committee. The second part of the orientation will focus on who Task Force
members are. There will be a game to illustrate different categories people fall into in terms of
years of experience working in HIV, paid or volunteer involvement, types of expertise, etc. Julie
Hanson Pérez will also talk about roles and responsibilities.
The next part will focus on the new Task Force structure. A game of charades will be used to
help people become familiar with the nine components of the planning process (e.g.,
epidemiological [epi] profile, needs assessment, resource inventory, etc.). Task Force and
community members will be divided into small groups, and each group will act out one of the
nine components. Then, the groups will be asked to perform their charades in the order that the
various components will be implemented throughout the three year planning cycle. This will
help members remember the sequence of the work of the Task Force. There will also be a
“What’s My Bylaws?” game. Julie will play the host and ask questions of the current and former
parliamentarians about the new bylaws. One of the parliamentarians will give the right answer
and the other two will give false answers. Task Force members will guess which answer is
correct.
The end of the orientation will focus on evaluation, both evaluation of the orientation and how
the new process will be evaluated. If there is time, people will be asked to share their greatest
hopes and fears about the new process.
Newer Member Orientation
The committee discussed the need for a separate orientation for newer members prior to the
March 18th orientation. The newer member orientation would be about the basics of community
planning and the history of the Task Force, and would prepare the newer members for the
information that will be presented on March 18th.

Consensus: The committee agreed to hold a newer member orientation on Tuesday, March 16th,
from 4:00 – 6:00 p.m. MDH staff will try to get space at SOP.
The Executive Committee will vote on new members who have applied on March 4th. Newly
elected members will be called after that meeting to let them know of the March 16th orientation.
Julie asked if it would be possible to include information about epidemiology and how it is used
in the planning process as part of the newer member orientation. Becky agreed to look at the
curricula and decide whether it would be possible to fit it into the agenda.
NEW MEMBER RECRUITMENT
The Community Access Committee received 18 membership applications, and were able to
interview most of the candidates prior to today’s meeting. They were pleased with the number
of applicants and that almost everyone was able to make it to an interview today. There were a
few applicants they had been unable to reach. Don Anderson and Donna Clark agreed to follow
up with them to see if they could be interviewed before the Executive Committee meeting. The
committee was comfortable with nominating all of the applicants interviewed so far for
membership.
Kelly Hansen noted, however, that she had an interview with a potential new member who was
very qualified, but his schedule conflicted with the first couple of full Task Force meetings.
Consensus: The committee agreed to have to have the candidate reapply in November.
