Minnesota Immunization Information Connection (MIIC) User Guidance Client Search and Printing Immunization Records The following covers how to search for a client, what a record entails, and how to print a client record/report. After logging in to MIIC, you will be on the main screen/home page. Click “manage immunizations.” That will bring up the “Client Search Criteria” screen. Immunization Program P.O. It is recommended to use a combination of two of the search fields “Last Name,” “First Name,” or “Birth Date.” Note – Exception: If you would have the actual “MIIC ID number”, you could search by that alone. Each client in MIIC has a unique MIIC ID. You must enter at least three characters of the last name or two characters of the first name or the birth date MMDDYYYY (two-digit month, two-digit day, and four-digit year) with MIIC automatically entering slashes. In searching, some of the results are: • The client is not in MIIC. Snow White is not in MIIC. Client Search and Printing Immunization Records (MDH) Page 2 of 5 Minnesota Immunization Information Connection (MIIC) User Guidance • There were too many clients meeting the criteria so the search needs to be expanded, such as adding a date of birth or more characters to the name fields to narrow the search. This search did three characters of a last name and two of the first and produced 133 clients matching the criteria. • By narrowing the search, you could also receive a list of potential matches. You can click on anything in blue and underlined so you would then pick the underlined last name of the one you want if it is listed. Note: The column “AKA” means alias or also known as. In this case, the client is listed in MIIC both with the formal first name and the shorter nickname. You will go to the same client record if you choose either the longer name or the “AKA” name. • You could also only match one record in MIIC. This would bring you directly to the client information and immunizations. Client Search and Printing Immunization Records (MDH) Page 3 of 5 Minnesota Immunization Information Connection (MIIC) User Guidance A MIIC Client Record includes the following: Client Information The area on the top of the screen displays client contact information – name, address, and phone number for example, depending upon what has been previously entered. Client comments indicate some additional information pertaining to immunizations. This would include, for example, history of chickenpox if the information was entered or refusal of an immunization. Immunization History In the middle section, the immunization history displays, listing vaccine groups alphabetically with the actual date the immunization was administered. Sequence of doses as entered in MIIC is shown plus trade name if entered. “Owned” or “Hist(orical)” indicates how the immunization was entered in MIIC plus a client “Reaction” to the vaccine could be displayed if entered. Recommended Vaccines At the bottom of the screen is the MIIC forecaster. This will forecast what immunizations are due for the client based on the age of the client and what immunization history is already in MIIC. Client Search and Printing Immunization Records (MDH) Page 4 of 5 Minnesota Immunization Information Connection (MIIC) User Guidance To print a record for a client, use the “Print Confidential” button or “Print” button, upper, righthand part of the screen underneath the “Comments” area. It is recommended to use “Print Confidential” so the address and phone number does not print. If you try to just print the client record page without using “Print Confidential” or “Print,” you could have part of the client record cut off. Click on the “Print Confidential” button. Then, do “File,” “Print”. Once the record is printed, you can click on the back button to go back to the MIIC screen showing the client record.
