Invoice Field Naming Convention for MDH Grants
Purpose
The purpose of the naming convention is to assure that invoice payments (electronic fund transfers or EFTs) to
MDH grantees provide clear information of the funding source when they receive a payment from the MDH.
MDH grant managers will begin using a code (explained below) that will appear of the EFT to grantees. A list of
grant codes will be sent to MDH grantees on a routine basis.
About the Invoice Field Naming Convention





The MDH makes payments to grantees through the Statewide Integrated Financial Tools (SWIFT) system.
SWIFT contains an “Invoice Field” that will be used by MDH Grant managers to code invoices received
from grantees.
The Invoice Field is divided into 6 blocks, separated by a period.
Each block is coded with specific information that should help grantees understand the source of
payments from the MDH.
If the payment is from two funding sources only one will be identified (e.g. federal and state funds –
CFDA# will be listed, two federal funds – one CFDA# will be listed).

This payment is for the Local Public Health grant for the second quarter of
2015. The LPH Grant is state funds. This grantees funds are reimbursed on a
quarterly basis.
This payment is for the SHIP grant for the month of January 2015. The SHIP
grant is state funds and reimbursed on a monthly basis.
This payment is for the PHEP grant for the second quarter of 2015. The PHEP
grant is federal funds so this code includes the CFDA number. PHEP funds
are reimbursed on a quarterly basis.
