Entering New Clients in MIIC
If a client is not in MIIC, these are the steps to add a new client.
Always search the database first to verify the client is not in MIIC. Click on “manage
immunizations” on the blue menu bar at the left of the screen, bringing up the “Client Search
Criteria.”
Search by at least two criteria – at least three characters of the last name and/or at least two
characters of first name and/or date of birth.
Note: You cannot just search by last name. If you do, you will automatically get a message there
are no clients found.
Snow White is not in MIIC, for example.
Click on “enter new client” on the blue menu bar at the left of the screen.

The Enter New Client screen will appear:
Fields in blue are required – “Last Name,” “First Name,” and “Birth Date.” The date format
is MMDDYYYY (two digit month, two digit day, and four digit year) with MIIC automatically filling
in the slashes. Fill in “Middle Name” if have.
The “Mother’s Maiden Last” and “Mother’s First Name” are in blue and are recommended to be
filled in since the data is used for client matching purposes. You can bypass those fields, and
click “OK” when you get the message below.
The middle section of the screen is for entering the client’s address and phone number. As a
minimum, fill in at least the “City” and “State” (drop-down choice).
Under “VFC Eligibility Category,” you need to make a choice. “Eligibility Unknown” is an
option.
Click “Save” when done. You will receive back “Client Saved” at the top of the screen.
Click on “Immunize” to begin entering an immunization(s). See instructions on adding
immunizations.

“Client Match Detected”
**IF you would get the following screen after you click “Save,” verify (look over the list that
comes up) that the client you are trying to enter is not already in MIIC:

If the client is already IN MIIC (on the list), click on the last name underlined in blue to
continue with that client. The data you entered would not be saved.

OR, if the client you are entering is not the same as any on the list and is a NEW client,
click on “Create New Client” to save the client you just entered.
