MINNESOTA DEPARTM ENT OF HEALTH MINNESOTA IMMUNIZATION INFORMATION CONNECTION (MIIC) Interpreting a MIIC Vaccination Record MIIC User Guidance Purpose: This user guide is meant to help users interpret the information that they might see in a client’s MIIC vaccination record. This is an example of a typical MIIC vaccination record: (07/2015) – Page 1 Interpreting a MIIC Vaccination Record Interpreting Each Segment Client AKA’s In some records, you might see that a client has an “AKA” (also known as). This means that the client is known in MIIC by more than one name, but no matter which of the names you search, MIIC still points to the same client’s vaccination record. The AKA will appear in MIIC when you edit a client’s demographic information in the “edit client” screen (for example, when a client gets married and you change the last name to the married name from the maiden name). Client Comments Many clients have comments in their vaccination record. Comments can indicate several things, such as immunity to disease, allergies, refusals of vaccine, etc. Multiple comments can be listed in one record. To view all comments in a client record, click the down arrow on the “Comments” scroll bar. Vaccination Information Each vaccination listed in a client’s record has details that are specific to that vaccination. In this example, the vaccination information has the vaccine type, the date that it was given, where it falls in the series, its trade name, if it is owned by the organization under which you are logged in, and if it is historical or newly administered. When the vaccine information indicates “No” in the “Owned?” column, this means that the vaccination was not entered by the organization under which you are logged in. Click on the “No” to see the organization that entered it. When the vaccine information indicates “Yes” in the “Hist?” column, this means that the vaccination was entered as a “historical dose” by an organization that did not administer the vaccine. Historical doses are based on the administering organization’s written documentation. (07/2015) – Page 2 Interpreting a MIIC Vaccination Record When a Vaccination is Listed as “NOT VALID” Occasionally, you might see that a vaccination is listed as “NOT VALID” on a client’s record. This happens when a vaccination does not follow the national Vaccine Recommendations of the Advisory Committee for Immunization Practices (ACIP) (http://www.cdc.gov/vaccines/hcp/acip-recs/). A vaccination may be listed as invalid for a number of reasons: Vaccination was given before or after the recommended age. Vaccination was given too close to another dose in the series (interval between doses is too short). Vaccination was a live vaccine and was given too close to another live vaccine (closer than 28 days). To find out why a vaccination is not valid, click on ”Date Administered” and MIIC will give you a pop up with the explanation. Clinical Decision Support Tool As part of a client’s vaccination record, MIIC gives users a Clinical Decision Support tool that forecasts the specific client’s vaccination needs. The tool is unique to each client because it uses ACIP recommendations to make forecasts based on the client’s current age and vaccination history in MIIC. Several dates and labels may appear in the tool: For vaccinations that still need to be given, the tool provides users with the earliest date that the client could receive the vaccination, the date that is recommended for the client to receive the vaccination, the date that the vaccination will be overdue, and the latest date that would be appropriate for the client to receive the vaccination. (07/2015) – Page 3 Interpreting a MIIC Vaccination Record “Complete” means that the vaccination or vaccination series has been given to the client appropriately and no further doses are recommended. “Maximum Age Exceeded” means the client is now too old to start or complete the vaccination series and no further doses are recommended. “Contraindicated” is used broadly in MIIC to mean that a comment listed in the client’s record indicates that no further doses are recommended. Comments that result in this label include medical contraindications to receiving the vaccine and client/parent vaccination refusals. “Maximum Doses Met or Exceeded for Vaccine Group” means the client has received the maximum number of doses that can be given. “Immunity Recorded for Vaccine Group” means that the client record has a comment that states the client is immune to the disease prevented by the vaccination type. Therefore, the client does not need the vaccination.
