Environmental Review Spring - Summer 2009 This review was designed to help determine if our departments messages is reaching students in the way we intended for the purpose of helping OSU present a strong identity and sense of community. Department reviews were voluntary and conducted by a team of two Student Affairs staff members and two student members. The reviews were conducted using a consistent rubric and set of criteria. The project was designed and mananged by the Student Affairs Communication Group under the direction of the Student Affairs Leadership Team. What is your story – What is the OSU story This review helps to determine if our message is reaching students in the way we intended for the purpose of helping OSU present a strong identity and sense of community. ____________Counseling & Psychological Services_____________ Department: Purpose: • Gain evidence of expressed values for individual and collective units within Student Affairs • Gain an understanding of gaps between stated values and expressed values • Gain an understanding of student perceptions regarding values for OSU • Gain a clear direction in how to better communicate our common values to the campus community. Overview: 1. Visit department once or twice, record impressions, take photographs, review the website and outreach material 2. Complete evaluation rubric of stated Student Affairs Values on page 5 1. Visit the Department: 1 Visit the department at least once – twice if environment changes during the day. What and who do you notice? (age, ethnicity, gender, etc.). What are staff and visitors doing? How does this space feel (inviting, cramped, etc.)? Use your five senses to observe the space. Visit 1: Date:_________Time:____________ As we entered CAPS, the first thing we noticed was a warm and welcoming environment with soothing yet warm colors on the walls. We felt very reassured of the professionalism of the department, with certificates and credentials posted on the walls of the staff and organization. The staff who greeted us were all very helpful, welcoming and knowledgeable of CAPS and the services provided. One item that was missing, was a clearer indication of where we were once we stepped off the elevator. There is no indication the office belongs to CAPS when the elevator doors open. There was a small sign on the desk far out of view though. The waiting/intake area is very comfortable as well as welcoming. A sense of diversity was present in their many culturally different paintings, tapestries and decorations around the office and waiting area. The Mind Spa area was very much in line with our healthy living initiative, however without knowing of its existence and location it would be hard for a student to know of its availability. The space was also as welcoming as the rest of CAPS, with a clear purpose and approachability to it. The confidentiality statement is a focal point and important for respecting the people that may be using the services. Variety of brochures and information to appeal to people with different needs. The environment felt welcoming to us and we believed it would be welcoming to others as well. Seemed to be set up in a way to respected people’s privacy. It had a warm and homey feeling. statement posted, noise makers in hallway showed valued the individuals seeking support. statement shows individual support and respect. The variety of issues to be addressed shows committed support to student success. Website Rating:_2__ Explain: Full of information and links of different services offer. Resources & phone numbers. Provides information for students’ well being and academic success. Some information seems buried (groups, mind spa). Most urgent topics do seem to be easily accessible on the home page. In general CAPS appeared to be good stewards of its resources. It didn’t seem to be over extravagant in any respect, but was still nice and welcoming. CAPS did a good job utilizing the space given in Snell. materials seem to represent good stewardship of resources. Talk about partnerships, career development, pre-doctoral program all of which show educational involvement with the OSU community and utilization of resources. CAPS is here to help the OSU Community, however, it is more implicit than explicit in how it is presented. Website is basic and not organized the best, may show lack of resources to support that medium. Website intro paragraph is worded above students, not to them. The beaver sign made it feel connected to the OSU community. It seemed like a very welcoming and caring environment. There were plants and an etch-asketch. The waiting room was hidden so that you didn’t feel like you were on display to everyone walking by. Information was available to stimulate new ideas or ways of thinking. Rating: 3 to other programs, resources and departments on and off campus. This shows commitment to serving the community even beyond their own capacity. Personalization in general brochure shows caring and confidentiality information shows responsibility. Website looks more like a resource page than a place for engaging the community. Visit: Date: April 22 Time: 4:00 p.m. General Impressions: • Lot’s of great informational brochures and resources – well organized and color coded. • Good open presentation – feels very welcoming for students. • Need direction on what to do with computers… • Front desk staff helpful and knowledgeable • Great soft seating areas – clean, neat, tidy – but still welcoming • Accessible • Website – good info for international students – lacking in other areas. Current events are posted on the web and in the center. Not very humanistic. Somewhat difficult to track web pages – not clear about what they do – hard to use and navigate – unless you know exactly what you are looking for. Visit 1: Date: April 16th Time: 3:00p.m. There was a meeting taking place. There was only one other person in the building besides the people at the meeting. He was on one of the three computers that was in the building. The staff were having a meeting but we were quickly greeted by one of the workers. It was welcoming and the worker quickly offered to give us a tour. (Example: The comfortable couches and chairs show they value friendliness, the crowded front desk shows lack of organization) From the values used as examples on the other page we chose: acceptance, adaptability, courage, courtesy, dependability, dignity, diversity, empathy, equality, fairness, freedom, friendship, growth, guidance, honesty, humor, inspiration, loyalty, openness, respect, self-esteem, tolerance, trust, welcoming. We found all of these adjectives to be very true. We really like the bright colors of the place. All of the walls were painted different colors with a room in the back that had comfy chairs and couches and definitely felt warm and inviting and gave the feeling of being safe. Even though there was a meeting taking place everyone was very welcoming and was quick to help us and welcome us into their environment. We especially enjoyed the kitchen that gives the space a homey feel that feels inviting for all. Strove to teach and inform us about the several options the Pride Center offers. Rating: 3 Explain: Colored walls inspired creativity and the center itself provides a wealth of knowledge to those who don’t know the LGBT community. Rating: 3 Explain: All the materials help to explain LGBT members as well as how to help yourself deal with personal issues against LGBT members. There was a lot of busyness and bustle, but in an exciting way. There were several people having coffee or studying in the main lounge. The atmosphere is interesting and reflects students positively through the artwork that is displayed throughout the main hallway. We also really like all the different flags that represent several different types of people, we believe that it makes them feel all people welcome. Visit 1: Date: 04/22/09 Time: 11-11:45 am I entered from the east entrance by Goss Stadium and walked through the center, taking pictures. I sat and observed from the tables in the lobby near Dixon Café. The visitors were mostly students, of mixed gender, and all appeared to be Caucasian. There were 2 people in the 35-45 age range that I saw when I was there. The space felt inviting and active. There were sounds of basketballs bouncing and equipment being used. The smell of food emanated from Dixon Café. The staff member at the Dixon Café was friendly and helpful, allowing me to customize my smoothie without dairy. Visit 2: Date: 04/29/09 Time: 12-1:00 PM I spent one hour using the facilities, specifically I spent time in the track and the weight room areas. Again the visitors were mostly students, I saw one staff member using the weight room. A Historical Chronicle of Recreation at OSU Art and bulletin boards cover the cement walls, warming up the atmosphere and space in Dixon. History was demonstrated as a value see the picture to the left. Image 2. Bulletin Board Bulletin boards had a consistant look and graphic design showng a value of consistency and cohesiveness. Bulletin boards also offered safety information and programs catered to first aid/CPR training. Challenge and Education were also consistent vallues demonstrated through bulletin boards and posters. Recycle bins and waste container It was refreshing to see ample opportunities to recycle in Dixon Rec, especially because they sell drinks in cans and plastic bottles. Overall, I feel Dixon Recreation Center is a place that is professional and there is a sense of pride among the people that work there. The space feels fun and active and caters well to students, staff, and community members searching for a fitness facility. Signage and art is cohesive and not distracting, it blends well and warms the space. It also advertises the fitness and educational programs that RecSports offers. Visit 1: Date: 4/9/09 Time: 8:45am As we stepped out of the elevator, we were in a waiting room that appeared to be for ELI with clocks with times around the world. The waiting room was a bit exposed, making you feel like you were a bit on display to those people coming in and out and walking between offices. We walked down the hall which felt like being in a residence hall - narrow hallway with white walls, some office had bulletin boards or art hanging outside their doors. We were asked to visit at a time when it was unlikely that there would be visitors. The student conduct office was clean, tidy and well organized. There was someone at the desk as we walked in and candy and info/business cards were readily available. It was painted with blue making it a bit more cool feeling, yet still welcoming. There was coffee, tea, and water available by the desk as you came in. The office was full of humorous items like beer goggles and a container that said “problem student ashes”. There was candy available at the desks and tables. There were items showing community like Beaver paraphernalia and things representing the U.S. It was also filled with posters, brochures and signs that reminded people to take responsibility, show respect to yourself and others, and do what was right. The student affairs anthem was available for people to pick up. One reviewer thought the signs could be viewed as overboard and could make people feel bad or get angry. It was quiet and felt a bit like a principles office. The chairs were all hard versus a couches which we saw in both CAPS & Student Media. There were tables away from the desks for meetings so that conversations could happen more naturally so that people didn’t feel as threatened from the beginning. Outside, in the hallway there was a bulletin board with brochures, but they were pinned to the board and even though it said “take me” it wasn’t really set-up to do so. General Impressions: Write down some words to describe your feelings and impressions when you walked into the building/department. 2 At first, we were not sure where we were going. There were a lot of offices and things around. The signage to get there was pretty good. We didn’t know who all would see us and what they would think about us going where we were going. The office was welcoming, but at the same time rigid. It was a small office, so there was no way to hide out or blend in with the background. It felt comfortable and we were greeted right as we walked in the door. The signs showed community and a clear message about taking responsibility and following the rules. The office seemed to imply that doing the right thing was black and white. It showed loyalty to U.S. and OSU and implied this idea of being a good citizen of your community. 2. The space felt quiet and calm. I wandered around the building and no one asked if I needed assistance except for a staff member who thought the jelly from my sandwich was blood. Outreach Material: SHS provides a plethora of pamphlets and materials to students and visitors about services and health related issues including tobacco cessation, sexual health, and many more topics. There was extensive information available in a wall mounted brochure display case. Good job at connecting their values. The office is upstairs and a bit out of the way. Nice, informative environment. Large Leadership and Development banner at the end of the hallway. Actual space was neat and light, but seemed a bit lackluster. There was a tri-fold poster board located downstairs outside of the Student Events and Activities Center that promoted the SLI office upstairs. 2. (Example: The comfortable couches and chairs show they value friendliness, the crowded front desk shows lack of organization) OSU stated student Values reflects all of the stated values so well. The materials they provided us with before and during our visiting time were very informative and helpful. The actual office itself seemed to lack a certain feel. The biggest problem was that there wasn’t an overwhelming feeling of anything, it was just kind of “blah”. That is not to say though that the help we received was very informative and the woman that we spoke with was very energetic and more than willing to help and very welcoming. The office gave a weird vibe but the workers gave a great vibe! Barometer Date: 4/9/09 Time: 9:20am Walking into the Barometer area of Student Media, you could tell you were approaching a professional workspace. The area was kept tidy, walls were free of clutter, signs were very clear. It also felt comfortable with music coming from the receptionist area, couches to sit on, and a coffee table with Prism to read. The area was well lit, and there was a large window through which you could easily see the Barometer workplace. Other than identifying with the Barometer as the OSU newspaper, there was only one Beaver sign in the area. KBVR Date:4/9/09 Time: 9:35am Upon opening the door to KBVR you could immediately tell that it was unorganized. The walls had hundreds of flyers, posters, stickers, etc. in no particular order or scheme. The waiting room had an unkempt feel to it, papers on the table and counter were disorganized, there was mold in the coffee pot, and it was difficult to find information. The KBVR brochure was very inconsistent with the rest of the area, it conveyed a message of professionalism, organization, and clarity. Despite the clutter, there was definitely a conveyed sense of personality to the area, you could tell it was run by students who were laid-back. Photograph the Department: Photograph some things you think represent the space: values, people, and the overall feel of the location. Some things to focus on include: accessibility, signs, and art. Do not photograph students as this could violate their privacy. Take some notes on what you are photographing and why. 2 General Impressions: Write down some words to describe your feelings and impressions when you walked into the building/department. Barometer: Professional, I felt that I was in a place that valued hard work and professionalism, without being too structured. KBVR: Unkempt, I was wondering who was in charge, who took care of upkeep. It felt very relaxed, like I could put my feet up on the table and no one would mind. 2. What and who do you notice? (age, ethnicity, gender, etc.). What are staff and visitors doing? How does this space feel (inviting, cramped, etc.)? Use your five senses to observe the space. Visit 1: Date: 04/23/09 Time: 12-1:00 PM There was two student workers in the main lobby, 18-22 years of age, and one visitor using the computer workstations (female, student 18-22), one male student 18-22 entered to use the computer workstations during my visit. When I entered the staff greeted me, when I said I was visiting and it was the first time I had been there she gave me a tour of the facility, the library, the kitchen. They have their mission statement right on the home page that is congruent with some of the SA Values. “As Shapers of the world and catalysts for change; We believe in the infinite potential of women, We choose to lead with passionate purpose, We provide advocacy and resources in a compassionate space, We act to promote the success of all, and we commit to equity, social justice and feminist ideals.” The website had some accessibility issues, (i.e. does not follow guidelines for web accessibility for people with disabilities).
