Overview
•
eShip@Penn is the new Express Shipping System. It is a shipping
management solution that offers comprehensive online tools for
shippers and facilitates compliance with regulatory guidelines.
•
eShipGlobal was selected through an extensive RFP process which
included input from our stakeholders (ORS, EHRS and ISSS) as well
as the project Advisory Group made up of School/Center
representatives from across the campus.
Goals of the eShip@Penn Solution
Implement an express shipping system that could:
– Minimize the University’s risk associated with shipping hazardous
and regulated materials by ensuring compliance with U.S.
Department of Transportation mandates
– Support International Student and Scholar Services (ISSS)
international shipping requirements for sensitive documents
– Facilitate compliance with export guidelines in an ever-changing
regulatory environment
– Allow choice among the available carriers
– Provide cost comparison to promote fiscally responsible choices
and features
– Preserve and enhance usability and functionality of the current
Express Mail application (online access using single sign-on, user
authorization, consolidated billing, G/L interface, reporting)

– Integrates with existing compliance tools (i.e. Visual Compliance,
Knowledge Link)

– Provides one standard platform to create and track regular as well as
hazardous shipments
– Locates shipping drop boxes conveniently on campus for all supported
carriers

Project Update
– Finalizing requirements and work flows for regulated shipping
• Working with ORS related to export compliance
• Working with EHRS related to hazardous/dangerous goods
– Established a test group of authorized shippers appointed by
members of the Advisory Group
• Currently testing the system on overall user experience
• Providing recommendations for training and ongoing community
support
– Working with the Advisory Group to develop communications,
feedback and training strategies
– Finalizing the configuration of technical aspects of the system
Next Steps
• Phase I – Pilot system live for regulated material shippers Jan. 2015
• Phase II – System live for regular business shippers – Spring 2015
• Phase III – Personal ship launched – TBD
• Targeted campus-wide communications to begin Dec. 2014 and
continue through Spring 2015
• Lunch & Learns, web-based and quick guide training materials will
be available
