Exercise | 46 Skills Covered ■ Set Margins for Multiple Page Documents ■ Insert Page Breaks ■ Insert Section Breaks ■ Insert Headers and Footers ■ Insert Page Numbers ■ View the Word Count Software Skills Make a long document easier to read and work in by inserting page breaks and section breaks, page numbers, and headers and footers and by adjusting margins to accommodate binding. Page breaks let you control where a new page should start, avoiding page layout problems such as headings at the bottom of a page. Section breaks let you apply different page formatting to different areas of your document. Headers and footers let you print information on the top or bottom of every page. Application Skills In this exercise, you will work with a version of the exercise report you outlined in Exercise 45. You will set margins, insert page breaks and section breaks, apply formatting, and insert headers and footers. When the report is complete, you will print it. TERMS Gutter Space added to a margin to leave room for binding. Binding Securing pages using stitching, staples, wire, plastic, tape, or glue. Mirror margins Margins set on facing pages so that the inside margin on both pages are the same and the outside margin on both pages are the same. Facing pages A left and a right page set to open opposite each other. Also called mirrored pages or a two-page spread. Inside margins Margins along the side of the page where binding is placed. Usually, the left side of right pages and the right side of left pages. Outside margins Margins along the side of the page opposite the binding. Usually, the left side of left pages and the right side of right pages. Soft page break The place where Word automatically starts a new page when the current page is filled with text. Hard page break A nonprinting character that tells Word to start a new page, even if the current page is not filled with text. Section Part of a document that can be formatted independently from other sections. Section break A nonprinting character that tells Word to start a new section within a document. Header Text or graphics printed at the top of all pages in a document. Footer Text or graphics printed at the bottom of all pages in a document. Word count The number of words in a document or selection. 627 NOTES Set Margins for Multiple Page Documents ■ ■ ■ ■ ■ Adjust the gutter width of a document to leave room for binding multiple pages. You can position the gutter on either side of a page or across the top, depending on where you plan to place the binding. Use mirror margins to set up facing pages when you plan to bind double-sided documents. With mirror margins, you set inside margins for the side of the page along the binding and outside margins for the side away from the binding. Word 2007 comes with a default Mirrored Margins option that sets the top, bottom, and outside margins to 1" and the inside margin to 1.25". ■ ■ Insert Section Breaks ■ ■ ■ ✓ For more information about setting margins, refer to Exercise 21. Insert Page Breaks ■ A standard 8.5" by 11" sheet of paper with 1" top and bottom margins has 9" of vertical space for entering text. ✓ The number of lines depends on the font size and spacing set- tings. ■ ■ ■ ■ ■ ■ ■ Word inserts a soft page break to start a new page when the current page is full. Soft page breaks adjust automatically if text is inserted or deleted, so a break always occurs when the current page is full. Insert a hard page break to start a new page before the current page is full. For example, insert a hard page break before a heading that falls at the bottom of a page; the break forces the heading to the top of the next page. Breaks move like characters when you insert and delete text. Therefore, you should insert hard page breaks after all editing is complete to avoid having a break occur at an awkward position on the page. In Draft view, a soft page break is marked by a dotted line across the page. By default, in Print Layout view page breaks are indicated by a space between the bottom of one page and the top of the next page; if you have nonprinting characters displayed, the space where you insert a hard page break is marked by a dotted line with the words Page Break centered in it. 628 You can hide the space between pages in Print Layout view. If you do, page breaks are marked by a solid black line. In Draft view, a hard page break is marked by a dotted line with the words Page Break centered in it. ■ A default Word document contains one section. You can divide a document into multiple sections to apply different formatting to each section. For example, you can set different margins, headers, or footers for each section. There are four types of section breaks: ● Next page: inserts a section break and a page break so that the new section will start on the next page. ● Continuous: inserts a section break so that the new section will start at the insertion point. ● Even page: inserts a section break and page breaks so the new section will start on the next even-numbered page. ● Odd page: inserts a section break and page breaks so the new section will start on the next odd-numbered page. In Draft view, section breaks display as solid double lines across the width of the page with the words Section Break in the middle, followed by the type of break in parentheses. In Print Layout view section breaks display only if nonprinting characters display. Insert Headers and Footers ■ ■ ■ ■ Insert a header and/or footer to print repetitive information such as page numbers, dates, author, or subject on every page of a document. By default, headers print .5" from the top of the page; footers print .5" from the bottom of the page. Word 2007 comes with a selection of built-in headers available in the Header gallery and footers in the Footer gallery. Use the Header & Footer group on the Insert tab of the Ribbon to access the Header and Footer galleries. Learning Microsoft Office 2007 ■ ■ ■ ■ ■ ■ Exercise 46 ■ Word 2007 comes with galleries of page numbers you can insert into your documents. ✓ Built-in headers and footers are building blocks, or preformat- ■ You can insert page numbers in the header, footer, or margins of the page, or at the current insertion point location. You can apply formatting to change the number style, include chapter numbers, or restart numbering in a new section. Restarting page numbering is useful when your document has a title page that you do not want numbered. You click a placeholder in the header or footer to type the text you want to display. ■ ■ click the placeholder, the drop-down arrow displays. ■ | Insert Page Numbers ✓ Some placeholders have drop-down lists of options; when you ■ Word The built-in headers and footers include placeholders for text. Some also include graphics elements and formatting, and some include fields for data such as the year or the date. ted objects. For more information on building blocks, refer to Exercise 57. ■ | When you insert a header/footer, Word displays the header/footer area in Header and Footer view. In Header and Footer view, the Header & Footer Tools Design tab becomes available on the Ribbon. To edit an existing header or footer, you must change to Header and Footer view. By default, a header/footer is linked to the header/footer in the previous section so that they display the same information. You can toggle off the link so that you can enter a different header/footer in each section in a document. You can set up a different header/footer on the first page. This is useful for omitting the header/footer on the first page. You can set up different headers on odd and even pages. Headers and footers do not display in Draft view; use Print Preview or Print Layout view to see them on the screen. View the Word Count ■ ■ ■ ■ Word keeps track of statistics for the current document, such as the word count. By default the word count displays in the Words area on the status bar. If you select part of the document, the status bar displays the word count of the selection and the total word count. You can open the Word Count dialog box to view additional statistics such as the number of lines, paragraphs, and characters.
