Manage Recurring Jobs
The Recurrent Job function is great for businesses who provide regular ongoing work to
customers such as preventative maintenance or other contract-based services.
Repeating or recurring jobs save dispatchers and service manager time and effort.
Manage your recurrent jobs to accommodate holidays, vacation schedules, personnel
changes, customer requests, weekend non business days, weather conditions and the
variety of factors impacting the constant change associated with scheduling jobs.
Once recurrent jobs are created they exist in a series. The job numbers are whole
numbers followed by a point one (.1), point two (.2), point three (.3) and so on indicating
what number in the sequence of repeating jobs that job occurs. A banner message will
display when the recurrent job is created listing the recurrent sequence from point one
(.1) to the end job in your sequence such as point fifteen (.15) as in the example below.
A recurrent job can be removed from this original sequence with one of the following
actions:
• Dispatching – Job is sent to the mobile device. Edits will be for this job only.
• Previous editing – Job has been changed from the original series conditions
• Deleting - Job has been removed from original series
Edit from the Job Record
Use to revise, modify, change, add or remove an aspect of a recurrent job.

Step 1.
Search for the recurrent jobs using the Quick Search or filter on the Jobs List.
The ‘Enable Job View’ right is required to view individual Job Record page.
Step 2.
Modify information on the Job by selecting edit in the Job Summary or Details
or by clicking into the Crew, Time & Labor or Task area while the job is in a
non-dispatched status and scheduled state. These actions require rights from
the Job Setting Area within ROLES & RIGHTS tab or on the User’s Record to
be enabled.

Step 3. When you have completed editing the job and select SAVE, the following popup will display for recurrent jobs in the original series. Select to apply edits to
‘All following jobs’, ‘This job only’ or to ‘Cancel’ the action.

Select to apply the edits, modifications or changes to all future non-dispatched,
scheduled recurrent jobs in the series with a higher job ID sequence number.
After saving, a banner will appear at the top of the job page showing a list of the
edited job ID sequence number(s).
For example: Once edited, these jobs will become their own series.
Job IDs will not change, but if J171.4 is edited and ‘all following jobs’ is selected as
shown in the banner below J171.4 and J171.5 are in their own series
Then editing J171.2 and selecting ‘all following jobs’ will not change any jobs from
J171.4 and higher even though a quick search displays 5 jobs.
After saving, a banner will appear at the top of the job page showing a list of the
edited job ID sequence number(s). In this example only J171.2 and J171.3 are
updated.

Description
This job only
Select to apply the edits, modifications or changes only to that job. Once edited, the
job is no longer a part of the original series.
After saving, a banner will appear at the top of the job page showing only the job ID
sequence number edited.
For example: A job is created to recur monthly for the next 5 (five) months. A
Quick Search displays all five jobs.
Select to edit J172.4 and ‘this job only’ is selected. Once edited, this job will no
longer be considered a part of the series. The Job ID will not change.
Then when editing J172.2 such as adding a new task to the job and selecting ‘all
following jobs’ will not change J172.4. Notice the banner at the top of the job page
showing only the job ID sequence number edited and J172.4 does not display.
A filter on your Jobs List will show all the jobs for ID J172.
Cancel
Dismiss the edits, modifications or changes and returns you to the selected job in
editing mode.
Delete from the Job Record
Use to permanently remove a recurrent job from your schedule.

Step 2.
Select DELETE. You will be unable to undo this action. This action requires
permission to ‘Enable Job Delete’ right in the Job Setting Area within Roles
and Rights tab or on the User’s Record.
Step 3.
The following pop-up will display for recurrent jobs in the original series.
Select to delete ‘All following jobs’, ‘This job only’ or to ‘Cancel’ the action.

Select to delete all future non-dispatched, scheduled recurrent jobs in the series
with a higher job ID sequence number.
After deleting, a banner will appear at the top of the Jobs List showing a list of
the deleted job ID sequence number(s).
For example: Create a recurring job for Monday every week for 5 (five) weeks
Quick Search or filter for the recurrent job. J173.1 is not dispatched. Select to
delete ‘All following jobs’ and all jobs in the sequence are deleted.
This job only
Select to delete only that job.
After deleting, a banner will appear at the top of the Jobs List showing only the
job ID sequence number deleted.
For example: Create a recurring job for every year for 5 (five) years
Quick Search or filter for the recurrent job. J174.1 is not dispatched, but will not
be needed to be completed this year. Select to delete ‘This job only’ and only
the selected job J174.1 is deleted.

The Jobs List is a record of your jobs and quotes displayed by date range. Sort, filter,
and view select grid columns to quickly and easily find a specific series of recurrent
jobs. Select the individual jobs for one of the following multiple job actions available
from the Jobs List:
Multi-select Action
Description
Delete
Removes Job(s) from your account. Be certain this is the desired action as
this action cannot be undone. Deleted job(s) are unrecoverable later.
Invoice
Create one invoice with multiple jobs at the same location for a Customer.
You can invoice 100 jobs at a time.
Assign
Change the Job Lead on one or more jobs when the assigned Job Lead is
unavailable or the job is unassigned. This action will remove job(s) from
initial Job Leads mobile dashboard and notify new Job Lead of reassignment. Place assigned jobs in the unassigned queue using this action.
Print
Create a PDF with multiple jobs listed. You can print 100 jobs at a time.
Each job will start on a new page.

Filter your Jobs List to display a list of jobs desired for a multi-action.
Choose the jobs that you want by selecting the check box on the left side of
the jobs grid. Note: Click on the box in the header row to select all rows.

the selected job records

Tips and Techniques
Consider the following tips and techniques as you manage recurring jobs.

Use the Quick Search or Jobs List filters to locate all jobs in a recurring
sequence.
Editing recurrent jobs anywhere other than the Job Record page will impact that
job only. The ability to apply edits to all following jobs is from the Job Record.
Actions such as Delete, Invoice, Assign and Print can be selected for multiple
individual recurring jobs listed on the Jobs List
Recurring jobs that have been dispatched to the mobile will not be available for
editing future recurrent jobs. You will only be able to edit the single dispatched
job
Editing ‘This job only’ will remove that job from the recurrent series even though
the job ID and sequence number remains the same.
Editing ‘All following jobs’ will group those jobs together as their own series even
though they retain the original job ID sequence number.
Editing or deleting jobs in a series anywhere other than the Job Record page will
affect that job only. This includes:
o Assigning Crew from the Job List
o Deleting Jobs from the Job List
o Rescheduling Jobs on the Scheduler
o Reassigning Jobs on the Scheduler
Deleting ‘This job only’ will remove only that job.
Deleting ‘All following jobs’ will remove all non-dispatched jobs in the original
series with a higher Job ID sequence number.
Once a job is dispatched to the mobile, edits and deletion cannot be applied to
subsequent jobs in that recurrent job’s original series.
Deleting jobs in a series anywhere other than on the Job Record page or from
the Jobs List using the ‘Delete’ multi-select action will affect that job only.
When you archive a user who is a job lead on recurring jobs, the scheduled, nondispatched recurring jobs will be placed in your unassigned queue on the
Scheduler.

Summary Activity
Sometimes, once just isn’t enough, so jobs can be scheduled to repeat daily, weekly,
monthly or yearly for a certain number of jobs or until a completion end date. Manage
your recurrent jobs individually on the Job Record, using the multi actions from the Jobs
List, or using the ‘All following jobs’ option for scheduled, non-dispatched recurrent jobs
on the Job Record.
Activity 1: Edit a recurring job for selected job only

Choose the jobs that you want deleted by selecting the check box on the
left side of the jobs grid.
Click the Delete multi-select button on the top left.
Confirm the multi-job delete action with selecting the Yes, Delete button
Quick Search the job ID to verify you have deleted all the recurrent jobs
Managing jobs is a critical dispatcher role responsibility. Recurrent jobs will save
dispatchers and service manager time and effort.
