University of Manchester Chorus Elected Role Descriptions
President
The President is the face of the society and is where the ultimate responsibility
for the running of Chorus is held.
As President, responsibilities are as follows…
 Chair regular committee meetings
 Ensure members of the committee are upholding their responsibilities
 Liaise with other music making societies around the University to ensure
event dates don’t clash
 Liaise with the University’s music department to ensure rehearsals occur
 Liaise with the University’s Whitworth Hall to ensure concerts are
successfully planned
 Fill out forms regarding event planning and risk assessment
 Send out weekly updates to Chorus members

Vice President
As the Vice President, my role is to support the President.
Specific duties include…
 Being prepared to stand in for the president if he/she is not available.
 Attending all the committee meetings
 Helping to set up the Whitworth Hall on concert days and making sure the
chorus knows when to get on stage.
 Arriving early at rehearsals to help take attendance, making sure the
registration process goes smoothly
 Distributing flyers at the freshers fair and for the two annual concerts.
 I am also available to help any other committee members with their tasks
should they need help.

Secretary
The Secretary’s role is mainly that of administration.
Responsibilities are as follows…










Book rooms for committee meetings
Produce and circulate agenda/minutes for each committee meeting
Take minutes for each committee meeting
Collect copies of papers distributed during meetings as and when
necessary
Distribute minutes as soon as possible after the committee meeting
Produce committee contact list for distribution at the first committee
meeting of the academic year.
Book necessary rooms for rehearsals
Sort received mail – through the Chorus pigeonhole in the Martin Harris
Centre reception.
Draw up and post out contracts to soloists as well as being the main
source of communication from Chorus.
Liaise with insurance provider concerning payment of membership,
subscription, and Performing Rights Society fees.

Treasurer
The Treasurer is responsible for the financial side of Chorus.
Responsibilities are…
 Help register and take membership subscriptions from Chorus members
for the registration periods
 Sell tickets before rehearsals
 Operate box office at concerts
 Liaise with Martin Harris Centre box office and Quaytickets
 Maintenance of both electronic and paper copies of Chorus’ finances for
the academic year.
 Work closely with managers of Chorus’ daughter choir, The Cosmo
Singers, concerning their annual budget.
 Preparation of yearly budget
 Authorisation of expenditure when necessary
 Presentation of accounts at AGM
 Work closely with Supervising Treasurer concerning the safeguarding of
budget.

Librarian
The Librarian is responsible for ensuring Chorus members have music
Duties include…
 Working closely with Supervising Librarian to source music at a
reasonable cost
 Liaising with Treasurer to realize budget for sourcing music
 Contacting various libraries concerning procurement of relevant scores
 Distribute scores to members of the Chorus during registration period
 Collect and return scores to appropriate source after concert
 Attend regular committee meetings

Attendance Secretary
The attendance secretary primarily deals with the administration side of
rehearsals.
Responsibilities include…
 Collecting contact details of Chorus members during the registration
periods.
 Collating this information to create registers to take attendance on a
weekly basis
 Collating contact information to create a database to make it easier to
contact specific members
 Keeping track of everyone’s attendance
 Contacting members if they have missed several rehearsals
 Liaising with the managers of Chorus’ daughter choir, The Cosmo Singers
 Liaising with the University’s music department concerning first study
singers

Public Relations Secretary
The role of publicity has been split into two roles in order to make the role less
taxing. The role of public relations is primarily concerned with defining the
Chorus’ place within Manchester’s choral community
Specific duties include…
 Communicating with other choirs, and other music making societies,
around the Greater Manchester area concerning distribution of electronic
posters/flyers and advertisement to promote concerts.
 Providing regular updates on Chorus’ social media pages such as
Facebook, Twitter, etc.
 Working closely with Chorus’ web designer concerning society’s website.
 Creating a good, reciprocal relationship with other societies concerning
promotion of events – this includes passing on information from outside
organizations to the President for the weekly update to Chorus members.
 Working closely with Publicity Materials Secretary to distribute flyers to
members of public, either through physical flyering or by electronic and
social media
 Attending regular committee meetings

Publicity Materials Secretary
As mentioned above, this role has come out of the pre-existing Publicity role.
This position now deals more with the creative aspect of publicity.
Responsibilities include…
 Liaising with committee members concerning desired aesthetic for
publicity materials
 Compiling, designing, and formatting professional posters/flyers and
concert programmes
 Liaising with Secretary concerning soloist biographies for programmes
 Liaising with Attendance Secretary for Chorus personnel for programmes
 Liaising with Manchester University Music Society (MUMS) for orchestral
personnel for programmes
 Liaising with MUMS for procurement of flyering licenses
 Working closely with Public Relations Secretary to distribute flyers to
members of public, either through physical flyering or by electronic and
social media
 Attending regular committee meetings

General Members (3)
The role of general members is to assist members of the committee with the
smooth running of Chorus.
Duties are varied in this role and include…
 Helping out during registration periods
 Assisting the Attendance Secretary with signing in members at the
beginning of each rehearsal.
 Being a general point of call for members with questions/problems
 Encouraging new membership, ticket sales
 Helping out with concert logistics
