Job Description – Bilingual Receptionist General Description: DirectBuy is a member-focused club committed to helping its client save on a host of goods, fixtures and appliances. Members purchase these products from over 700 top brand names in the US and over 500 in Canada. DirectBuy of Ottawa seeks to increase its membership continuously and to provide its current members with the highest quality information and service to facilitate their purchases. Division/Sectional Description: The Service Division’s primary responsibility is to help members select the appropriate merchandise from DirectBuy’s wide variety of offerings. The Division is composed of Service Associates who are generalist in nature and Service Associates who are assigned to specific areas including Kitchens, Blinds and Plumbing. The Division also includes a full-time Cataloguer and a Receptionist and all warehouse personnel. Organization and Placement: The Service Section is part of the Service Division. It is headed by the Service Supervisor Specific Position: Receptionist Reports to: Service Supervisor Responsibilities and Tasks: A receptionist must: Greet members and other visitors to the club in a pleasant and professional manner Handle all telephone inquiries and voice mail messages and direct callers to the appropriate staff member or section Take messages for other staff members Check in members Access all message on TOPS and direct messages to the proper personnel or handle those directly if appropriate Assist members in signing out samples and tracking same Submit reports on daily traffic as requested Assist other staff members on the floor as required Monitor the security of the building’s front access Knowledge and Understanding: A receptionist must know and understand: All features of most conventional phone management systems: voicemail, transfers, call back etc. How to greet people in a professional and positive manner Sound general knowledge of the goods, services and practices of DirectBuy generally and the Ottawa operation in particular All aspects of TOPS which impact upon his/her role How to manage the various in-house forms which impact on the role i.e. purchase orders, price integrity requires forms etc. Personal Qualities Exhibited in the Workplace: A receptionist must be: Punctual In regular attendance for scheduled hours of work Capable of working well in a team environment Capable of working well as an individual without the need for direct supervision Presentable in appearance, language and decorum Empathetic to the needs of members and co-workers Tactful Eager to learn and to advance his/her career Loyal to the club and to the company at large Qualifications: The following are considered entry level qualification for this position: Secondary school graduation diploma or equivalent (preferred) Fluency in both English and French, in particular with oral communication Facility with the following software programs: Excel, Outlook and Word A capacity to work on one’s own without a great deal of supervision Experience in the retail field and in a receptionist position are considered distinct advantages Last updated: July 2015 If you are interested and qualify for this position please forward your resume with Bilingual Receptionist in the subject line to: [email protected]
