Invitation for Bids
In continuation advertisement published on dated 03.05.2015 and 20.6.2015, sealed tenders are
invited for the third time, under 02 bid system for AMC of electronic items in various
departments and central facilities of the university.
Technical Bid
Terms and Conditions:
1. Bids are invited under two bid system i.e. part I -Technical Bid and part II-Price Bid. The
technical bids and price bids should be submitted in individual separate sealed covers, which
shall again be put in an envelope duly sealed and duly superscribing the envelope with the
tender number & giving brief details of the tender.
2. The bid shall be accepted in the office of ‘The Pro Vice Chancellor, Bundelkhand University,
Jhansi-284128’ as per the schedule given above. The envelope containing the tender
documents should specify the details of the tender along with the opening date.
3. The Bids shall be accepted on the specified tender form only. Additional information if any
should be provided by attaching additional sheets. The tender form may be purchased form
university cash counter or may be downloaded from the university website. The tender form
downloaded from university website should be accompanied with demand draft of tender
form cost. The draft should be in favour of Finance Officer, BUNDELKHAND
UNIVERSITY, Jhansi.
4. The Bids must be valid from one year from date of opening of price bids.
5. The duration of the AMC shall be 03 years from date of issuance of work order or as
specified in the agreement.
6. Tenders not complying with the mentioned conditions are liable to be rejected without any
further reference/correspondence.
7. The time and date of opening of price bids shall be intimated to the technically qualified
bidders only.
8. All bids must be accompanied with EMD of required amount. The EMD may be in the form
of demand draft/Bank Guarantee in favour of Finance Officer, Bundelkhand University,
payable at Jhansi, The BS should be valid for six months from date of submission of tender.
The bids without EMD shall be rejected.
9. Submission of Performance Bank Guarantee: The successful tenderer shall be required to
submit a Bank Guarantee in form of TDR or PPG from a bank valid for the entire contract
period along with the contract acceptance letter. The PPG must be in favour Finance Officer,
BUNDELKHAND UNIVERSITY, Jhansi.
10. The firm should be registered with Sales Tax Authorities. Income tax return certificate for
the past three years should be attached with the tenders form.
11. The quoted price should be FOR university site inclusive of all taxes. The repaired items
shall be bear a warranty of one year from date of repair.
12. In the technical bid, the firms are required to quote the brand of various repair items to be
supplied. The technical bid without brands shall not be accepted.
13. The firms are advised to visit the central store of the university for the list of items and may
check the items in respective departments before submitting the tender.
14. The payment for repairs of items shall be made within 15 days of production of bills by the
vendor. The charges of AMC shall be paid on 06 months basis on production of bills and
satisfactory report of the concerned committee.
15. The maximum downtime for items under AMC is 03 days of filing of complaint by the
concerned section of the university. A deduction of Rs.100/day shall be made due to late
services. In case the problem of downtime persists, suitable action including forfeiting of
performance guarantee/fine shall be taken against the service provider.
16. The vendor is required to quote for AMC charges on unit price basis for the period of AMC.
The quoted price must be inclusive of all taxes and on FOR university basis. No additional
payment of whatsoever type shall be made to the vender.
17. The university reserve the right to give work to one or more firms.
18. The repaired items shall be taken in AMC after repair. The firm is required to quote standard
brand for repairs. The university reserve the right to accept or reject the brands quoted by the
firm.
19. The firms is required to submit relevant information as per annexure-I and II. The
performance of the firm shall be evaluated on the basis of these details and the firms shall be
shortlisted for opening of financial bid . Relevant documents as proof must be attached with
the annexure. Tenders without duly filled annexure shall be out rightly rejected.
20. Bundelkhand University reserves the right to accept any or all tenders either in part or in full
or to split the order without assigning any reasons. All disputes or differences arising
between the parties out of or relating to meaning and operation of effect of this tender or
breach thereof shall be settled by arbitration. The arbitrator shall be appointed by the Vice
Chancellor and the whole decision of the arbitrator shall be binding on both the parties. In
case of any legal dispute, the jurisdiction will be Jhansi only.

Financial Bid
1. The quotes should be typewritten/neatly written and should be without
cuttings/overwriting.
2. The rates quoted should be as per the technical details of schedule of requirements
mentioned in the technical part of the bid.
3. It should not be put in technical bid. Doing so invalidates the tender.
4. The vendor is required to supply minimum quantity of wires of suitable quality,
rubber/steel packing, nuts and bolts, sockets and plug tops for smoothing functioning of
the items during the AMC period. The items shall also be supplied during the repair.
5. The vendor is required to quote for AMC charges on unit price basis for the period of
AMC. The quoted price must be inclusive of all taxes and on FOR university basis. No
additional payment of whatsoever type shall be made to the vender.
