President’s Report – Carl 1. Winter Forum a. Winter Forum budget included a $4,000 revenue item. This was to provide a unique sponsorship opportunity for a potential corporate partner. Currently, one company has contacted Carl with the possibility of becoming a $10,000 sponsor. b. Potential sessions include Building a Relationship with your City Attorney, Economic Development. c. Committee is meeting next week, information will be coming out soon and as well on the web site. 2. 2010 Sponsorship Program a. Things are going well, two or three of our regular sponsors have already signed their contracts and Carl just had a meeting with Willdan. Again, please coordinate with Carl and Mike if you approach any potential sponsors. We need to make sure we work together to ensure the best outcome for MMASC. IV. Vice President’s Report - Aggie 1. 2010 Annual Conference Update a. Committee already had their first meeting. We’re about 4 months away from the conference start date. We have various sub-committees including scholarship, sponsorship, programming, marketing, etc. We will have more details at the next board meeting. Finance Officer’s Report - Mike 1. Mike provided a written report. a. Accomplishments from previous month included adopting the annual budget, purchasing and installing Quickbooks Pro, and processing several event reimbursements. Mike noted that on the reimbursements everything seems to be going smoothly, but he reminded everyone to submit the necessary receipts and backup to help ensure timely processing. b. Revenues Summary c. Expenditures Summary d. Region Balances e. Goals for next month include: filling last two vacancies on the budget oversight committee and setting the quarterly meeting dates/times, reviewing each finance form to determine if revisions are needed, and work towards revising the MMASC budget format to include narratives, descriptions of various funds, etc. VI. Communication Officer’s Report - Clay 1. Website and Website Training a. Successful final website training session on Monday, Jan. 11th. Handouts from the training are posted online at the Regional Chair Resources page. Clay is also updating various parts of the website and will be publishing the Winter Forum and Annual Conference pages shortly.. 2. Social Media Update a. MMASC is now on Facebook and LinkedIn. Links to those sites are on the main MMASC.org under the Outlook newsletter button in the center column. We currently have 13 Facebook Fans and we need 25 before we can create a unique Facebook URL for MMASC—so please join! Events, links, articles, and hopefully pictures will be shared on both sites. b. Carl asked if we are we able to get stats for site traffic or page views from the social media sites. Clay responded that yes, we could in fact do that. He reported that although our presence on Facebook is still new, we have 13 Facebook Fans, 68 unique visitors, and 15 page views since January 6th. He will also provide data in the future. 3. Newsletter Frequency a. The Executive Board met and discussed changing the frequency of the newsletter. Part of this is cost driven. The newsletter will become a quarterly publication with a special issue prior to the annual conference and supplemented with more frequent electronic updates, as well as the social media outlets. b. Carl mentioned that with the reduced frequency, we are really focusing on quality content for the newsletter. 4. Miscellaneous Items a. If anyone is not receiving listserve emails or html emails (including the December newsletter), please let Clay know so that we can resolve that. b. We have been contacting members and board members who need to renew their membership. If that is you, please get that resolved. Central Coast – a. Preparing for the January 27th event: “Leading in Tough Economic Times” at Opal Restaurant in Santa Barbara. Speaker is Jason Stilwell who is the County of Santa Barbara Asst CEO/Budget Director. b. March – social networking event planned in Pismo Beach (date and venue to be determined.) c. April 8 – is actually a rescheduled event from last year that was cancelled due to the fires. d. Also reaching out to the City of San Luis Obispo employee group who is interested in professional development opportunities and the County of Santa Barbara employee association. 2. Channel Islands – a. Hosted a successful event on December 10 – Annual Luncheon with Regional City Managers. 8 of the 10 local CMs attended, plus the County CEO and Exec. Director of Ventura County Transportation Commission. b. LA Kings mixer – planning for the upcoming mixer at the LA Kings game on Feb. 11th, we were able to secure a discounted group rate of $26 per person for the game, plus a tour of the Staples Center beforehand. More details to follow. c. Next event is scheduled for early March in Thousand Oaks, date and time to be determined. 2. Desert – a. No new events to report. Local cities are facing severe economic challenges and this will make it even more difficult for members to attend MMASC events. b. Carl suggested looking for local sponsors to help offset costs and look for free/low-cost venues such as Council Chambers, community meeting rooms, etc. 3. Inland Empire – a. No one was present to provide a report. 4. North LA – a. Next event will be the Lunch with City Managers at Santa Anita Race Track in Arcadia on April 14th; currently working with the San Gabriel Valley City Manager’s group and trying to bring ASPA on as a co-sponsor as well. 6. South LA – a. Recently hosted their first event, and online conf. call/webinar. b. Planning another in the next month or so. 7. Orange County – a. Working with the League of California Cities to host a roundtable on some upcoming ballot measures including pension reform, redevelopment and transportation funds seized/attempted to be seized by the State, etc. Plan is for this event to occur in February. b. Carl commented that anyone who is interested in having a League rep visit their event and provide an update on what’s happening at the state level, that opportunity is available and can be arranged through him. Regional Reports – (continued) 8. San Diego County – a. Busy planning the “Strategic Communication” event on February 2nd. b. Upcoming events also include the reception during the City Manager’s Department meeting in Carlsbad on February 4th and at the upcoming Young Professionals Leadership Institute in conjunction with the ICMA Regional Summit in March. c. Considering adding a City Manager’s lunch event similar to other regions as well. d. Tracy mentioned that she can provide MMASC materials for region events, just contact her to request brochures or other items. e. Tracy also mentioned that CMs are provided honorary memberships and that regions should help advertise this benefit to City Managers. Carl will obtain a list of City Managers that we can use to advertise the honorary membership option VIII. Executive Director’s Report – Tracy 1. Current MMASC Membership – 556 as of Jan. 6th 2. Number of New Members for December – 8 3. Number of Renewals for December – 17 4. Today sent an email to 425 lapsed members back to when the website what changed in 2007. Already 4 responses for renewals and 2 responses from people that have moved on and will be removed from our list. IX. Adjourn – Carl 1. Motion by Carl seconded by Mike J.
