Selecttwo(oneprimaryandonebackup)peoplewhowillberesponsibleforuploadingyourbulk
paymentfilestoKuali.Youcanaddathirdindividualifdesiredbutnomorethanthreewillbe
authorized.TheseindividualswillbeprovidedwithaccesstoPDPinKualiforfileuploads.They
willalsobeautomaticallygivenaccesstotheemailnotificationsthatsupportuploadaccess.If
youwishtohaveauserincludedforemailnotificationsonly,andnotuploadcapability,please
citethatinyourrequest.

Ifapplicabletoyourprocess,selecttwo(oneprimaryandonebackup)peoplewhowillbe
responsibleforinvitingandtrackingyoursuppliersinUSCSupplierPortal.Theseindividualswill
beprovidedwithaccesstoUSCSupplierPortal.BusinessOperationswillcoordinatetraining
withyoupriortoaccessbeingprovided.

Beforeinvitingasuppliertoregisteryourdepartmentmustfirstsearchinouractivedatabaseto
seeifthesupplierisalreadyavailableorinvited.Ifthesupplierisavailablepleaseusethe
existingKFSID.Ifthesupplierisnotavailableyoucaninvitethemtoregister.Onceyour
departmenthasbeengivenloginaccesstoUSCSupplierPortalitwillbeyourresponsibilityto
trackthestatusofyoursuppliers’’applicationsandlocatetheassociatedKFSnumberonce
active.
Updatingexistingsupplierinformation
IfasupplierisactiveandhasaKFSnumberbuttheinformationisthesystemisincorrect,please
workwithyoursuppliertohavethemupdatetheirprofilerecordviatheUSCSupplierPortal.
ThepurposeoftheUSCSupplierPortalistoallowselfͲserviceandmaintenanceforthesupplier
directly.SDMScanissuepasswordstoexistingsuppliers,allowingthemtologinandupdatetheir
profile.
Forcertaininstances,SDMScanassistwithprocessingthechangedirectly.Thisincludes
governmentagenciesorinstitutionsthatdonothaveaccessiblecontactsforprofileupdates.
Fortheseinstances,pleasesubmitarequestforamanualupdateviaaKualiGeneralPurpose
WorkflowdocumentandAdHoctoSupplierDataManagementServices(pleaseFYI––Nina
Pukonenontheworkflow).Yourrequestmustbedetailedandaccuratetoallowfortimely
processing.Anyrequestnotmeetingthecriteriawillbereturned.
IfasupplierisactiveandhasaKFSnumberbutyourequireanalternateremittanceaddress,the
preferredapproachisforyoursuppliertoupdatetheirprofileviatheUSCSupplierPortal.Ifyou
encounterresistancefromyoursupplier,pleasesubmitaKualiGeneralPurposeWorkflow
documentandAdHoctoSupplierDataManagementServices(pleaseFYI––NinaPukonenonthe
