Accessing Advanced Security Options
PCLawTM Security is based on users and groups. Groups are defined to have access to specific
PCLawTM features. Users are created, assigned a unique password, and made a member of one
or more groups. Once a member of that group, a user has all the rights of that group.
Advanced security options allow users to be assigned individual rights to view or to change
Calendar events, matter, time, or bank account information or limit access to Matter Manager.
This documents describes the advanced security options in PCLawTM. It is one of four documents
describing the different components of PCLawTM Security. Other documents detail users and
groups, security specific to PCLawTM modules, and the Security Listing.
Accessing Advanced Security Options
The security advanced settings tabs are accessed by clicking the Advanced button under the
Users tab of Security Setup. You must be logged in as Admin to access the advanced security
settings. Opening the Security feature differs depending on the version of PCLawTM.
1. Click the Options pull-down menu to select Administrator > Security and display the
Security Setup window.
2. Highlight the user to whom the advanced settings will apply. Advanced settings can only be
assigned on a user by user basis.
3. Click the Advanced button to display the Advanced Security Settings window.

Matters Tab
The Matters tab restricts user access to clients, responsible lawyers, and types of law.

Enable Access on a Matter Basis
• Check to assign specific matter rights to a user
• The User is allowed access to options for Client, Responsible Lawyer, and Type of Law are
enabled.
Client
Restrict access to particular clients by selecting one of the following:
• Select All to include all clients
• Select Selected to grant the user access to particular clients. Click the Select button to display
the Select Clients window. Check the clients to whom the user requires access.
Responsible Lawyer
Restrict access to responsible lawyers by selecting one of the following:
• Select All to include all lawyers
• Select Selected to grant the user access to particular lawyers. Click the Select button to
display the Select Lawyers window. Check the clients to whom the user requires access.
Type of Law
Restrict access to particular types of law by selecting one of the following:
• Select All to include all types of law
• Select Selected to grant the user access to particular types of law. Click the Select button to
display the Types of Law window. Check the types of law to whom the user requires access.
Always Include Matters
• Click to grant the user absolute access to specific matters using the Select Matters window.
Always Exclude Matters
• Click to restrict the user absolute access to specific matters using the Select Matters window.
Allow User to Change Matter Security from Matter Manager
• Check to grant the user the ability to restrict access to matters for other users from within
Matter Manager
• If the staff member is allowed to change matter security, then the User can do this in a Matter
Manager Window
• On the Matter Manager > Settings tab, click the Security to change other users’ security for
this matter

User Names with access to the matter are selected. Select/deselect users as applicable to
allow access or restrict access to each user respectively.

Matter Manager Tab
Settings on the Matter Manager tab determine if the user can change or even view areas under
the Main, Billing, Settings, and Custom tabs of Matter Manager. Rights to hide or add custom
tabs are also assigned.

Full Access
• Allows the user full access to the assigned area.
View Only
• Allows the user to view but not change information.
Hidden
• Prevents the user from viewing information for the specific area.

The areas on the Matter Manager tab affect options in Matter Manager as displayed in the
following table. The Hidden setting for the Settings and Custom tab hides the entire tab.

Allow User to Add Custom Tabs
• Check to allow the user to add Custom tabs in Matter Manager.

Bank Accounts Tab
The Bank Accounts tab restricts user access to particular general and trust bank accounts.

• Check to assign rights to specific bank accounts
• When selected, access to each bank account may be controlled. A check mark indicates that
the user has access to the specified bank. No check mark indicates that the user is restricted
from viewing or accessing the specific bank account

If the user is granted access to all general bank accounts, PCLawTM regards the Enable
Access to General Bank Accounts option as being disabled
When de-selected, the user has access to all General/Trust bank accounts according to the
rights assigned to the user’s group.
Time/Fees Tab
The Time/Fees tab can restrict user access to time entries as a whole, or limit modification rights
to specific fields within a time entry.

Restrict Access to
• Check to restrict user access to time entries for a specific working lawyer
• Click the Lawyer button to display the Lawyers window. Check each working lawyer to whom
access is to be restricted.
Restrict Deletion
• Check to restrict the user from removing time entries.
Restrict Fields
Select the clearance level for each box to restrict the user from modifying specific fields in a
time entry.
• Full Access allows the user access to view and change time entries at the time the entry is
created and after the entry is posted. After it is posted, the user can only view the entry
• Change Only On New allows the user to view and change the time entry only at the time the
entry is created. The user cannot change the entry after it is posted
• View Only restricts the user from changing a time entry
• Hidden restricts the user from viewing a time entry at any time.
Warning: Regardless of time or fee restrictions, the billing features do not restrict
entries or fields from being shown

• Check to make the field a mandatory field when performing data entry.
Calendar Tab
You can assign a user access to view or modify events for specified timekeepers. The access
can be limited to standard events or can include private events. All timekeepers with activated
Calendar licenses appear in the View Access > Timekeepers box.
Standard access allows you to see all events for the timekeeper that are not marked Private.
Making an event private prevents details from being viewed by anyone without private access.
Details Not Available is displayed in place of the actual event details. Private access lets you see
all the timekeeper’s events including event details.

Timekeepers
• Highlight the timekeeper in one of these panes to whom you want to grant the user additional
permissions.
Has Access To
• Highlight the timekeeper in one of these panes to whom you want to remove permissions.
View Access
• Assign the user access to view events of the highlighted timekeeper by clicking Add>>
• The timekeeper subsequently appears in the View Access > Has Access To box, indicating
the user can now see Calendar events for this timekeeper
• The timekeeper also becomes available in the Modify Access > Timekeepers box and the
Private Access > Timekeepers box, indicating the timekeeper is available to assign additional
rights to the user.

Modify Access
• Assign the user access to modify events of the highlighted timekeeper by clicking Add>>
• The timekeeper subsequently appears in the Modify Access > Has Access To box, indicating
the user can now see Calendar events for this timekeeper
• The user must have rights to view the standard events of a timekeeper before rights can be
assigned to modify the events.
Private Access
• Assign the user access to events for the highlighted timekeeper that are marked Private by
clicking Add>>
• The timekeeper subsequently appears in the Modify Access > Has Access To box, indicating
the user can now see Calendar events for this timekeeper.
Other Tab
The Other tab contains advanced security settings not related to the previously described tabs.
Allow Restrict Negative Trust Balance Override
• Check to allow the user to override the restrict negative trust balance option.
Hide Matter Balances
• Check to hide from the user, the matter summary sections on data entry windows.
