Theta Omega Chapter/Beta Chapter Chapter Meeting Minutes June 10, 2016 The meeting of Theta Omega Chapter was called to order at 7:01 P.M. by the Basileus, Soror Bertina M. PowerStewart. The minutes were recorded by the Anti-Grammateus, Soror Kimberely B. Jackson. The minutes from the May 13, 2016 Executive Committee meeting were approved with no corrections. CORRESPONDENCE –Soror Yolanda Bailey for Soror Kimberley Egonmwan • A thank you card was received from Soror Frances Carroll for a beautiful birthday card. • A thank-you card was received from Soror Dorretta Evans Parker for a beautiful birthday card & gift. • A thank-you card was received for all the prayers and well wishes which are helping to speed up her recovery. Hoping to see you all soon Soror Jackie Duncan. • A thank-you card was received from Soror Cam Tanner, regarding all of the chapter’s support when receiving the Distinguished Alumnae Award from the Chicago Theological Seminary, which included beautiful flowers, 2 free tickets donated by the chapter for the ceremony & luncheon, and attendance by Basileus Bertina Power-Stewart, Soror Fern Fernandez, Soror Cathy Nichols, Soror Tanya Simmons Harris & Soror Pat Chisholm. • A thank you card was received from Soror Carolyn Hunter for all the love, support, and acts of kindness shown to her and her family during the difficult time of losing her mother. • A thank you card was received from the family of Elmer Clark Jr. expressing the deepest of gratitude for all the acts of love and kindness shown to the family. • A thank you card was received from Soror Joyce Ewell’s family members David, Mark, & Tony for all the thoughts and prayers. • A thank-you card was received from Soror Kristian May Stewart & Soror Norma Butler May with sincere gratitude & appreciation for all prayers, calls, texts, Facebook posts, and words of comfort, love, and support. OFFICER’S REPORTS Basileus (Beta)- Soror Naadia Griffin (Report sent electronically) • Thank-you to all committee members and chairmen for working diligently to represent Beta Chapter’s unity and passion for service. • Congratulations to Beta Chapter’s five graduating Seniors! • Alpha Kappa Alpha Sorority, Incorporated’s 67th Boule is July 9 to the 14th in Atlanta, Ga. • Based on chapter size, Beta Chapter is allowed two delegates at 2016 Boule, which will be Soror Naadia and Soror Elizabeth. • 2016 Undergraduate Roundup will be held at Harris-Stowe State University, on September 9-10th, 2016 in St. Louis. • Sorors, please remember to mail your transcripts at the end of the semester/quarter to the AKArama Center. This requirement is mandatory in order to be active next semester and to receive your transfer papers. • Program dates will be decided collectively. Please let Soror Camille know your availability. Basileus (Theta Omega)- Soror Bertina M. Power-Stewart (Report on File) • The Chapter/Foundation tent has been ordered and is expected to arrive at the center before June 10, 2016. The tent’s first appearance is scheduled for Sunday, June 12, 2016 at the Pan Hellenic Cookout held at the Dan Ryan Woods. See Soror Eddie Bolton Howard for more information. • The Basileus is working with the Hyatt Regency Atlanta to plan a chapter gathering, at Boule, on Tuesday July 12, 2016. All plans are tentative. Once confirmed, information will be communicated to those attending Boule. • The Basileus met with the 67th Boule Delegates on Thursday, June 2, 2016 to review responsibilities and make assignments for reporting. • Communication has been received requesting Theta Omega Chapter sorors save-the-date of Saturday, September 10, 2016 for the 19th Annual Chicago Football Classic. Sorors will be asked to show their support of our Think HBCU initiative by wearing Pink and Green or HBCU paraphernalia. GRADUATE ADVISOR – Soror Rosalind Byrd (Report on File) • Beta Chapter Meeting was held on Sunday, May 29, 2106 at the Logan Center of Arts Room 801, at the University of Chicago at 1:14 p.m. 3 Beta Sorors were in attendance. • Congratulations to Sorors Camille Bundy, Alyssa Hogan, Mikitia Lee, Ashley Moore and Paige Williams for graduating. • Beta Chapter will have only 3 members in the fall of 2016. • Beta Sorors, with the assistance of members of the Graduate Advisor’s Council, worked to prepare for the chapter’s re-evaluation with the International Standards Committee, earlier in the month of May. The evaluation has not been scheduled. • All necessary forms have been filed and assessments have been paid for the 67th Boule in Atlanta, GA. Sorors Naadia Griffin and Elizabeth Adetiba will represent Beta as delegates to the Boule. • On June 10, 2016, please join the Friends to Elect Soror Elizabeth Adetiba, certified candidate for the office of Second Supreme Anti-Basileus, at her fundraiser from 5:30 p.m. to 6:30 p.m. at the AKArama Community Service Center. • June 10, 2016 is Beta/Theta Omega Joint Chapter meeting. • June 20, 2016, Beta sorors will partner with Theta Omega sorors for the next Impact Day activity, the Longest Day, which supports Alzheimer’s disease. • Soror Elizabeth M. Adetiba’s promotional documents were approved for print and disseminated by the International Nominating Committee. Thanks to Sorors Elaine Singh, Loann Honesty King, Deborah Underwood, and Tiffany Hope. Let’s wish Soror Elizabeth a successful run for 2nd Supreme Anti-Basileus. (Checks should be made out to Friends of Elizabeth M. Adetiba) • The 2016 Undergraduate Roundup will take place September 9-10 at the Harris Stowe State University, in St. Louis, MO. Accommodations are available at the Pear Tree Inn. Rooms are $119.00 per night. The registration deadline is Monday, August 8th. Undergraduates’ attendance is mandatory. • Beta Chapter is currently on probation at University of Illinois at Chicago. This is due to Beta failing to file their documents by the deadline. The probation will be reviewed at the Scorecard event in 2017. • The June meeting of Beta Chapter will be Sunday, June 12, 2016 at 1:00 p.m. at the AKArama Community Service Center. • The next Graduate Council meeting will be held Tuesday, June 7, at 6:30 p.m. at the AKArama Community Service Center. HODEGOS – Soror Laura Ellis We have (3) visiting Sorors this evening: Deseanna Johnson of Beta Chi (Past Teen Pearl), Libby Brothers of Mu Upsilon (Past Teen Pearl), & Crystal Parker Brack from Delta Kappa. 2 COMMITTEE REPORTS Program (Beta) - Soror Naadia Griffin for Soror Camille Bundy (Report sent electronically) • Beta Chapter had a very productive & successful semester by completing 14 programs since January. • As a whole our programs have hit each of Alpha Kappa Alpha Sorority, Incorporation’s National Target initiatives. • Our next event is The Longest Day, June 20th, 2016. TOCS -Soror Essie Kelly (Report on File) • On Thursday, March 24, 2016, TOCS held its first meeting of the year. • As in chapter Bylaws “It shall be the responsibility of this committee to hold meetings and activities for sorors who are retired.” • TOCS only meet March- June and September –November. • There are about 60 sorors that attend and participate in the Theta Omega Chapter Seniors meetings regularly. • At the March meeting, a technology workshop was held by Technology Chairman Soror Myesha McClendon • At the April meeting, the committee started working on Little Dresses for Africa guided by Soror Reneau Diallo. • At the May meeting, 37 dresses had been completed. Also, towels were collected to be given to a designated shelter. • On June 24, 2016, TOCS, chapter sorors and their guest will journey to New Buffalo, Michigan for a day of fun at the Four Winds Casino. • Soror Diane Dyer-Dawson is working with Ascending Young Pearls Chairman to finalize plans for High Tea with the young ladies. High Tea will be Saturday, June 11, 2016 at 10:00a.m. • Remember, you only have to be retired to join us in TOCS. PUBLIC RELATIONS/MEDIA TEAM- Soror Shanita Akintonde (No Report on File) • The committee started meeting in January 2016 with 6 members. • Throughout the year committee members meet monthly in person and/or via conference call. • Goals include extending the Alpha Kappa Alpha Brand which needs to be consistent and have a certain look and feel. • The committee host AKA Media day periodically with chapter members to decide what information should be disseminated to the Media which will always showcase the Chapter and Foundation in its best light. • Media Highlight in April was Basileus Bertina Power-Stewart and her son Haydon featured in an exclusive segment hosted by Ms. Courtney Gousman, a WGN/CLTV reporter that focused on the role that the March of Dimes played in assisting their family. • Thursday June 9, 2016 the Media Excellence Team will host Media Day at the AKArama Community Service Center. Reports, Columnists, Anchors and media freelancers are invited to “mix and mingle’ with AKArama Foundation President and Program Chairman to better understand what we do and to familiarize themselves with us. • If sorors know of media personnel that we can invite to Media Day, please email her at [email protected] or [email protected]. EXHIBIT/SCRAPBOOK -Soror Ebony Barney (Report on File) • The Committee is proposing “The WIZ in Pink & Green” as the theme of the exhibit for Regional Conference 2017. • Photos were taken of the Chicago skyline to recreate the Emerald City of Chicago. • The goal is having Theta Omega Basileus, Central Regional Director, and Supreme Basileus play a role in the theme. • Sorors who are interested in working on the exhibit and scrapbook are welcomed to join the committee. A sign up sheet was passed around or email Chairman Ebony at [email protected]. The Executive Committee recommends acceptance of Soror Ebony’s report. A vote was taken and the motion passed to recommend the theme of “The WIZ in Pink & Green” for exhibit at Regional Conference 2017. A vote was taken and the motion passed. 3 SORORITY RELATIONS- Soror Tamara Sanford for Soror Canielia Jarrell (No Report on File) • The committee is still taking orders for bling badges tonight. • May order of bling badges have arrived, sorors please pick-up. • Secret Soror participants that received and email or phone call from Soror Canielia, please pickup gifts tonight. UNFINISHED BUSINESS AD-HOC COMMITTEE for SISTERLY SOCIAL HOUR -Soror Rosie Sutton (No Report on File) • Average cost of catering is approximately $500.00 per month for Sisterly Social which occurs before chapter meeting each month. (about 250 Sorors attend each month) • $10.00/per Soror donation would be required to maintain Sisterly Social for the last 4 months of 2016. • $20.00/per Soror donation would be required to maintain Sisterly Social for 10 months of 2017. • This would be a donation NOT assessment. • Individual Sorors can sponsor a month. The Executive Committee recommends acceptance of Ad-Hoc Committee report regarding Sisterly Social Hour which proposes a $10.00 donation from each and every Soror to cover the cost of food for the remaining 2016 calendar year also with the intention of the Budget & Finance Committee having a discussion regarding finding a line item in the 2017 Budget for this expense. A vote was taken and the motion passed. ANNOUCEMENTS-Soror Yolanda Bailey for Soror Kimberely B. Jackson Class 0f 2016 Michelle M. Williams will receive her B.A. in Psychology & Comparative Human Development from University of Chicago on Saturday, June 11, 2016. Soror Muriel Webb Williams initiated in Beta Chapter in 1957 made her transition in Toledo, Ohio. Celebration of Life for Pearlene Cunningham, sister of Soror Norma May & aunt of Soror Kristian Stewart will be held on June 18th, 2016. Services for Ms. McDonald, sister of Soror Lizzie Lewis will be held on June 10th, 2016. Membership Committee wants all Sorors to bring an Inactive Sorors or Boule Sorors to September Chapter meeting. BYOS is Bring Your Other Soror. Activities will be held at Foundation meeting. The Soror that brings the most inactive Sorors to the September Chapter meeting will win a prize at the December Chapter meeting. More information will be included in the Legacy.
