HOW TO… Your Chapter Leadership Team Our strongest HCC Chapter Presidents have invited members to volunteer and participate in the work of supporting and strengthening their chapter. This is in line with what we are role modeling for our members: collaborating with others can help you reach more people more quickly. Here, we list areas in which you may want leadership support from members. Those who you invite to help manage these areas could be considered as Vice Presidents or Committee Chairs. This is up to you. Only HCC Members may hold leadership team positions. Recommendation: Refer to your key people as the Chapter Leadership Team or Advisory Council. This gives them recognition for the value they bring to your chapter. IMPORTANT - You or someone on the Leadership Team needs to be responsible for: 1: Sending new names and email addresses for guests/visitors at your monthly meetings to [email protected]. 2: Updating the chapter webpage on a monthly basis, within 24-48 hours after monthly meetings, by removing the just past meeting and posting details for the next 2 meetings. 3. Attending our Quarterly Presidents Leadership Telecalls. Details sent via email and posted in the Facebook HCC Chapter Presidents group. Here are our recommendations: Senior Vice President: Responsible for assisting the Chapter President in planning and preparation. This should be someone who is (a) able to attend meetings on a consistent basis and (b) willing to step in and lead the meeting if you are ever unavailable. New Member Ambassador(s): Responsible for greeting guests at your meeting and calling them during the week after their first visit. Ask questions about how they liked the meeting and whether they have any questions about membership. They can also send a Chapter Visitor Follow-up Email (template available in President’s Access Area > Marketing folder) which includes links for connecting and joining. © The Holistic Chamber of Commerce 2016. http://www.HolisticChamberOfCommerce.com Member Welcome Ambassador: Responsible for welcoming new members to your chapter. They can do this by: 1) Sending a Chapter-specific Member Welcome email (template available in President’s Access Area > Member Perks folder) 2) Calling them when membership is fully activated 3) Have a Member Welcome Interview (template available in President’s Access Area > Member Perks folder) to determine best topics for featuring your members at meetings Sign-in & Registration: Responsible for taking care of meeting sign-ins at the registration table. Keep it simple and have them collect business cards from meeting visitors. You may also choose to use a Sign-in sheet requesting name, email address and phone number. The template is in the Templates folder. Record-keeping (Secretary): Responsible for keeping a chapter history: This can include keeping a record of meeting topics and panelists/speakers. Since most of our chapters are not handling business on a monthly basis, this does not need to include minutes. However, if your chapter takes on a particular project (i.e wellness fest), you will want someone on that committee to keep track of action items, timelines and those committed to certain tasks and responsibilities. Membership Connection Ambassador: Responsible for keeping members connected. This person and/or committee helps with calling members from time to time. This can be especially beneficial during the third and tenth month of someone’s membership. Web & Social Media Networking: Responsible for keeping online activities updated. This person may be responsible for updating your chapter webpage and/or for setting up and managing a chapter Meet-up, Facebook or other social media networking presence. Holistic Happy Hours & Social Events: Some of our chapters are also scheduling “holistic happy hour” for more causal networking and/or fun events such as movie nights, game nights and hikes. If members of your chapter are interested in doing this, find a leader (and committee) to help plan and coordinate these. Community Outreach: Several of our chapters have begun to support local community organizations, such as veteran’s groups and cancer support groups. © The Holistic Chamber of Commerce 2016. http://www.HolisticChamberOfCommerce.com ANOTHER APPROACH: If you would prefer a task-based approach here are several important easy-todelegate responsibilities: 1. Sign-in at the registration table and send list of meeting visitors, with name and contact information, to HCC-HQ at [email protected] 2. Update the chapter webpage on a monthly basis, within 24-48 hours after monthly meetings; 3.
