Spending Limits
Follow the budget you received directly from OSE this summer. This is what Katrien, Joan, and Winnie
use to expense your club’s budget. If you are over-spending or under-spending enough to impact
other budgeted activities, or if you need to budget for an additional event, please email Winnie.

Semester Deadlines
Please refer to authorize spender training PowerPoint from OSE.
Weekly Deadlines
The hardcopy of all reimbursements must be submitted to Winnie’s mailbox (the ICC
Treasurer mailbox) on the 3rd floor in the Leadership Suite by Monday morning at 9:00am.
OrgSync Reimbursements
The OrgSync version for all reimbursements must be submitted onto OrgSync by Sunday at
midnight. Failure to submit Seamless reimbursements on OrgSync will result in a loss of a
point.

Weekly Newsletter
The weekly newsletter is a compilation of all the events happening in the club system during a given week.
Each event listed includes a title, sponsoring organization(s), time, location and 160 character description.
This newsletter is sent out to more than 2500 students, faculty and administrators at Stern.

LISC, a Community Development Financial Institution, will prime us on their work, and we’ll look at a
sample deal focusing on education and healthy food. Lunch will be served!
Timeline for Submitting Events to the Weekly Newsletter:
 Thursday by 4:00pm – Create your event in OrgSync. This semester we will be utilizing OrgSync to
gather the marketing messages and event details for the Weekly Newsletter. Therefore, all events
will need an event page on OrgSync with the event description filled out with your 160 character
marketing message. If you include a long event description on OrgSync, we will only include the
first 160 characters on OrgSync.
Note: If your event description is missing from your OrgSync event, then a point will be
deducted from your club’s point system account.

Thursday by 11:59pm - Draft of weekly newsletter is sent out to all club Marketing Directors and

ICC Markets Only External Events in the Newsletter:
 External Events - these are events that are open to the entire student body. These events include
Corporate Panels, Conferences and networking events. If an event is designed to help the entire
student body then it should be marketed in the Weekly Newsletter. Events held off campus (i.e.
WSP, Corporate Site Visit) during a club’s weekly meeting time can be marketed in the newsletter.
If an event is off campus and is held outside of a clubs meeting time then it is not marketed
(exception can be made – i.e. Alumni events). Furthermore, all external events held during a clubs
designated meeting time are marketed in the Weekly Newsletter.
 We DO NOT market Internal Events. These are events such as E-Board meetings, tabling activities
(bake sales) etc. that are meant for a small number of students or a specific club’s membership
base. If there is an event that is not allowed to be marketed in the Stern-Wide Weekly Newsletter,
then we encourage you to market the event through your clubs’ individual listserv
 Events held after common hour and before 6:00pm on Monday through Thursday are considered
internal events and are therefore not marketed in the newsletter
 Events where participation is predetermined (i.e. case competition presentation rounds)
 Events hosted by non-ICC clubs are not marketed in the Weekly Newsletter
Use of Language in the Weekly Newsletter:
 Do not explicitly refer to “recruiting” opportunities at your events. This implies direct competition
with Wasserman Career Center
 Example:
With “recruiting” language
Join us to network with BDT Capital (private equity), as they speak about their full-time recruiting
process and the role of an analyst. Dress code is casual.
Reworded without “recruiting” language
Join us to network with BDT Capital (private equity), as they speak about the role of an analyst and
potential opportunities at the firm. Dress code is casual.
Event of the Week
At the beginning of each semester a google doc is sent out where clubs sign up first-come-first-serve to
have their event featured at the top of the weekly newsletter. This provides clubs the opportunity to
reach more students and have their event banner linked to their event page. All event banners should
include room, event name, brief description, time and facebook event link. Please submit your event of
the week materials to Spencer Hanus by the same deadlines for the weekly newsletter listed above.

ICC has a robust social media presence that includes Facebook, Twitter, Instagram and LinkedIn. If you
would like an event reposted on social media please contact Spencer Hanus. Additionally, if you have
photos or a thank you to students and corporations for an event that went well we encourage you to
send us those posts. If your club would like to be featured on Stern UC’s social media platforms please

LCD Screens:
ICC has the capability to advertise your events on the TV screens located throughout Tisch Hall. All
events are marketed on the TV screens however there is an option to have a major event highlighted on
its own slide. In order to receive this extra coverage a flyer advertising the event (1600x800) must be
sent to Spencer Hanus via email by Thursday at 4:00pm. This event flyer should include a brief
description of the event, time, date, location and sponsoring club(s). All slides will run for 7 days unless
otherwise stated.
SnapChat:
ICC has created a SnapChat account (nyusternicc) that we will be using to help publicize Stern events.
We encourage you to send snaps to nyusternicc and also let us know about events that you would like
publicized on ICC’s SnapChat and we will have a representative attend your event.
Other Tips:
 Add Google Analytics to your website to track the number of people visiting your site -- FREE
 Send updated logos to ICC so we can keep our website and marketing current
 If you want to enter your events into OrgSync in advance click the “e-board only” feature to prevent
your event from going live to the entire student body

Reach out to ICC about ways that we can help you push attendance at an important event
Make Facebook banners to 851 x 315 pixels and the banner will fit perfectly on Facebook. If you
want a higher resolution use 8510 x 3150 pixels which will keep the banner in proportion

+ COMMON QUESTIONS
OrgSync
Q: How do I make an event?
A: Go to your club’s OrgSync portal > Create an Event > (fill it in) > Create event. Although
events take about one business day to be approved by Karen, you can still log attendance on
unapproved events.
Q: I don’t see the Create an Event button on OrgSync.
A: Ask the President of your club or Winnie to make you an admin.
Q: This event is only for a select group of people! Do I need to make an event?
A: No, as long as you are able to produce OrgSync attendance data if you need to be
reimbursed.
Q: How do I log attendance with the swiper?
A: Go to the OrgSync Event that you created > Participation > Turn on Card Swipe.
Q: OrgSync is making people sign out of events
A: Make sure you have “Track Attendance Only” checked - not the bottom option.

Reimbursements
Q: Do I need to submit reimbursements for Seamless orders made via the Stern Seamless?
A: YES!!! You do need to submit the reimbursement on OrgSync. You do not need to submit
it hard copy.
Q: I lost my swiper. What do I do?
A: DO NOT WAIT AND MISS ATTENDANCE. Borrow one from another club until you find it,
or go to OSE and buy one for your club. The price will be taken from your club’s budget.
Q: If I am an authorized spender for Club A, and I am at an event for Club B, can I spend and be
reimbursed on their budget?
A: You should only spend for Club A. Club B has its own authorized spenders.
Q: If I am an authorized spender for Club A, and I have a Seamless account for that, can I order
food for Club B on that same Seamless account?
A: You should only order food from that Seamless account for the club that Seamless
account is for. Each Stern corporate Seamless account is connected to that specific club’s
budget. If you have the role of ordering food for multiple clubs, you will have multiple
Seamless accounts. Do not get them mixed up.
Q: What do I do if I made a mistake? (spent for an club I am not an authorized spender for,
submit the reimbursement late, etc.)
A: The reimbursement is not guaranteed, but please contact Winnie.
