We have two rooms licensed for Civil Ceremonies and Civil Partnerships these are
the Grand Regency Ballroom which is a beautiful south facing room boasting
probably the best views of the Beacons anywhere in Brecon and our smaller more
intimate Crug room with its glass vaulted ceiling.
Should you decide on a Civil Ceremony or Civil Partnership you will need to
contact the Local registrar directly on 01874 624334 they will be happy to assist
you on confirming your wedding date, please note that they will charge a fee to
register the marriage this is paid directly to them.

Your civil ceremony or civil partnership will usually take about 20-25 minutes
and we suggest that you have 4 pieces of music whether this is a string quartet,
harpist or your own music on an iPod or cd this is totally your choice, the music
will be for your guests whilst they await the entrance of the bride, the signing of
the register and then the exit of the bride and groom. We have our own PA system
which has a CD player and an iPod docking station, which you are most welcome
to use.

What if we want a specific menu that is not on your menu list?
We are very flexible with our menus and are always delighted to discuss your
individual thoughts.
We would like to provide candles for the tables do you allow this?
You can certainly use your own candles on the tables however please ensure that
there are no other decorations above candle height for health and safety reasons.
We recommend long burning candles.
Can we hire a cake stand and knife from you and is this chargeable?
We are happy to offer our silver square or round cake stand and knife with our
compliments.
Do you permit fireworks?
Unfortunately we do not permit this due to health and safety requirements.
What time is check in and check out?
Check in is from 3.00pm and check out 11.00am. You may request an early check
in but we cannot guarantee this request.
Will the hotel set up my wedding cake on the day?
As your cake is such an important part of your day, we would like you and your
cake company to set this up exactly how you would like it.
Do you take more than 1 wedding a day?
No your wedding is the only wedding we will host on the day.
Do we need to book the local registrar?
Yes, we are unable to do this for you. Please contact the Powys registrar on 01874

Can we provide our own evening entertainment?
We are happy for you to provide your own entertainment as long as they can
provide the public liability insurance, PRS music license and all of their
equipment is PAT tested.
What time does the bar and entertainment finish?
Function Bar closes 12.00 midnight and entertainment must end at 12.00
midnight. Extension can be agreed for £100.00 until 01.00hrs
How long will the hotel provisionally hold the wedding date?
We will hold the date for 2 weeks. After this time we require a £700.00 nonrefundable and non-transferable deposit to confirm the booking.
Do we need to order chair covers?
This is entirely your choice and if you decide you would like chair covers we are
happy to recommend a number of companies that we use on a regular basis.
What table linen does the hotel provide?
White linen table cloths are provided, if you would like white napkins then please
order them at the time of booking at no extra charge.
Is throwing of confetti permitted?
Yes, but outside on the lawns and only bio degradable confetti is to be used

Wedding Terms and Conditions
‘The Hotel’ refers to the Castle of Brecon. ‘The client’ refers to the person who makes the wedding booking, also referred to as ‘the
event’. The Castle of Brecon terms and conditions apply from when signed confirmation of the wedding arrangements is received from
the client by the Hotel by email or fax or letter. Any changes to these terms must be confirmed in writing by the Hotel. In signing the
initial reservation form and paying a deposit, the client accepts that the following terms and conditions are applicable.
Provisional Bookings and Deposits
A provisional booking will be held for up to 14 days. A signed reservation letter from the client, plus a £700.00 non-refundable deposit
will confirm the reservation.
Payment
One year to the date of your wedding a further £500 is due, then 6 months before the wedding the final deposit of £500 is to be paid,
then
3 months to the day of your wedding we will send a letter with a Proforma Invoice for you to look over. You then have 2 months in which
to agree or not agree with the Invoice.
Overall Pricing
If there is a significant alteration in the agreed food and drinks arrangements and/or a substantial reduction in attendance figures (such
amount to be at the Hotel’s discretion), the Hotel reserves the right to modify both the package prices and the venue rental fees. The
Hotel also reserves the right to change an original quoted price for foods and alcoholic beverages if prices from our suppliers
significantly change by more than 5%.
Cancellation by the Client
Should the client have to cancel the booking a charge will be made to alleviate possible financial loss to the Hotel. Wedding
arrangements are usually made well in advance. Therefore we must make cancellation charges. Note that any specific costs already
incurred from our suppliers for a particular event will be charged in full. For the arrangements in general, if the client chooses to cancel,
the following charges will apply:
Cancellation: less than 8 weeks 100%
Cancellation: 8 weeks to 6 months 75%
Cancellation: 6 months to 12 months 50%
Cancellation: over 12 months £700 deposit
We recommend booking well in advance for guestroom accommodation. The hotel requests credit card details and a £25 deposit to
guarantee the bedroom reservation. This deposit is non-refundable but is transferable if cancelled within the appropriate time period as
follows: Please be advised that individual reservations for weddings needing to be cancelled must be done so by 3.00pm, one week
prior to arrival in order to avoid the cancellation charge of one night’s tariff. For weddings, Check in time is 3.00pm, and check out time
is 11.00am.
Cancellation by the Hotel
The Hotel may cancel the booking:
a) If the Hotel or a significant part of it is closed due to fire, dispute with employees, or by order of any public authority.
b) After the Hotel has, in each case, sent out two written reminders to the client, if the client does not pay the deposits and/or (as
appropriate) does not settle the 50% balance eight weeks ahead of the event or else does not settle the final account 28 days ahead of
the event.
c) If the client is more than 30 days in arrears with payment to the Hotel for other previously supplied services.
d) If matters arise where the Hotel is of the opinion that hosting the event would damage the Hotel’s reputation.
If the Hotel has to cancel in respect of items a) or d) above, all advance payments will be refunded, but the Hotel assumes no further
liability to the client. If the Hotel has to cancel in respect of items b) or c) above, no advance payments will be refunded and the Hotel
assumes no further liability to the client.
Numbers
Provisional numbers will be asked for at the time of the original booking and the Hotel reserves the right to set a minimum number to be
charged for the event. Should actual attendance exceed the number on the final invoice, the client will be charged for that number of
guests in attendance. If actual numbers are less than on the final invoice, you will be charged for that original number unless the
reduced numbers are agreed to by the Hotel Manager in writing at least 7 days in advance of the event.
Damage and Behaviour of Clients and Guests
The client assumes responsibility for the behaviour of their guests or other persons attending, in any part of the Hotel and will be liable
for loss or damage to the property of the Hotel, its employees, contractors and patrons, and any item in the Hotel. The Hotel does not
tolerate bad behaviour and reserves the right to withhold service to anyone who becomes aggressive or abusive, either to Hotel staff or
other guests within the hotel. In extreme cases, the hotel may exclude any person, if their behaviour is thought dangerous, or
contravenes the conditions of the hotel’s alcohol licence.
Confetti, etc.
Petals and confetti or similar items may be used in the Hotel or the gardens providing they are bio-degradable.
Food and Drink Consumption
The hotel does not allow any food or alcoholic beverages to be brought into the hotel for consumption, unless the hotel manager has
granted prior consent, for which a charge may be made to the client.
Entertainment
The Hotel may supply agreed entertainment. Note that any entertainment may not play later than 12.00am. All forms of entertainment
provided independently by the client must be approved in writing prior to the event by the Hotel. Should the client employ the services of
any outside contractor other than those arranged by the Hotel at the event, the client must undertake to insure and indemnify the Hotel
against any claims made against the Hotel. This would be from an act or default by any of the client’s contractors or caused by any
equipment supplied by the client. This insurance and indemnity is also to include cover under the Health and Safety at Work Act 1974.
Any outside contractor employed by the client must report to Hotel Reception on arrival, and contractors must comply with appropriate
legislation including the Fire Precautions Act. The Hotel reserves the right to refuse access, without prejudice to any contractor. The
hotel reserves the right to monitor content and volume of any entertainment within the hotel (and to require the volume to be reduced
and the content to be changed, as appropriate).
Client’s and guests’ property
Whilst due care will be taken, the hotel is not responsible for any accidental loss or damage to client’s and guests’ and contractor’s (as
appropriate) property, whilst on the property.
Local Companies
Any local companies listed in various parts of this wedding brochure, or verbally mentioned by Hotel staff when making arrangements,
are suggestions only. The stated companies will have provided the hotel with efficient and reliable services. However, the Hotel
assumes no responsibility in this area.
Equipment Storage
The Hotel will assist clients with equipment storage on the understanding that the Hotel is not liable for any loss or damage to any item
of equipment.
Chair covers and Equipment
In the event of any damages to the chair covers or sashes or other equipment, the client assumes all responsibility. The hotel is not
responsible for any damages to the chairs covers or sashes or other equipment. In the event of cancelled bookings, 30% of lost hire
charges will be payable to the Hotel. Any cancellations made within 14 days of the hire date will be charged for at 75% of the full rate
and those within 5 days will be charged for at the full hire rate. The full terms and conditions of the hire company can be supplied on
request.
Liability
Castle of Brecon is not liable to provide facilities stated in the contracted agreement in the event of fire, storm, flood, loss of utilities, riot,
industrial action or any other causes or force major clauses beyond control.
Third-party liability
The Hotel accepts no responsibility for the death, bodily injury or disease from any cause whatsoever to Persons visiting the Hotel and
its property, at the invitations of, or at the request of the client, whether such death, injury, or disease occurs within any part of the Hotel
or its property; and/or persons employed by the client during the period of hire, whether such death injury or disease occurs within the
allocated rooms or in any part of the Hotel. Except for legal liability arising due to negligence of the Hotel, its employees, servants,
representatives or agents.
Signs
Affixing signs, displays and posters to walls may only be carried out with the authorisation of the Hotel and any damage to the walls
shall be paid for by the client.
Hotel Name
The Hotel name, logo, and telephone number may only be used in advertising or publicity, with the prior consent of the Hotel.
Wedding Insurance
To ensure peace of peace of mind we recommend the client arranges event insurance.
