“originator”, “search committee chair/member”, or ensure “applicant
you will be logged in as a “guest” (If you have a guest tracking” is selected

Viewing Applicants
(Originator/Search Committee Member/Search Committee Chair/Guest)
Find your posting and hover
over “actions” to either view
posting, view applicants, or
take it off your “watch list” –
When you select “view applicants”, you will come to the
applicant review page
See who is active and who is inactive (hold CTRL
and click to select both at once if you want)
Search options
Sort by the status of the applicant
(under review by dept. is the default)
You can control the info you want to see for applicants:
Add Column: Select any one of these options
to add this column to the applicant section
below - E.g. Supplemental Questions score
The new column will appear
here…..
If you hover over ANY
column, you can move,
sort and remove with
these mini icons….
When you add a column, you have the option to save it and
make it your default view:
Click on this to see previous search
options you have saved and switch
between them
When you add a column or change the
order, click here to name your search, and
then save. Check the box if you want it to
show as your default.
You can also customize how you view any screen by adding
columns and saving that as a search….
Once saved, you can access different search options here

as shown on previous slide…
Viewing an applicant….
Applicants are listed here… Click on the name or on “actions” to
view them….
When you click on the applicants name or on “view applicant”…..
Evaluate applicant is the tool you can use for all members of the
screening committee to give their assessment based on the
“ranking criteria” set up earlier in the posting.
View summary, recommendations received
(electronic references if set up earlier), history, and
reports.
If you click on Evaluate Applicant….
Each committee member can give their
assessment based on the criteria and multiple
choice answers created earlier in the posting….
This will then add-up
points based on the
questions and
weighting you
created earlier.
Add specific thoughts or
feedback for the committee

You can download all applicant
documentation at once – e.g.
you can select to see all
resumes, all covers letters, or
every single document for all
applicants…
You can evaluate
applicants, review
screening questions, and
export both of these to an
excel spreadsheet!
As you evaluate applicants, you can move them to the following

Reference & Background Checks
 When you have selected your top candidate/s; if you move them to
“recommended for hire” status, 3 reference contacts will be emailed
automatically. We recommend that you also call these contacts to let them
know they have an email they can respond to (this will increase response rate
& time!)
Never contact any References that are not listed by the applicant!
• If the most recent employer is not listed as a reference, another suitable
reference is acceptable to contact. (The candidate may not wish to
provide their current employer until a job offer has been made).
• If there are no suitable references listed, simply ask the candidate to
supply these (failure to do so should be a red flag).
 Background checks will be completed by Human Resources
at the time of making a provisional job offer.
Job Offer (Staff Position)
• When you have selected your top candidate, email
the Job Offer Spreadsheet to [email protected], with
the name, position, requisition number (RE****),
proposed start date, and salary.
• If you have alternate candidates/interviewees that you
would like to contact first, prior to our department
sending out the “Not Hired” email, please specify at this
time.
• New Employee Training (NET) is scheduled every
other Monday, according to the Bi-Weekly Payroll
Calendar.
• As standard, a new employee should start on
one of these NET days

• Department makes offer, but must email

Review of Applicants
• Faculty:
• Per Academic Affairs, all non-adjunct positions must be
reviewed within 3 months of the Job being posted live on
jobs.uco.edu.
• The screening committee must screen candidates at this stage
and decide whether to hire or close the position
• Adjunct positions can remain open in order to build a pool of
applicants
• Staff:
• All positions should be reviewed within 3 months of the Job
being posted live on jobs.uco.edu.
• The screening committee must screen candidates
at this stage and decide whether to hire or close
the position
