User Guide for Producing Course Results Sheets & Supporting Reports

Producing Course Results Sheets
(Note: Instructions on running means and standard deviations and module statistical data reports
are set out from page 6 onwards.)
1.
The following course results sheets reports are available to run as Cognos 10 reports to
provide for all assessment periods including the supplementary examination period.

Course Results Sheets (Current Year –

Course Results Sheets (All Years CPAB)
Type of Report
This report displays current year marks only and is
the standard report run for non-final years of courses.
6 students are listed per page. It also includes a
check box for producing means and standard
deviations with the course results sheets.
This is the same as the report above but with the
addition of a total grade for each module. Only run
this report where the Board needs to view grades.
This is the same as the Course Results Sheets
(Current Year) report except that the format is
landscape to display a large number of modules.
Only 4 students are listed per page. Only run this
report where the number of modules students are
enrolled for exceeds 10.
This is the version of the Course Results Sheets
(Current Year) report which is run for the Campus
Progress and Award Board. The selection is
restricted to students enrolled on subject strands.
Normally issued by the Examinations Office.
This is the equivalent of the course results sheets
current year report but with a prompt to allow the
sheets to be run by cohort
This report displays current year marks and marks for
the preceding three years (where applicable). It is the
standard report run for final years of courses. 2
students are listed per page. It is sometimes run for
non-final years of courses where the Board wishes to
view complete student mark profiles.
As for Course Results Sheets (All Years) with the
addition of a total grade for each module.
This is the all years version of the Current Year –
CPAB report. It displays the current year and
preceding three years (where applicable). The
selection is restricted to students enrolled on subject

strands. Normally issued by the Examinations
Office.
This is the equivalent of the course results sheets all
years report but with a prompt to allow the sheets to
be run by cohort.
Access the Cognos 10 reporting environment, by opening your Internet browser and entering
the following URL:
http://bi.ulster.ac.uk

Enter your network password (the one use to boot up your PC) in the password field.
Users are advised to bookmark the Cognos 10 URL as a favourite within their browser.
Please contact Heather Spence on [email protected] if you have not been set up to run
Cognos 10 style student related reports.

From the Student Records Home Page navigate through the folders by clicking on them as
set out below:
Examinations>Course Results Sheets >Current Year - for current year reports exc cohort
Examinations >Course Results Sheets >All Years - for all years reports exc cohort
Examinations >Course Results Sheets >Cohort - for current and all years cohort reports
Users may run any of the reports detailed in section 1 of this document. Reports in the
Colleges and CPPD folders are for the use of staff with particular responsibilities for these
areas.

Click on the required report name and then select/enter data for the prompts as follows:
 Academic Year
Select current academic year
 Campus (for CPAB reports only)
Select your campus
 Programme Code (CPAB only)
Selection of the campus (CPAB reports only) produces a list of programme codes for
modular programmes.
To select all programmes for the given campus, click on the Select All link

To select non adjacent programme codes, hold down the CTRL key and click on the desired
codes.
To select non adjacent programme codes, hold down the
CTRL key on the keyboard and click on the codes. Hold
the CTRL key down until you have selected all the
required codes.

 Programme Code (non CPAB reports)
 To retrieve the results sheets for a single programme enter the programme code in
the field next to the Search button and click Search
 To retrieve the results sheets for a number of programmes enter the first programme
code followed by a space, then enter the second programme code followed by a
space and so on until all programme codes have been entered
 Click the Search button
 The programme code(s) and title(s) will be displayed in the Results block
 Highlight the programme(s) in the Results block
 Click the Insert button to copy the programme(s) into the Choices block
 Once you have all the programme details listed in the Choices block click the select
all link below the block. This is the selection of programmes that sheets will be
printed for.
If a Programme has been entered in error it can be removed by highlighting the
programme in the Choices box and clicking Remove.

 Program Year
Highlight the Year or Years required. If all years of the course are required click ‘Select all’.
 Cohort Code (cohort reports only)
Click on a cohort code to run the course results sheets for a particular cohort. To select non
adjacent cohort codes, hold down the CTRL key and click on the desired codes.
 Supplementary
Tag this radio button to produce the results sheets for the Supplementary (August) Boards.
Leave as the default value of untagged to produce results sheets listing all currently
enrolled students and early leavers.
 Semester 3
The following reports have a prompt labelled ‘Semester 3’ to restrict the selection of
students to those enrolled for Semester 3 modules.
 Course Results Sheets (Current Year)
 Course Results Sheets (Current Year - Landscape)
 Course Results Sheets (All Years)
Unless running for Semester 3 Boards leave this prompt untagged.
 Appendix Report(s) (Course Results Sheets (Current Year) report only)
Tag Standard Deviation Report if means and standard deviations are to be produced with
the course results sheets.

 Sort Order (Course Results Sheets (Current Year) report only)
This prompt defaults to Last Name which sorts the students in alphabetical order. Tagging
the Aggregate Award Mark radio button will sort final year students in order of their award
mark from highest to lowest. Only tag this button if specifically requested to do so by the
Course Director. Course results sheets presented at final Boards must be sorted
alphabetically.
Click Finish.

When the report has run print it by clicking on the Print icon
screen.

have been run for a course.

You should be taken back to the prompts page. Users can repeat the process from step 3
above to run further reports.

PRODUCING REPORTS WHICH PROVIDE STATISTICAL DATA
The reports set out below are run if requested to do so by Course Directors.
a) Means and Standard Deviations
Means and standard deviations reports are available at:
Examinations>Course Results Sheets >Means and Standard Deviations
i) Means and Standard Deviations (by Programme)
This report provides module means and standard deviations based on the occurrence of
modules within course and year. (Note also that means and standard deviations can be
produced automatically along with the course results sheets when running the Course
Results Sheets (Current Year) report by tagging the Standard Deviation Report radio
button.)
To run the Means and Standard Deviations (by Programme) report:
Enter the following values at the prompt page:






Academic Period: select the current term from the drop down list.
Programme code: enter the programme code for which data is to be produced
Click the Search button. The programme code and title will display in the Results
block
Click ‘Select all’ and then the ‘Insert’ button
Click Finish

ii) Whole Module Means and Standard Deviations
This report provides module means and standard deviations for entire modules (all students
enrolled on a module across programmes).
To run the report:
Enter the following values at the prompt page:





Term: Select current academic year from drop down list
Faculty: Select the Faculty the module(s) belong to
School/Dept: Select the School the module(s) belong to
Module Subject: Select the subject of the module(s), eg NUT for Nutrition
Module Number: A list of modules linked to the subject will be displayed. Select a
number or hold down the Ctrl key and click to select more than one number
 Click Finish.

b) Module Statistical Data
Reports providing module statistical data are available at:
Examinations>Course Results Sheets>Module Statistical Data
i) Module Marks Within Bands (by programme year).
This report is run by programme and year. It provides detailed statistical information for
modules on the programme including the number of marks within bands (and percentages),
means and standard deviations for coursework, examination and total marks and maximum
and minimum marks scored.
To run the report enter/select information for the prompts below:

Academic Year: Select the current academic year

Program: Enter the code of the programme for which the module statistical data is to be
produced. To run the report for more than one programme enter subsequent programme
code(s) each separated by a space. Click Search, Select all and Insert in the usual way.

Program Year: Select the year(s) for which the data is to be run.
Click ‘Next’

Module Code: Select the module(s) for which the data is to be produced.
Click ‘Finish’.

This report is run by module and provides similar information to the report at i) above. To run
the report, enter/select information for the prompts below:

Academic Year: Select current academic year

Module Campus: Select one or more campuses or select all to run for all campuses

School Code: To produce the data for all modules in a school select the desired school.
Otherwise, if running the report for a single module, CRN or programme
click ‘Select all’

Module Semester: Can select particular semester(s) or select all semesters

Module Code: Enter the module code to produce the data for a single module

CRN: Enter the CRN to produce the data for a single CRN
