Minutes of meeting 10/11/14

Halloween Disco
Expected profit at time of meeting £500.00 (£787.00 -approx. £200.00 expenses). some
sweets, juice left from disco which can be used for Christmas fayre.
some concerns from disco/points to consider for future events:





nut bars in lucky dip. Committee agreed that no nut products would be used during
future events
parent questioned if string on donuts was replaced after each child. Committee
members working at this stall confirmed that string was replaced after each
individual use
during second disco it was noted that large groups of parents at exit going in/out
same door. Committee agreed to rethink safety issues and possibly go back to same
system as film night where children are collected from hall and have to come in one
door and out the other
reminder to committee members to return all items in canteen at end of event
(token tubs were missing from canteen)
dedicated number of supervisors to remain in each area during event in case of any
incidents
However, overall lots of positive feedback from pupils, teachers and parents from the disco.
The committee highlighted that support and assistance from teachers was appreciated
during the evening. Finally, it was noted that again, the ticket system seemed to work well.
2.Update on Christmas cards
Sarah thanked all volunteers and school staff for help with Christmas cards. All data for
cards entered online at time of meeting with final order being processed at end of current
week. Card deliveries expected to arrive end November. Noted that 219 children had
placed an order. It is expected that there will be similar profit from Christmas cards as
previous year currently £2912 banked (not all profit). Many thanks to Sarah for all her hard
work with Christmas cards.
3.Movie Night (Nursery-primary 3 pupils)
Movie night willl be held on 20th November 2014 at 1730-2000pm. Frozen was thought to
be the preferred option although this would need to be checked with Ian Stark prior to
confirming. It was agreed that entry would be £2.00 per child for juice and crisps. Parents
to write contact details on back of ticket and bring with child on the night (tickets to go out
this week). Reminder that nursery children must be accompanied by a parent/carer during
the event.
3 parent helpers previously identified as well as Christine Murphy and Liz Donkin, but more
needed. Several committee members still to confirm offers of help. Committee to check if
Ian stark available on this date. Children can bring pillow and wear pyjamas if they wish for
film night.
4.Christmas Fair
15 stalls definitely confirmed. wombat has stated that 16tables will fir in hall but we can
also use canteen and entrance hall areas.
Options regarding raffle tickets discussed, it was decided that committee member would
kindly create a spreadsheet to create raffle tickets. Top prize to be Swimming Pool party
donated by Kirsty Inkpen. Further prizes to be 2 entry vouchers for east links, 2
adult/childrens tickets for high ropes at Foxlake as well as other various prizes. Each stall
holder has been asked to pay £10 and donate a raffle prize. School logo can be used on
raffle prize although it was discussed that a FDPS logo could be created in the future.
Normal books of raffle tickets to be used for tombola on the night.
Tea and coffee to be charged for on the night prices to be confirmed at next meeting. JC-M
will get cups for tea/coffee.
ideas for childrens activities were discussed, it was agreed that there would be a Christmas
colouring competition. ALindsay will arrange pens/paper for this. D
Donations for tombola and cake stall required, group call to be send out asking for help with
this. Further meeting to be arranged for Christmas fair closer to the event.
5. Any other business.
 at AGM it was discussed that money would be offered to classes for specified
equipment. Primary 2,3,4 have requested a magnetic phonics spelling board costing
£800.00 +VAT. All present agreed that FDPS should fund this. Nursery have ?still to
put proposal forward
 Liz Donkin asked if all children will still be given a Christmas £1. All committee
agreed to this.
 committee were asked if we would like to sell teas and coffees at Christmas service
in church on 19th December (service 0930-1030). it was agreed that we would do
this. Donations of help baking to be sought.
 a request was made for school to promote sponsored swim again this year.
previously there was prizes given by swimming pool for most sponsorship raised. It
was thought that previous discussions by mrs Wharton was that there would be no
further sponsored swim. Primary 5-7 ?already have swimming gala in april/may.
 offer from committee member to donate bouncy castle hire as prize for treasure
hunt squares was greatly appreciated.
 school photos: it was thought that some of the school photo packages were more
expensive than for example those offered at high school |(different photographer).
Others have also found it difficult to get in touch with Yid. Julie chalmers -Mackenzie
stated that she would get in touch with Yid to inform him of difficulties people are
have getting touch with him.
 group call: some finding group call messages confusing. School newsletter now
being emailed (as well as paper copies).
 lighting at main entrance noted to be poor. Julie will discuss/email this to wombat.
