The Profile documents are the “brains” of how the system functions. They can be
created and updated from the Office Use…System Settings area. New profiles are
created by using the New Profile button at the top of the screen and choosing the type
of profile you wish to add. Existing profiles can be edited by clicking on name.
The Discipline Profile contains all the data for the choices available on the discipline
reports. On this profile, you will set up the keywords for the infractions, actions, and
locations. These choices can be added to at any time.

To add documents to a student’s record, click the + sign to the right of their name.
This will bring up a box that gives you all the choices of items you can add to a student’s
record. The choices here are arranged by Commonly Used, Guidance, Communication,
and Health.
When you choose “Discipline”, you will be brought to a form to enter the details on the
student’s discipline record.
Choose whether the discipline is being handled in the classroom or office. Then select
the date, time, person who handled it, and person who reported it.
The Infraction, Location, and Action Taken are all choices that come directly from your
Discipline Profile. These can be changed on the Discipline Profile, if necessary.

 If you enter an action taken with the word “Detention” on it, there will be
additional fields to enter the details of the detention. This will then be recorded
on the detention calendar.
 If you enter an action taken with the word “Suspension” on it, there will be
additional fields to enter the details of the Suspension for State Reporting
purposes. Absences will automatically be made for the dates of an Out of School
Suspension.
The comment field is for the details on the incident. Parents do not automatically see
the Comment on the web access. They will only see this if you create a letter or email
the discipline record to them.
On the right side of the discipline entry form, there is a section with a “Student
Snapshot” section that displays the Guardian phone numbers. In addition, you can click
on Attendance, Schedule, Grades or Discipline to get information on this student.
Once the discipline record is saved, it will be recorded under the student and show up in
all discipline views and on the web access.
Additionally, at the top of the discipline record, you also have choices to send this notice
to teachers, email it to parents or create a letter to parent.

MASS ENTERING DISCIPLINE
The “Students by Grade” view displays students in order by grade level. This view
allows you to add documents in mass to students. There is a “Select” dropdown at the
top that allows you to select a particular grade level. You can also just checkmark the
students you wish to add the documents to.
To add discipline in mass to students, select the students and then click the “Add New”
button at the top. This will bring up a list of all the documents that can be added in
mass.
When you choose “Discipline”, you will receive a popup box that will let you enter the
details of the discipline record in. Keep in mind that every student selected will receive
the same discipline record. Once the record is saved, it cannot be edited in mass.

To view all discipline records on students, click on Discipline in the navigator menu.
The “Discipline Lookup” view displays all discipline by student name. You can use the
“Select” dropdown at the top to select a particular student. Discipline records can be
opened and edited by clicking on it.
The “Discipline Filter” view lets you filter discipline records by whatever settings you
wish. At the top of this view, you can enter a student name or a specific date range to
view discipline by. In addition, you can filter discipline by a certain grade, infraction,
outcome, or whether it is an office or classroom referral. Based on the settings you
choose, the student results underneath will automatically update with those who match
that criteria.
Multiple grade levels and discipline infractions or outcomes can be picked. To remove a
selection, click the red circle icon next to the filter.
Once you have the list of students, you can select the students and then click the “Add
New” button at the top to easily send a letter or email.
