Emergency Medicine Elective Student’s – FAQ Sheet (Rev: Nov. 24, 16) When do I get my schedules? Schedules are emailed to visiting students 1-2 weeks before the start of the elective. You will notice that some days will have two time slots. Please refer to the first set of times for weekdays and the second set of times for Sat/Sun/Weekends. If you are sick, please call the emergency department (General Campus 613-737-8899 ext. 79002 or Civic Campus 613-798-5555 ext. 19002) and let them know that you will be absent. You also need to e-mail the Undergraduate Coordinator, Margaret King, [email protected]. As for changing shifts, straight trades with other elective students are completely fine; however, Margaret King has the final approval. Also, of note, any area of Emerg that is “blocked out” in black on the clerkship schedule (where your shifts are outlined) or any area of Emerg that you see on the staff schedule but do not appear on the clerkship schedule are off limits to UG learners. Can I switch between sites (Civic or General Campuses)? Due to the fact there are a vast number of learners rotating through the ED, switching campuses is not feasible. Assignment of students’ shifts, along with an accurate track record, is crucial to avoid more than one UG learner in a certain area of the ED at a given time. Will I work with a preceptor more than once? Margaret will endeavor where possible to schedule students with the same preceptor at least twice, if not three times, during his/her rotation with Emerg. However, note that due to the fact there is huge number of learners rotating through as well as the frequent changeover in staff, this can be quite challenging. Can I contact physicians directly to add/switch into a shift with him/her? This is inappropriate and against policy. Out of transparency, ALL scheduling changes/additions MUST be approved by Margaret King. Going through back doors in not acceptable. Will I get to meet the Postgraduate Program Director(s) during my elective duration? The PG Program Directors usually set a time aside every two weeks or so to meet with elective students, at the Civic Campus, in a group setting. Emails regarding these are sent by Lise Levesque, PG Program Coordinator – contact: [email protected] ext: 1-8649. There is no obligation to attend; however, you are welcome to show up with whatever inquiries you may have about our Residency Program. Drs. Choi and/or Thurgur will be happy to assist you. Where do I get my ID badges/Parking pass? You MUST obtain an ID badge from the Parking/ID Office. Please bring $25 cash with you. The monies will be reimbursed upon returning of the badge at the end of your elective. Unfortunately, there is no special parking rate for elective students, but parking passes can be purchased through the Parking Office at a standard rate of $13 per day. Note: Weekly/Monthly passes are only provided to r patients and their families. How do I get my computer/EMR Log-in ID? Ms. King will request activation of computer log-on ID and ED tracking system for you. You will need to provide her with your DOB and father’s name for security purposes. You may wear scrubs and/or lab coat from your institution. Clinical dress clothes are acceptable as well. Of note, we do not provide scrubs in the Emergency Department; nor do we provide a lab coat. For TOH scrubs, please see below. Please do not wear jeans or revealing clothing. Scrubs: · Personnel entering restricted access areas as determined by TOH are required to dress in approved scrub wear. Approved scrub wear is defined as Navy Blue colored shirts and pants as provided by the Logistical Services Department and laundered by Healthcare Linen Services. · Employees will not remove Hospital Scrub Suits from the facility for any reason, without proper authorization. · Hospital Surgical Scrubs are available in only one color, Navy Blue. These Scrubs are the property of TOH. · All Hospital staff authorized to wear Hospital issued scrubs must use a scrub identification card or TOH Identification card to receive a set of scrubs from the automated (ScrubAvail™) system. · All authorized staff must return a Set of Scrubs before obtaining a new Set of Scrubs. (The automated system will electronically monitor the return of Scrubs already checked out.) · Medical Students will be given 2 credits during their rotation(s) at TOH. This means you can receive up to 2 scrubs, and upon returning the scrub, the credit is replenished. Fittings can be done in the Logistical Services Department at both the Civic & General Campuses. Please ensure students bring a valid TOH ID badge. If you need a locker, for General Campus, please email: [email protected] and for the Civic Campus, please email: [email protected]. At the Civic, lockers are located in the hallway of B1 South (next to resident’s lounge) and at the General, they are located behind Module “G” on 2nd floor. You will need to supply your own lock. Please do not put any lock on an unassigned locker or use a locker beyond the designated dates as this may lead to the lock being cut-off and the contents removed. All belongings must be kept in your locker; and not in the DEM Residents’ common area of the Education Admin Offices. Is there a refrigerator that I can utilize to store food? We regret to inform you that there is no such fridge for use; therefore, we suggest students bring non-perishable food items for meals/snacks. How does evaluation work? You will need to have the Emergency Physician that is supervising you, fill out a “Daily Clinical Shift Evaluation Card of Elective Student” for each of your shifts. You will also need to fill out a “Daily Evaluation Card of EM Teacher by Student” on the supervising physicians that you work with. Please send all of your daily evaluation forms along with preceptor forms to Ms. King electronically. If you don’t have access to a scanner, there’s a free app called “CamScanner” that will turn a picture into PDF. Please push the online final evaluation form (e.g. MedSIS, One45) or PDF form from your home institution to Ms. Margaret King and Dr. Jean Chen (Undergraduate Elective Director). What are some available educational activities offered by uOttawa DEM? There are many educational activities in the Department of Emergency Department that are open to elective students. If you are working a shift but want to attend a session, please advise us beforehand and inform your staff if you are late or have to leave early. These are posted to the DEM website; www.emottawa.ca. Username and Password will be given to you along with your schedule. They are mostly held at the Civic Campus, 1053 Carling Avenue. If you are unable to access the website, the flyer is posted on the door of Room EM206 the Friday prior. Resident’s Case Rounds are held every Thursday morning between 8:00 - 9:00am. Grand Rounds take place every Thursday morning between 9:00 - 10:00am. Academic Half Day is every Thursday morning between 10:00am - 1:00pm. There are dedicated teachings for elective students. Dr. Chen will be emailing you with further information regarding date/time/location. Journal Clubs are run once a month. Please inquire the dates and RSVP attendance with Ms. King in advance (at least 2 weeks). 3
