Increasing data quantities continue to place a large
strain on the cost management of many disclosure
exercises. Thoughtful application of tested technology
to the foundation of a well-considered review strategy
can assist in better management of these costs. Despite
the advances made in review analytics, the process of
manually applying redactions remains a time consuming
and expensive exercise. This work is particularly important
and often required by law in matters where the protection
of proprietary business information, personally identifiable
information, or attorney client privileged and work product
information is found.
Deloitte Discovery has worked with organizations, law
firms, and regulators on some of the world’s largest
document review exercises. Leveraging the knowledge
and experience gained from this work we have developed
an intuitive application called Assisted Redaction that
automates the identification and protection of sensitive
information allowing an organization’s legal team and
its outside counsel to search across large data sets and
automatically redact user defined terms. This application
has been designed for kCura’s industry leading document
review platform Relativity and is integrated into Deloitte’s
hosted review centers.
Assisted Redaction can facilitate a faster and more
systematic redaction process and can greatly reduce the
need to manually identify and redact text.
How it works
Assisted Redaction is accessed through the Relativity
interface. The application can apply highlighting, text
overlay, or black box redactions for specific keyword or
phrase across a set of document images. The document
images can be created within Relativity or can be imported.
Hosted native records are not modified or redacted.
The first step in the Assisted Redaction process is to use
Coordinate-Based Optical Character Recognition (OCR)
software to extract text and coordinates from every
document image inside population identified. Once the
images are converted to text, the application intelligently
searches for the specific keywords and phrases within this
text. The user specified keywords can be strings of text or
numbers and can include regular expressions which are
sequences of characters that form a search pattern, to
identify items like social security, bank account or phone
numbers.
Because the searching utilizes both text and
coordinates from OCR, a sophisticated document
confidence algorithm scores the reliability and
accuracy of each keyword or phrase identified for
redaction and provides a confidence score for each of
the redacted documents. The confidence score can
be used by the review team to prioritize quality
control of the automated redactions before delivering
redacted images to the requesting party.
