Job Description Job Title Reporting to Video Store Production Coordinator Head of TV Licensing Function PPL Video Store Working Hours Standard 35 hours per week Normally working Mon – Fri 9am to 5pm with additional hours as required Direct Reports Job Purpose Reporting to the Head of Television Licensing, the role of the production coordinator involves taking responsibility for the management of the Video Store department in terms of its day-to-day operation and medium/long term planning & strategy. Context of the Role The Video Store Production Coordinator is tasked with managing the sale of music videos to TV production companies, broadcasters and public performance venues/suppliers. This involves ingesting videos and managing our online music videos store and arranging for the duplication and delivery of digi beta tapes to customers. Organisation Chart Head of TV Licensing TV Licensing Executive Production Coordinator Key Accountabilities Customer Enquiries/orders Dealing and managing enquiries and orders, negotiating prices dictating turnarounds, prioritising orders, ensuring timely delivery of music videos to customers. Determining the copyright and existence/locations of masters in the archive/facilities houses and libraries. Dealing with new business, licensing enquires & solving enquiries/licensing issues. Managing and maintaining public performance customer accounts, producing a monthly new release list by liaising with record company promotion departments and distributing the list. Instructing duplication of tapes onto specified formats, coordinating delivery of compilations to customers. Research for clients, researching lists for themed programmes, reviewing suitability of product for customer target audience and different versions and offering substitutes. Content Management system/Technical Managing the relationship with our hosting partner & technical support. General technical understanding of video files & how these are downloaded. Troubleshooting when clients are having difficulties, working closely with technical support to sort out the problems with the processes and the actual files. Highlighting problems for development & ways to improve customer experience & backend of the system. Managing the content online Publishing, un-publishing, disabling & securing music videos and defining the content criteria. Record company members Introducing & signing them up to provide their content on the online site, organising our file requirements, initial back catalogue of videos, metadata and delivery of these file masters. Building relationships with their digital video/archive delivery departments/sources. Research Thorough proactive internet searching skills to find info on/label /release/artist and themes. Marketing/PR Maintaining the profile of the Video Store through newsletters and marketing/PR initiatives. Finance Updating and preparing sales data for distribution. Checking customer and supplier invoices. Budget input & planning with Head of TV Licensing. Microsoft Excel, Outlook. level of computer Technically proficient with file Competent in the formats and delivery of content Office Suite – Word, in soft and hard form.
