Network Edition
All Kurzweil 3000 products are available in network editions, where students can log on
from any networked computer running Kurzweil 3000 and access their personal settings
and files. Educators and network administrators can centrally track student usage and
progress and control the number of licenses in use.
License-to-Go
The Remote License-to-Go feature allows granting of licenses to users’ laptop computers,
so users can access Kurzweil 3000 without being connected to the network. As a result,
teachers and students benefit alike by accessing Kurzweil 3000 in or out of the classroom.
For instance, if a teacher wants to take work home or have an IEP meeting with a student’s
parents to show Kurzweil 3000, or if a student needs to do homework, Kurzweil 3000 is

Toolbars
Kurzweil now uses colored bars for each of the toolbars. Main toolbar is red. Reading
toolbar is yellow. Study skills is green. Writing toolbar is blue. Click the colored bar to
open or minimize the toolbar.
User Files
Under the Tools > Options (Ctrl + F1) > General Tab is a choice for “Ask for User on
Startup” (under Miscellaneous). If this choice is checked, you can set up preferences for
each individual user. Preferences will be saved locally on the computer.

Adjusting the Page View
The page of the document may not open at the size that is easiest for reading. There are a
couple of different options for correcting this.
Under Options > General, one can select a standard value for zooming a page. The default
is 100%. Using Ctrl + M when viewing a particular page will apply whatever value was set
for “My Zoom.”
The keyboard can also be used to zoom the document: F7 makes it larger; F8 makes is
smaller.
If you make changes to the settings for a particular page and you wish to have those same
settings the next time the document is viewed, go under View > Page View and select
Remember. Please note that you will have to save the KESI file when you exit it in order to
save the page view.
The default setting at which documents are opened is set under Tools > Options > Image.
Set the default fit to the page size that you would like to see.

Basic Functions
Reading
Tools > Options brings up a window that allows you to customize many features of
Kurzweil 3000, including which toolbars to view. The settings below allow us to view the
reading toolbar.
Tools > Customize > Toolbars allows you to customize the buttons on the reading toolbar.
Simply clicking in the text and then selecting the read button will enable the text-to-speech
function in Kurzweil. Note that the user has control over how the text will read, including
speed, continuously or in smaller increments, highlight color, etc.

Tools > Options brings up windows that allow full customization of settings, including the
following:
• Speed and voices under the Reading option.
•
Colored highlighting of text as it reads (reading bar) and when it is selected using the
cursor (selection bar) both under the Image (i.e., the TIFF image) option.

Tools > Customize > Toolbars > Study Skills allows you to choose which buttons will
appear on the Study Skills toolbar.

Study Skills includes four colors of highlighters that can be used to select various aspects
of the text; for example, one might use yellow for the main idea, green for supporting
details, and cyan (blue) for vocabulary words.
After marking a document, the highlighted text can be extracted (File > Extract) into a text
document to use as an outline for writing or a summary for further study.

Sticky notes can be used by a student to make notes to themselves, or an instructor can set
up a file with informational/directive sticky notes for the student.

If a microphone is available, it is also possible to add a voice note.
One can highlight text and create a bookmark. The bookmarks can be listed alphabetically
or in reading order.

Writing
Tools > Customize > Toolbars > Writing allows you to choose which buttons will appear
on the Writing toolbar.
Tools > Options > Text (i.e., text that the user creates) brings up a window that allows you
to customize the view of text created within the program. The settings below control the
look of text that is entered directly into the program.

File > New > Text File (or Ctrl + N) will create a new blank text file. File > Open (Ctrl +
O) can be used to open an existing text file.
You can go under Window > Tile Vertically to have a Image file and a writing file open
side by side. You can drag and drop text from the Image file onto the writing file.
Read the Web
Kurzweil allows you to read the Web through either of two browsers: Internet Explorer and
Mozilla Firefox. To select the browser, go under Tools > Options (Ctrl + F1). Select the
Reading option. The Web choices are in the bottom right-hand corner of the window.
Under the Read option, choose Read the Web. You will get a toolbar at the bottom of the
screen.

Kurzweil Taskbar
The Kurzweil taskbar automatically installs with version 10 but needs to be set up down in
the Windows taskbar. Right click in an empty area of the Windows taskbar (at the very
bottom of the Windows screen) and select Toolbars. From the Toolbars list, choose
Kurzweil Taskbar. To use the taskbar, simply drag the text you want read down to the icon
in the bar. The text will open in a separate window.

Opening TIFF files
Note that scanning or reading TIFF/PDF files requires Kurzweil Professional. Rather than
using Kurzweil to scan files, I recommend scanning with the software utility that comes
with your scanner and creating TIFF files. Open the TIFF files through Kurzweil and then
save the files as KESI files and whatever other file formats are needed.
Choose Tools > Options > Scanning to select the FineReader OCR engine.
Editing KESI Files
Set Page Numbers
You can edit KESI files in a number of ways.
If the document does not begin on page 1, you can align the document numbers with the
Kurzweil page numbers by going to View > Page > Set Page Number,
Note that if the document has front matter that uses Roman numerals, you can simply tell
Kurzweil how many pages are front mattter, and it will renumber accordingly.

Setting the Zones
The text on the page is set up in “zones.” Zones affect what text is read and the order in
which it is read. You can view and edit these zones by choosing Scan > Zone Editor or
using the shortcut key CTRL + F5.
If you click once to highlight a zone and then right click on that zone, you can change the
reading order or other zone properties. You can also select the zone and then just tap the
number (works for 1 through 9).

The reading order is the order in which text is read. Zone one is read first, etc. You can
also select whether the text will be read automatically (primary text) or only if the user
clicks on the text (secondary text). Setting the zone type as graphic means that Kurzweil
will not try to read that zone.
You may wish, for example, to set the header or page number in a book as a graphic zone
if you do not wish it to be read.
In setting Zone Properties, you can use the following keyboard commands to set the Zone
types:
Ctrl + 1 = Primary zone
Ctrl + 2 = Secondary zone
Ctrl + 3 = Graphic zone
While in the Zone Editor, you can use the tab key to move from zone to zone. Use SHIFT
+ Tab to move backwards.
To delete a zone, simply use the delete key. You can delete all the zones on the page by
using SHIFT + DELETE.

Zoning/Editing Order
If there are any issues with the reading order on a page, it is best to make those changes
first and then edit the underlying text.
If you are intending to do a fair amount of editing in Kurzweil, it is quickest to check the
reading order on every page before you begin editing the underlying text. Go to Scan >
Zone Editor or use Ctrl + F5 to open the Zone Editor. You can make changes and move
from page to page without closing the Zone Editor.

SHIFT + Tab = move backwards.
Edit Underlying Text
Remember that with Kurzweil 3000, you see the TIFF file (the scanned picture) on the
screen, but it is the hidden, underlying text that the program actually reads.
You can view and edit this underlying text by right clicking on the text and choosing “Edit
underlying text” or you can choose Edit > Correct Recognition > Edit Underlying Text.

Creating and Taking Tests
If an instructor provides you with a test created in MS Word, it is a simple procedure to
make that document into a test that can be taken in Kurzweil. The advantage of taking the
test in Kurzweil over taking it in Word is that the student cannot accidentally overwrite or
change the test questions.
The first step is to look over the test and determine whether it makes sense to ask Kurzweil
to automatically provide blanks that the student will fill in or to use the Kurzweil tools to
manually create the test.
If the document has a number of individual blank lines where students are to write
answers, then you can use the “Fill in the Blanks” feature in Kurzweil.
First use the KESI Virtual Printer to transfer the Word document into Kurzweil. In Word,
choose Print> KESI Virtual Printer.
Once the document has loaded into Kurzweil, go to Tools > Fill in the Blanks. Kurzweil
will automatically add a clickable text field everyplace it sees a blank line. Please be aware
that if there are graphics in the document that display straight horizontal lines, Kurzweil
may also see those as blanks to be filled.
Be aware that it may be possible to type beyond what can be displayed on the screen. If the
student starts to see the text disappearing, simply hit the enter key to move the text to the
next line.
If the document does not have blank lines, it may be easiest to use the Kurzweil tools to
add text areas manually. You can add text boxes using the text tool or the sticky note tool.

You can also use the sticky note tool to add instructions to the student.
If the test is multiple choice, the student can use the highlighting or circle tools to mark
answers.
You can even set a “test taking” toolbar with specific options available for testing (Tools >
Customize > Toolbars).
Finally, if the instructor would prefer that the student not have access to features such as
the dictionary or spell check, those options can be restricted by locking out the features and
password protecting the lock. (Tools > Lock Features)

Foreign Languages
Kurzweil can now (since version 9.0) change voices on the fly if you mark the text with
the appropriate language. To begin with, when you load the image file in Kurzweil, make
sure that the foreign language (Spanish, French, German, etc.) that is in the document is set
in the Scanning option (Ctrl + F1 opens the option menu).
In order to mark the language in the document, the language must be listed on the Reading
Toolbar. Choose Tools > Customize > Toolbars.
Once the toolbar customization window is open, select the language choice and double
click on it to move it to the visible tool bar. Once you have done so, you will see the
language listed on the yellow toolbar.

To select which voice you will use for the foreign language, you again, need to go through
the options. Select the reading options. Choose the language and the voice that you want to
use. Please note that you may need to purchase additional voices for the language you
need.
Simply highlight the text, and choose the language in which it is to be spoken. Note that
you need to choose the voice (“speaker”) for the language just as you would for English.
Note that when Kurzweil reaches the marked text, it will automatically shift to the other
voice, which might have a different pitch, tone, and even gender from the English voice.
You may wish to experiment with the voices to see what will work best for the student.
Please note that the voices simply read in the appropriate accent for the language. They do
not translate. They will, however, read numerals properly in whichever language is
selected. The reason numerals are read correctly is that they are symbols that are mapped
to the appropriate word in each language. They are not “translations.”

Pronunciation
If Kurzweil is mispronouncing a particular word, you can change the pronunciation for that
word. Go to Tools > Pronunciation (CTRL + F7).
Please note that this change will only work on the computer on which the change is made,
and it will only work for the specific voice that is in use when the pronunciation is
changed. The current speech engine is shown in the bottom left corner of the New
Pronunciation window.
Rather than working word by word on a particular machine, you can also edit the
pronunciation list directly then export it and import it on other machines as needed. Please
be aware, however, that you will still be working on a voice by voice basis. There is
currently no way around this as each voice is essentially a separate “program.”

Saving Files
You can save from Kurzweil into various file formats; however, if your final goal is a
Word or HTML document, you are better off using OmniPage or FineReader for the OCR.
Kurzweil does not do a very good job with the formatting.
You can also, however, save Kurzweil files directly into MP3. To save audio files, choose
File > Audio File > Create Audio File.
You will have to select the options for voice and speed prior to creating the file. Also note
that you have a choice of saving a limited page range or the entire document.
In naming the document, you may wish to begin the name with the page number so that the
files can easily be placed in the correct order when downloading to an MP3 player or CD.

Using Dragon NaturallySpeaking
This article is from the Kurzweil Knowledge Base and applies to

Kurzweil 3000 for Windows version 7
Kurzweil 3000 version 7 will work with ScanSoft’s Dragon NaturallySpeaking Professional
and Preferred version 7. Testing has been done on both programs together and we have
found no issues with them working in tandem. For best results, have one handle Input
and the other handle Output.
With these latest versions, you are now able to dictate into Notes and Sticky Notes, with
the ability to vocally Tab from Note to Note. Also the ability to dictate into Footnotes has
been added.
Unlike previous versions of both programs, there is nothing that you have to do to get
them to work together. There are no special patches or programs that have to be run.
The only recommendation we have is to install Kurzweil 3000 version 7 before installing
NaturallySpeaking version 7.
If you have NaturallySpeaking Pro, you can import an optional component, Kurzweil 3000
Commands for NaturallySpeaking. This is done differently than in previous versions of
NaturallySpeaking.
1. Open the NaturallySpeaking Command Browser.
2. Choose Manage.
3. Click the Import button.
4. Locate the file called, K3000Commands.dvc, at the following location:
C:\Program Files\Kurzweil Educational Systems\Kurzweil
3000\Dragon
5. Change the Files of Type to Legacy DVC.
6. Click Open and the commands will be processed.
You can find a complete list of commands in the Appendix section of the Kurzweil 3000
Users Guide. Over time, we anticipate the addition of more commands.
ScanSoft has made their Global Command and Control more effective so there is no
longer any need to alter any of the NaturallySpeaking .ini files to make this work.
Kurzweil and ScanSoft are in no way affiliated with one another. Kurzweil 3000 and
NaturallySpeaking compatibility is a direct result of our ongoing commitment to providing
our customers with access to as many other software packages as possible.
KESI Virtual Printer
In order for Kurzweil to read a PDF, you must “print” the document to Kurzweil using the
KESI Virtual Printer.
Open the document that you wish to import into Kurzweil. In that document, choose the
print option, and under the printer drop-down box, select the KESI Virtual Printer. When

you go to Kurzweil, you will find the document loaded into the window. You can then
save the document as a KESI file.
Kurzweil will sometimes have difficulty handling very large (in terms of file size) files.
This may occur with color files of over 100 pages, for example. In such cases, break the
files into smaller sections before attempting to use Virtual Printer.
Virtual Printer with 1000 and 3000
If you have installed both Kurzweil 1000 and Kurzweil 3000 for Windows, Virtual Printer
prints to one or the other (not necessarily the last one you installed). For example, open a
document in Microsoft Word and print to the KESI Virtual Printer, and either Kurzweil
1000 or Kurzweil 3000 launches and accepts the printed document.
If one of these applications is running when you print to the KESI Virtual Printer, the
Virtual Printer document will always be sent to the running application. If neither
Kurzweil 1000 nor Kurzweil 3000 is running, you can choose which application you
would like Virtual Printer to print to.
You can make the choice in the Printer Properties dialog box. Changing printer properties
is slightly different depending on the operating system.
On Windows 95, Windows 98, and Windows ME:
From the Start button’s menu, choose “Settings”, then “Printers and Faxes”. A list of
installed printers will appear. Right-click on “KESI Virtual Printer” and choose
“Properties” from the pop-up menu. A tabbed dialog will appear. Select the “Application”
tab. Click the “Configure...” button. In the dialog box that appears select either Kurzweil
1000 or Kurzweil 3000 from the “Default Application” list then click the “OK” button.

On Windows 2000 and Windows XP:
From the Start button’s menu, choose “Printers and Faxes”. A list of installed printers will
appear. Right-click on “KESI Virtual Printer” and choose “Properties” from the pop-up
menu. A tabbed dialog will appear. Select the “Device Settings” tab. Click on
“Application...”, then the “Setup...” button. In the dialog box that appears select either
Kurzweil 1000 or Kurzweil 3000 from the “Default Application” list then click OK.
Note that not all users will have rights to change the Virtual Printer’s device settings. An
administrator may grant the right to change printer settings to a user. To do so, log in as an
administrator. Go to the Virtual Printer’s property page as described above. Select the
“Security” tab. Add the user’s name to the list and select it (or select an entire group, such
as “Everyone”) and check the box labeled “Manage Printers”. Click OK. The selected
user(s) will now be able to change the device settings for the Virtual Printer. The choice of
which application to run will affect only the user who sets it, so that different users may
use different settings.

Automater
If you scan to TIFF, you can create KESI files for your students who use Kurzweil by
running the files through the K3000 automater. The automater has been included with the
Kurzweil 3000 Professional (formerly called Scan & Read) stations since version 7. You
must manually install the automater by dragging it from the “Extras” folder on the
installation disk to your computer.
The automater allows you to create a source folder of TIFF documents that the Kurzweil
3000 will convert automatically to KESI files and save into a destination folder, keeping
whatever file hierarchies you had set up intact.
Please note: Do not run scanned documents through OmniPage or FineReader if you
intend to create KESI files. If you use OmniPage or FineReader to OCR the text and then
save to TIFF or PDF, Kurzweil will run the optical character recognition a second time!
Steps for Converting TIFF Files to KESI Files with the Automater
Before you start using the K3000 Automater, copy it off the Kurzweil 3000 CD ROM to
your computer’s hard drive. The K3000 Automater is located on the Kurzweil 3000 CD
ROM in the Extras directory. The files that you want to copy to your hard drive are
K3Automater.exe and K3Automater.chm. When you insert the CD into the computer, the
installer will automatically launch. Cancel the installer, browse to the CD itself, and open
the CD directly. Simply drag the Automater files onto your hard drive.
Make sure that the version of Kurzweil 3000 installed on the Automater computer is
Kurzweil Professional (scan and read). To check this, open Kurzweil 3000, and in the
menu bar, select “Help,” “About.” A window should pop up telling you what version of
Kurzweil you have.
Step one: Create a directory called “TIFF files” on your desktop and copy the tiff files
from the CD ROM to that folder. This will help speed up the process.
Step two: Create a directory called “KESI files” on your desktop. This is where the
completed KESI files will be located.
Step three: Make sure Kurzweil is not running then start the K3000 Automater and set the
Source and Destination directories. To start the K3000 Automater double click on K3000
Automater.exe. Then set the Source Hierarchy to the “TIFF files” directory, and set the
Destination Hierarchy to the “KESI files” directory.
Step four: Click on the “OK” button on the K3000 Automater. This will start converting
the TIFF files.
Step five: Wait. Once all the files have been converted, the K3000 Automater will stop.

Step six: Burn the file in the “KESI files” directory to a CD ROM.
As the Automater is running, you can add additional files to the TIFF files folder. The
Automater will check for new files
Please note: KESI files created in this way can also be used with Kurzweil 1000.
Finding E-text with Kurzweil
From the Online menu, select Search for Books. Enter the book information on a station
that is connected to the Internet and Kurzweil will automatically search for the book for
you.
