THS 2013 VOLUNTEER JOB DESCRIPTIONS
Big/Little Buddy Parent: Assists the buddies in sending notes of encouragement for Synchro meets and
other times throughout the year. The Coaches assign the big-little buddies.
Board Member: Serve as a member of the club’s parent run board of directors. A one year commitment.
Attend monthly meetings to assist in the business decision making of the club. Board positions are
President, Vice-President, Secretary, and Treasurer. The Head Coach is a permanent voting member.
(Meets 44 hour volunteer commitment)
Board Member At-Large: Up to 5 positions are available. A one year commitment. Attend monthly
board meetings and is a voting member of the board. Responsibilities include filling activity chair positions
as indicated by the board.
Bulletin Board Committee: Maintain all THPRD pool bulletin boards with current club flyers, photos,
publicity and notices of club events. Bulletin boards are located at the Aquatic Center (50-meter), Sunset
Pool, Beaverton, Aloha and Conestoga swim center locations. Keep area pools stocked with THS flyers and
brochures. Report to Marketing Chair(s).
Chaperone: Responsible for an assigned group of athletes at meets. Duties include driving, managing
athlete food money, assisting with knoxing/make up/routine suit and headpiece changes. Report to Head
Chaperone. The Head Coach makes the final decision regarding who will be Chaperone for each meet.

Club Photographer: Takes photos of athletes at all club competitions and performance events and makes
the photos available for use to the club’s Historian, Bulletin Board Committee, Marketing Committee and
Webmaster. Report to Marketing Chair(s).
Club Representative: The officially recognized liaison between USA Synchro and the THS. Represent
THS at OASS meetings. Handle all new member sign up. Provide webmaster with current club roster
information. Report to the Head Coach.
Fundraising Committee: Assist the THS Vice President/Fundraising Chair in deciding which fundraisers
the club will pursue lead a committee of volunteers to run a specific fundraiser and recruit volunteers to
participate in the fundraising activity.
Grant Writer: Research grant sources and develop grant proposals. Maintain a notebook of grant writing
activity. Reports to THS Vice President/Fundraising Chair.
Historian: Maintain a scrapbook/photo album with club photos and news articles. Maintain inventoried
collection of videos. Report to Marketing Chair(s).
Marketing Committee: Carry out marketing efforts to publicize the THS and its events, through print and
broadcast media, bulletin boards, pictures, and flyers. Report to Marketing Chair(s).
Sponsor Coordinator: Solicit businesses to purchase ads on the THS website (sponsor plans are in place
and the THS website is ready to accept sponsors). Report to Fundraising Chair/THS Vice President.

Squad Mom: A liaison between the coaches and parents. Assists with knoxing, make-up application and
suit & headpiece changes at meets.
Team Uniform Coordinator: Issue and maintain the inventory of club apparel, swim caps, and warm ups.
Report to Head Coach.
Travel Coordinator/Head Chaperone: Make reservations, arrange transportation and assemble travel
packets for athletes, coaches and chaperones for away meets. Organize and run a planning and
information meeting in advance of travel meets. Organize and run a debriefing meeting upon return.
Appointment made by the Head Coach.
Webmaster: Maintains and updates the THS website. This includes team photos from meets and events,
new sponsorship advertising, club contact information.
Volunteer Coordinator: Oversee recruitment of parents for volunteer opportunities. Maintain roster of all
activity chairs. Monitor the volunteer hours of parents. Work with Webmaster to post all volunteer
opportunities on the website. Report to THS President.
