CELLULAR DEVICE POLICIES AND PROCEDURES
5.1.
DEFINITIONS
As used herein, the term “cellular device” applies to any handheld device that
makes or receives phone calls, leaves messages, sends text messages, surfs the
Internet, or downloads and allows for the reading of and responding to email whether
the device is supplied by the [COMPANY] or personally owned. The term includes, but
is not limited to, cellular telephones, personal digital assistants (PDAs), smartphones,
and similar handheld devices.
5.2
PURPOSE
This section of the manual sets forth the [COMPANY]’s policies with regard to
cellular device usage both in and outside the office. Questions regarding these policies
should be directed to the System Administrator or the [COMPANY]’s Technology
Department.
5.3
[COMPANY] SUPPLIED DEVICES
An employee who uses a [COMPANY]-supplied cellular device is prohibited from
using the device while driving, whether the business conducted is personal or
company-related. This prohibition includes receiving or placing calls, text messaging,
surfing the Internet, receiving or responding to email, or checking for phone messages.
[COMPANY]-supplied cellular devices are intended to be used exclusively for
work-related [COMPANY] matters. It is a violation of the [COMPANY]’s policy for any
employee of the [COMPANY] to use [COMPANY]-supplied cellular devises for personal
purposes.
5.4
PERSONAL DEVICES
Employees are prohibited from using any cellular device for business purposes
while driving. This prohibition includes receiving or placing calls, text messaging,
surfing the Internet, receiving or responding to email, or checking for phone messages
on cellular devices personally owned by an employee.
5.5
USE OF HANDS FREE DEVICES
Notwithstanding the prohibitions contained in Sections 5.3 and 5.4, a cellular
device may be used to receive or place calls by utilizing a hands-free device, which
includes, for example, speaker phones, earpieces, wired headsets, and Blue Tooth, so
long as use of a hands-free device complies with the laws of the state in which the
activity is being conducted. Employees must determine and comply with the laws of
the state in which the activity is being conducted.
Regardless of the hands-free exception, the [COMPANY] strongly discourages
employees from utilizing any cellular device for any purpose while driving. The
[COMPANY] recommends that if use of the cellular device is necessary when driving,
employees pull their vehicle aside in a safe place to conduct the activity.
5.6
INTEGRATION OF COMPUTER SYSTEMS POLICY AND PROCEDURES
Any cellular device, whether personally owned or [COMPANY]-supplied, that is
integrated with the [COMPANY]’s computer systems, is subject to the [COMPANY]’s
Computer Systems Policy and Procedures, Part [ ] of the [COMPANY] Policy Manual,
including but not limited to, the provisions governing acceptable use (Section [ ])
5.7
DEVICES IN THE WORKPLACE
The [COMPANY] is aware that employees utilize their cellular devices in the
workplace. At the same time, cellular devices can be a distraction in the workplace.
To minimize distractions, employees are asked to leave cellular devices on vibrate
mode during the workday when they are in areas where ring mode can be heard by
others. Employees are also asked not to utilize cellular devices during meetings
except on the unusual occasion of an emergency or anticipated emergency that
requires immediate attention.
5.8
CONFIDENTIALITY AND SECURITY
Confidentiality and security of [COMPANY]-related and client-related
information are critical considerations of the [COMPANY]. Accordingly, before an
employee ceases working for the [COMPANY], any device utilized for work-related
purposes, whether personally owned or [COMPANY]-supplied, must be submitted to
the System Administrator so that the device may be wiped of any confidential
information and material. Any cellular device utilized for work-related purposes,
whether personally owned or [COMPANY]-supplied, must be secure so that the cellular
device is locked-down and password protected when not being utilized.
5.9
VIOLATIONS
Users who violate any of the guidelines set forth in this policy may be subject to
disciplinary action by the [COMPANY] including, but not limited to, written warnings,
revocation of access privileges and employment termination.
5.10 RESERVATIONS
The [COMPANY] reserves the right to amend or change the policy and
procedures set forth herein at any time without further notice.
