The GF Supplier Portal Frequently Asked Questions (FAQ) 1. What is the GF Supplier Portal and which functions are provided? The GF Supplier Portal is an important interface between you as an existing or potential business partner and our Purchasing Department. We use the Portal to optimize our common business processes and to give you the opportunity to present your company. At the GF Supplier Portal you: - continuously update your company details yourself deposit detailed information about your company profile by means of a supplier selfassessment. In addition you can upload your company presentation. register respectively apply for commodities and plants provide electronically your certificates and similar documents receive important information from us and can access documents such as Supplier Code, General Terms etc. are invited to RFx and auctions, matching with your profile and registration status Such, all data is available centrally and worldwide for all purchasers of Georg Fischer. 2. Which system- or other requirements have to be fulfilled to work with the GF Supplier Portal? The GF Automotive Supplier Portal is based on a software from Allocation Network („ASTRAS“). You can use the Supplier Portal, when the following conditions are fulfilled: - You have internet access with your computer. The speed of the reproduction of the pages is dependent on the internet access. You use a supported browser, see: Supported browser. You use a supported Excel-version for import of files, see: Supported ExcelVersions You know the address to access the Supplier Portal. You have disabled the pop-up blocker, see: disable pop-up blocker. You have an user name and a password for the system. ASTRAS designed for the following browsers (supported browser): Microsoft Internet Explorer (current and previous version) Mozilla Firefox/Netscape Navigator (current and previous version) Remark: ASTRAS also works with other browsers: Chrome, Safari, etc. – but it can happen that the program looks a bit different in some views. Supported Excel-versions: For the import of files you can use Excel-templates. Please use Excel 2003 or newer. Disable pop-up blocker: Pop-ups are small windows, which are opened by some websites automatically. Often these are annoying advertisements, therefore most of the browsers have blocking functions, socalled pop-up blockers. In the Supplier Portal pop-ups are an important element, so they might not be blocked. 3. What are the costs for the usage of the GF Supplier Portal? There are no costs for registration and usage of the Supplier Portal. You might only eventually bear the costs for the usage of your internet access. 4. Where do I find the GF Supplier Portal? You find the Supplier Portal on the websites of our Divisions: www.gfau.com, www.gfms.com or www.gfps.com. or directly via the link: www.astras.net/asp/astras.R6/WFE/public/gfau/de/DE/-/showLogin. 5. How can I register on the GF Supplier Portal? For using the Supplier Portal you have to register yourself once. During registration online-forms are provided, in which you are asked to enter your company master data. Amongst them are your address data, contact details and a supplier self-assessment. In addition you can upload presentations and certificates respectively other important documents. Furthermore you will have to confirm the Terms of Use and our Supplier Code. Based on your information the responsible purchaser will check and decide whether it’s considered suitable and interesting for future cooperation. You will be informed about the result. The assessment can take some days. 6. How do I get the login details for the GF Supplier Portal and how can I log in? After conclusion of the assessment and positive result you will get your user name by e-mail. Together with the password you have determined during registration yourself, you can then log into the Supplier Portal and maintain and actualize your information at any time. Also, you can change your user name and password yourself. It’s a personalized login, that means that colleagues that want to work with the Supplier Portal or if there are different responsibilities you can name them in your master data. They will then get their own login details. 7. What kind of documents will I have to upload? If you are supplying materials and/or services that have an impact on quality, environmental aspects and/or occupational safety, you are asked to upload the corresponding certificates of your management systems and provide the required data such as validity. If you are a disposal company please upload the required permits. As a temporary employment agency please upload such certificates as the permit for temporary employee hiring, clearance certificate etc. If you provide services that require certain approvals (e.g. Water Resources Act, welding qualification), please upload those. Furthermore we of course reserve the right to ask you to fill in questionnaires, NDAs or similar documents in the context of concrete events and to provide them online. 8. When should I actualize my information and documents? In your own interest you should keep your information up to date and revise them in case of major changes. Independently thereof we will ask you once a year to check them or event-driven e.g. when the validity of your certificate has expired. 9. Why do I get e-mails from Georg Fischer? On the one hand you will be invited by email to so-called events that means RFIs, RFQs etc. and you will get messages when your contact person has for example accepted your registration. On the other hand you will automatically get reminders from the system regarding not yet completed operations (e.g. tendering) or expired documents (e.g. certificates). Furthermore the system gives us the opportunity to inform you about novelties. You will get those messages from the e-mail-address [email protected] with the subject line „GF Supplier Portal: …“. 10. What do I have to keep in mind when using the GF Automotive Supplier Portal? Please bear in mind that you are maintaining your information on your own authority. Be careful with your login details. Please name a new user whenever a former user is about to leave your company. Please respect our General Terms of Use, which you can also find at the Supplier Portal as download. 11. How can I find my way through the GF Supplier Portal? The Supplier Portal is as far as possible intuitive to use. Additionally you can find some help features: - 12.
