LaMaMaArchives Catalogers’Manual Introduction ThisdocumentismeanttoofferageneraloverviewoftheprocessweusetocatalogLa MaMa’sarchivalmaterials.Theseguidelinesweredevelopedasaninitialstartingpoint; wewillmodifyourcatalogingworkflowasneeded.Thinkofourcatalogingworkasa collective,iterativeprocess.Althoughweadheretointernationalstandardsandbest practices,we’realsoworkinginterritorythatisinfluxandforwhichnoperfect solutionsexist.Pleasekeeptrackofissues,bugs,orabsencesthatyounoticeasyou catalog,andquestionsthatariseforyouasyougo.Wewillcontinuetorevisethe structureofthecatalog,theprinciplesbehindwhatwe’redoing,andthedetailsofour catalogingworkflow,goingforward. Catalogsoftware Ourcatalogwasbuiltontheopen-sourcedatabasesoftwareCollectiveAccess (collectiveaccess.org).CollectiveAccessisacatalogingplatformusedbymanysmaller institutions,includingtheNewSchool’sSpecialCollectionsandtheChicagoFilm Archives,amongothers.Itcomespre-loadedwithDublinCoreandLibraryofCongress subjectheadingintegration;andfeaturesothertoolstofosterarchivalbest-practices.In additiontoahighlycustomizableback-end,thepackageincludesanoptionalfront-end platformtemplate. Foreachitemcataloged,weassignauniqueidentifier,andcapturemetadataforthe15 standardDublinCoreelements,aswellasinformationabouttheitem’sconditionand storagelocation.Foraudiovisualdocuments,wecaptureadditionalPBCore-compliant metadata(mostimportantly,about“Instantiations”).Forobjectsthatexistasdigital files,wecapturePREMIS-compliantmetadataincludingchecksums,digitalpreservation levels,andtheexistence/locationofpreservationandaccesscopies. Structuralprinciples. LaMaMa’scatalogisorganizedaroundasetofhierarchiesbasedontheFRBR (FunctionalRequirementsforBibliographicRecords)model.FRBRiswell-suitedto creatingacatalogofrecordsthatareorganizedaroundandrelatedtoperformance events.Itenablesustodeployausefulhierarchyofclasses,anditforegrounds “relationships”betweencreativeworksandtheircreators. Traditionally,FRBRlookslikethis: WehaveadaptedthetraditionalFRBRmodel,asfollows: Work:AccordingtoFRBR,a“work”is“adistinctintellectualorartisticcreation.” Forinstance,LaMaMa’scatalogcontainsa“Work”recordforJeanGenet’splay“The Maids.”Workrecordsshouldinclude(ataminimum)theauthor’snameandthedateof itscreation.Itshouldalsobelinkedtoallitsrelevant“manifestations”(described below).Youmayalsodescribetheplotandanyothersignificantinformation surroundingitscreationandinitialreception.
