Catalogers’Manual
Introduction
ThisdocumentismeanttoofferageneraloverviewoftheprocessweusetocatalogLa
MaMa’sarchivalmaterials.Theseguidelinesweredevelopedasaninitialstartingpoint;
wewillmodifyourcatalogingworkflowasneeded.Thinkofourcatalogingworkasa
collective,iterativeprocess.Althoughweadheretointernationalstandardsandbest
practices,we’realsoworkinginterritorythatisinfluxandforwhichnoperfect
solutionsexist.Pleasekeeptrackofissues,bugs,orabsencesthatyounoticeasyou
catalog,andquestionsthatariseforyouasyougo.Wewillcontinuetorevisethe
structureofthecatalog,theprinciplesbehindwhatwe’redoing,andthedetailsofour
catalogingworkflow,goingforward.
Catalogsoftware
Ourcatalogwasbuiltontheopen-sourcedatabasesoftwareCollectiveAccess
(collectiveaccess.org).CollectiveAccessisacatalogingplatformusedbymanysmaller
institutions,includingtheNewSchool’sSpecialCollectionsandtheChicagoFilm
Archives,amongothers.Itcomespre-loadedwithDublinCoreandLibraryofCongress
subjectheadingintegration;andfeaturesothertoolstofosterarchivalbest-practices.In
additiontoahighlycustomizableback-end,thepackageincludesanoptionalfront-end
platformtemplate.
Foreachitemcataloged,weassignauniqueidentifier,andcapturemetadataforthe15
standardDublinCoreelements,aswellasinformationabouttheitem’sconditionand
storagelocation.Foraudiovisualdocuments,wecaptureadditionalPBCore-compliant
metadata(mostimportantly,about“Instantiations”).Forobjectsthatexistasdigital
files,wecapturePREMIS-compliantmetadataincludingchecksums,digitalpreservation
levels,andtheexistence/locationofpreservationandaccesscopies.
Structuralprinciples.
LaMaMa’scatalogisorganizedaroundasetofhierarchiesbasedontheFRBR
(FunctionalRequirementsforBibliographicRecords)model.FRBRiswell-suitedto
creatingacatalogofrecordsthatareorganizedaroundandrelatedtoperformance
events.Itenablesustodeployausefulhierarchyofclasses,anditforegrounds
“relationships”betweencreativeworksandtheircreators.
Traditionally,FRBRlookslikethis:
WehaveadaptedthetraditionalFRBRmodel,asfollows:
Work:AccordingtoFRBR,a“work”is“adistinctintellectualorartisticcreation.”
Forinstance,LaMaMa’scatalogcontainsa“Work”recordforJeanGenet’splay“The
Maids.”Workrecordsshouldinclude(ataminimum)theauthor’snameandthedateof
itscreation.Itshouldalsobelinkedtoallitsrelevant“manifestations”(described
below).Youmayalsodescribetheplotandanyothersignificantinformation
surroundingitscreationandinitialreception.
Event,orProduction:InFRBRlanguage,thisisthe“manifestation.”Thatis,aspecific
productionofagivenwork.Toillustrate:LaMaMahostedseveralproductionsof“The
Maids”initsearlyyears—inOctoberandDecemberof1964,inAugustof1965,andin
December1971.Theseeachhaveseparate“Event”records,whichdetailsignificant
informationaboutthemountingofthisparticularproduction.Eachofthese“Event”
recordsthenrelatebacktotherelevant“Work”record.
Objects:Thesearetheitemscontainedinourarchives.Anobjectmightbea
photograph,aproductionprogramorposter,ablueprint,avideo,aclippingofareview,
acostume,amask—andsoon.Copiesofprogramsfor,orphotographsthatdocumenta
specificproductionof“TheMaids,”forinstancearealldescribedin“Object”records.
TheserecordsarealsorelatedtoEntities(ifauthorshipoftheobjectcanbedetermined)
aswellasaspecific“Event”andone(orinsomecases,several)“Work(s).”
Entity:Theseareindividuals,residenttheatercompanies,families,collectives,partner
institutions,andotherorganizationsthathelpedcreateordocumenteachevent.The
director,performers,andcrewthatworkedon“Maids”in1971areall“entities”related
to1971’s“Event”record.Soarethecostumedesigners,thevideographers,andthe
photographersthatdocumentedtheshow.
Don’tstresstoomuchoverthetheorybehindFRBR.Onceyoulearntheinsandoutsof
ourcatalogingworkflow,FRBRlogicwillbeeithersuperclearortotallyunimportantto
theexecutionofyourwork.
Wedeployseveralothermetadatastands,inadditiontoFRBR,inthecatalog,including
DublinCore,andelementsofPBCoreandPREMIS.Thesestandardsmapontoourcatalog

Tostartcataloging,selectaphysicalfoldercontainingmaterials,oroneitem.Thenopen
uptheCollectiveAccessback-end,andstartenteringdata,asfollows:
•Goto“New”andpick“Object.”Hereyou’llhavetodecidewhethertheobjectis
anArtifact,Poster,Photograph,Audiovisual,orDocument.Determiningwhat
typeanobjectissoundseasybutcanbetricky.Therulesfordeterminingwhat
“type”ofobjectaspecificdocumentisareasfollows:
• “Artifacts”arethreedimensionalobjects—puppets,props,costumes,
masks,musicalinstruments,andsoon.
• “Posters”areoversizedtheatricalposters.
• “Photographs”arephotographicprints.Thiscategoryisrelatively
straightforwardwithafewexceptions,e.g.donotcatalogitemssuchas
newspaperclippingsthatfeaturephotographicimagesasphotographs.
Theseshouldbecalled“documents.”
• “Audiovisual”aremovingimagescontainedonanykindofcarrierand
audiorecordings.
• “Documents”referstopaperobjectsthatareneitherphotographicprints
noroversizedposters—showprograms,newsclippings,correspondence,
flyers,scripts,productionnotes,sheetmusic,andsoon.
Clickontheappropriatetype.Thiswillenableyoutocreateanewrecord,and
bringyoutothe“basicinfo”screen.
•Fillinthefieldsonthis“BasicInfo”screen,asfollows:
--“Status”shouldbe“editinginprocess”untilitgetsfinalapprovalfrom
theProjectManager.
--TheObjectIDispartlyauto-fillandpartlymanual-fill.Changetheyear
intheObjectIDfieldtotheyearthattheobjectwascreated.Thesystem
willthenauto-fillthetypeofrecordandasix-digitidentifyingnumber.
Thus,aprogramfortheDecember1964productionof“TheMaids”will
haveanObjectIDthatlookssomethinglikethis:OBJ.1964.0006.
Ifyouarecatalogingafolderthatcontainsitemscreatedindifferent
years,determinewhichobjectwascreatedearliest,andusethatearliest
dateasthedateintheobjectidentifier.
If,afterthoroughresearch,youreallycan’tfigureoutwhatdateanobject
wascreatedyoumaysimplyusethedefaultyear(thepresentyear).
--Title.Givetheobjectatitle.Generally,thetitleshouldfollowthe
followingconventions:[Typeofobject]:“[Productiontitle]”([year]).
Thus,Aprogramforthe1971productionof“TheMaids”willbearthe
title,“Program:‘TheMaids’(1971).”Photographsofthesameshowwill
betitled:“ProductionPhotographs:‘TheMaids’(1971).”*Iftherewere
multipleproductionsofthesameworkinoneyear,addacorresponding
lowercaselettertotheyear(e.g.“1971a”),asindicatedintheproduction
record.Ifyouencounterasetofphotographswhoseauthorshipis

“venues”thatLaMaMapresentedworkin,overtheyears,arearchivalobjectsinandof
themselves,completewithstoriesandhistoriesthatweneedtorecord,atleastin
