Notice of a Special General Meeting
Muaupoko Tribal Authority Incorporated Society (MTA) is holding a Special General Meeting (SGM) on Sunday 14th October 2012
at Kohuturoa Marae, Hokio Beach Road, Levin starting at 10.00am to amend and ratify the Rules of the MTA and to approve MTA
as the Mandated Iwi Organisation (MIO) for Muaupoko under the Maori Fisheries Act 2004 and the Iwi Aquaculture Organisation
(IAO) for Muaupoko under the Maori Commercial Aquaculture Claims Settlement Act 2004.
What is Ratification?
The term “ratification” means securing formal consent or support from Members. The Fisheries Settlement assets cannot be
transferred until the MTA Rules have been ratified and the adult members approve MTA as the MIO for Muaupoko. This is done by
adult members of Muaupoko voting on a resolution to ratify the Rules of MTA and approve MTA is the MIO for Muaupoko.
Amendments to the MTA Rules of Incorporation
MTA is also seeking to make some amendments to the Rules of Incorporation. These amendments are a further requirement of
TOKM. The amendments requested by TOKM are minor in nature. To see a tracked change version of the Rules of MTA with the

What are you being asked to vote on?
Members are being asked to vote on one resolution:
That:
“The Rules of the Muaupoko Tribal Authority Incorporated Society be amended and ratified and the Muaupoko Tribal
Authority approved as the Mandated Iwi Organisation for Muaupoko under the Maori Fisheries Act 2004 and the Iwi
Aquaculture Organisation for Muaupoko under the Maori Commercial Aquaculture Claims Settlement Act 2004.”

What is the Ratification Process?
1. Public notices advertised promoting the opening of the ratification process and voting on the resolution.
2. Voting pack including a voting form sent to Registered Adult Members.
3. Voting is by ballot only and can be done online electronically, or by post, or at the Special General Meeting on Sunday 14th
October 2012.
4. The Vote must be received by the Returning Officer, by postal or submitted online, no later than 12noon Friday 12th October
2012, or in person at the Special General Meeting on Sunday 14th October 2012 at Kohuturoa Marae, Hokio Beach Road,
Levin. Voting at the Special General Meeting will close at 12noon.
5. The Special General Meeting on Sunday 14th October 2012, 10.00am at Kohuturoa Marae, Hokio Beach Road, Levin is an
opportunity for those who wish to vote in person can do so by placing voting papers into the ballot box. No other resolutions
or agenda items will be sought.
6. Provisional votes for unregistered Adult Members will be provided. A completed registration form must accompany a voting
form. Your vote will be treated as provisional until your membership has been verified and your registration complete.

8. The voting process is being managed by an independent election company and all votes will be treated as confidential.
What is required to Ratify the Trust Deed
The Rules of MTA must be approved by 75% of those Adult Members Muaupoko who are entitled to vote at the Special General
Meeting, either in person at the meeting, or by postal ballot or voting online.
What happens next?
If the 75% mandate threshold is achieved MTA will inform TOKM. TOKM staff will complete their assessment of MTA to ensure it
meets all of the requirements for a MIO and prepare a report to their Board, who will then approve MTA as a MIO and IAO.
MTA as the newly approved MIO and IAO for Muaupoko will ratify the Muaupoko Trading Company Ltd constitution and the
transfer of population assets can be affected.
MTA on behalf of Muaupoko will continue to negotiate coastline agreements with neighbouring iwi.
