The following pages include detailed instructions on how to plan your campout, select a suitable date, and make a reservation. We highly recommend that you read this document in its entirety ,but below is a list of all the basic steps you should complete to finalize your camp reservation. 1. READ THE CAMPDOC USER GUIDE to familiarize yourself with our new reservation system. 2. CREATE A CAMPDOC LOGIN, if you need to. If you already have a login from summer camp, ADD YOURSELF as a PARTICIPANT. if you have not already done so. 3. SELECT YOUR CAMP: From the RENT OUR CAMPS page, CLICK ON “STEP 1 and then in Section B, And SELECT YOUR CAMP. 1. FIND YOUR DESIRED DATE. 2. SELECT YOUR LODGINGS (see pgs. 8-11 for facility descriptions) 3. SELECT YOUR ACTIVITY AND MEAL PASSES (OPTIONAL) (see pgs. 12 -21) 4. PAY FOR ALL SECURITY DEPOSITS AT TIME OF RESERVATION. 5. COMPLETE THE HORSE WAIVER OR ROPES WAIVER (if you have purchased Horse or High Ropes passes) for every person participating in this activity. (Waivers can be found on the website, and in the email from the Camp Manager). 6. 30 DAYS PRIOR TO RESERVATION DATE: START FILLING OUT THE GIRL SCOUT DOCS TAB REQUIREMENTS. START YOUR TTA PROCESS to give ample time to get approval. Approved TTA s must be uploaded into CampDoc. Make sure you have Outdoor and CPR trained Adults and check your insurance requirements. 7. 30-21 DAYS PRIOR TO RESERVATION DATE: FINALIZE YOUR ACTIVITY AND MEAL PASSES if any. No changes to Activity Passes will be allowed later than 21 days prior to your weekend. 8. 21 DAYS BEFORE RESERVATION DATE: PAY YOUR BALANCE, IF ANY, IN FULL. 9. 21-14 DAYS PRIOR TO RESERVATION DATE: Camp Manager/Equestrian Specialist will contact you to schedule your Horse, High Ropes or Waterfront activities, as well as provide lots of additional information you may require for your campout. 10. 14 DAYS PRIOR TO YOUR RESERVATION DATE: Start planning your activities schedule. Activities are first come/first serve and are offered in five time slots through out the day. Plan on participating in 3-4. Some activities are longer than others. Plan to arrive ON time for your activities. 11. 7 DAYS PRIOR TO RESERVATION DATE: MAKE SURE YOUR APPROVED TTA AND TROOP ROSTER HAVE BEEN UPLOADED INTO CAMPDOC. 12. FIRST NIGHT OF RESERVATION: ATTEND THE LEADER MEETING AT 9 pm For more detailed information such as lodging descriptions, Activity Passes, Meal passes, maps and directions, please read the complete guide found on the following pages. Page 3 Step-by-Step Reservation Process Step 1: Reserve your Camp Space with GSCTX All reservations require the minimum Security Deposit per lodging in order to reserve your camp space. Don’t forget your Male Volunteers! Male Volunteers must have a separate overnight location reserved for their stay at camp. The Camp Managers will assign lodging, free of charge. Men will stay in Horseshoe Bend at Camp Texlake and at Crow at Camp Kachina. Camp Reservations for the 2016—2017 membership year opens on April 12th. Online Reservations: http://www.gsctx.org/en/camps/rent-our-camps.html Paper Reservations, please use the Camp Reservation Form found at http://www.gsctx.org/en/camps/rent-our-camps.html. To Register for “All Camp”, please contact the Camps Registrar by sending an email to [email protected]. Within 72 business hours, Troop/Group Leaders will receive a email confirmation of their camp reservation, and will give them further instructions on how to pay for their remaining camp reservation balance. Step 2: Pay your Camp Reservation Balance Ensure all camp activities and meals are correct and up-to-date. Camp Reservation Fees must be PAID IN FULL 21 days prior to your campout weekend. (This includes Activities). If payment is not received by 21 days prior to your campout weekend, a $50 Late Fee will be added to your account If payment is not received by 14 days prior to your campout weekend, your reservation will be CANCELLED and all Security Deposits will be withheld as a Cancellation Fee. Step 3: Talk with your Camp Manager Your Camp Manager will contact the Troop/Group Leader 2 weeks prior to your campout weekend to discuss your activity schedule, meal option selections, and any last minute questions you may have. Page 4 Cancellation/Changes/Refunds Policy CANCELLATIONS: All reservation cancellations are subject to a Cancellation Fee. If a camp reservation is to be CANCELLED, the Main Contact must inform the Camp Registrar of their cancellation request no later than 30 days prior to their campout weekend. If the cancellation is received by this deadline, all funds paid will be refunded to the Troop/SU/Group, less a Cancellation Fee equal to 50% of all the Security Deposits paid. Cancellation Fees will be effective for all weekend reservations booked for 12/1/16 and beyond. If you have reserved more than 50% of the camp (Camp Texlake -11 or more lodgings, and Camp Kachina -8 or more lodgings), your cancellation request must be received no later than 60 days prior to the camp weekend. All funds paid will be refunded, less a Cancellation Fee equal to 50% of all the Security Deposits paid. CANCELLATION REQUESTS AFTER DEADLINE: If a cancellation request is received AFTER the deadlines set above, ALL the security deposit(s) will be withheld as a Cancellation Fee. To request a Cancellation, contact us at: [email protected] to request a camp reservation cancellation. . CHANGES: Any lodging reservation change requests will be subject to the policy documented above. Changes to Activity/ Meal passes may be made up until 21 days prior. Contact us by sending an email to [email protected] to request a Change to your reservation. Official Cancellation/Camp Closing: Participants (troop or service unit camp out coordinators) are notified by phone if camp is officially closed due to severe weather conditions, emergency repairs, etc. (may be on a last minute basis). An alternate date may be offered or full fee refunded. NO REFUND WILL BE ISSUED IF CAMP IS NOT OFFICIALLY CLOSED AND A PARTICIPANT, GIRL SCOUT TROOP/GROUP OR SERVICE UNIT CHOOSES TO NOT PARTICIPATE. Requirements for Reserving Camp Space Training Requirements (for GS Members) In order to go camping each Troop/SU must provide trained adults with their group/in each unit at all times during their campout weekend: First Aid/CPR certified adult per Troop Let’s Go 1: Out and About trained adult (depending on the campout facilities you may be required to have an adult with more extensive training, please check with council to verify the level of training required for your groups campout) per Troop Insurance Requirements Girl Scouts of Central Texas provides supplemental accident insurance coverage for every REGISTERED Girl Scout participating in approved, supervised program/camping events lasting two nights or less. All girls and adults must be registered before the camp outing in order to be covered under the plan. Non GS-Member groups are not covered by GSCTX and GSUSA insurance. Personal insurance must be used. Your insurer may provide special group insurance rates for events. Please contact the GSCTX Program Center at (512) 453-7391 ext 110 for your insurance needs. Page 5 What you need to know before coming to Camp: It is the responsibility of the Group Leader to relay and enforce all safety rules to everyone attending the campout. Safety Checkpoints is your main source for all safety questions and preparations. (www.gsctx.org) Swimming: If your group is participating in Swimming, a Swim Card for each girl is helpful but ALL swimmers will be given a brief swim test by the Camp Staff. Girls that do not pass this test will be restricted to the shallow end of the pool. Any Girl requiring a personal floatation device will also be restricted to the shallow end of the pool. Your first aider will be the person responsible for handling first aid issues and providing a First Aid kit. Emergency procedures are posted at each unit. If there is an emergency, immediately call the Camp Manager, who will contact emergency services if necessary. If the emergency is life threatening, call 911 FIRST and then inform the Camp Manager. Both camps are situated on lakes and have direct water access. Supervision of the girls/adults is required and the responsibility of the Troop/Group Leader and Adults. Swimming and/or wading in the lake at either camp is not permitted. Teach and use the buddy system at all times. Close-toed shoes are required while at camp for all girls/adults and there is to be no running while on camp property. People with disabilities or mobility issues may need assistance to access certain camp grounds as the terrain is uneven and covered with loose rocks. You must prearrange special accommodations and/or a visit to the camp prior to your campout with the Camp Manager, if needed. Fire ants, scorpions, wasps, black widow and brown recluse spiders are known critters at camp. Snakes and other wild animals are also on property. Report nests near living or activity areas to Camp Manager. Follow emergency procedures if any contact occurs. Flammable and hazardous materials are stored on camp in “authorized staff only” areas. These materials are in areas that are off-limits to all camp visitors. It is the responsibility of the group leader to restrict access to these areas. Only paraffin based fire starters are permitted; no liquid fire starters (like lighter fluid). No white gas stoves are permitted. We recommend cooking with charcoal or propane gas stoves. All food must be handled safely. Food needs to be kept behind closed and locked doors to prevent animal infestation. Ice may be available; please contact the Camp Manager for details. Don’t feed animals or wild life while out at camp. Page 6 CAMP RULES It is the Leader’s responsibility to inform all adults/troops of the camp regulations. The Troop Leader is responsible for the conduct of all of their group’s participants. Breaking the rules will result in consequences up to and including asking your group to leave camp prematurely and losing your deposit. Site Emergencies: In the event of property emergencies (plumbing, electrical, etc.), contact the Camp Manager. If severe weather is threatening, contact the Camp Manager for more details. Loss of power and/or water is possible if severe weather occurs. Remain in shelters, avoid using water (as the well pump is electrically powered), and contact Camp Manager for status. Loss of utilities for more than 6 hours may result in the closure of camp. Do Not Bring: The possession, sale, or use of alcohol and/or drugs is prohibited. Girl Scouts of Central Texas (GSCTX) reserves the right to notify appropriate law enforcement agencies regarding violations of any local, state, or federal laws pertaining to drugs and alcohol. All Camp Facilities are non-smoking facilities. There is no smoking at Camp. Possession or use of explosives/firearms is prohibited. Use of fireworks is not permitted. Liquid fire starters are not allowed. Tagalongs: Insurance is available for children 5 and over. Except for nursing infants, children under 5 are not allowed at camp. Valuables: All valuables (including electronics) are the responsibility of the owner and it is recommended that these items are not brought to camp. Any item of potential hazard to others needs to be secured to prevent access. Pets: Pets are not permitted on the premises without express written consent from the GSCTX. This does not apply to service animals, but we strongly recommend you alert GSCTX staff prior to your campout and have all vaccination documentation for the animal on hand. Pets belonging to on-site, permanent staff will be contained or controlled while campers on property. Off-Limit Areas: Areas marked as OFF LIMITS should not be entered or disturbed at any time unless otherwise instructed by camp staff. Parking and Driving: Driving on camp is not allowed. Please park in the parking lot and use the donkey carts to transport your supplies to and from your sleeping quarters. All vehicles should remain in the parking circle at all times. Please contact Camp Staff for more information about handicap transportation needs. *Camp Kachina and Camp Texlake (Feller Pavilion only) allow 1 emergency vehicle at each unit. This vehicle should not be used to travel around camp. Individuals with medical mobility issues can contact the Camp Manager to set up a camp site visit prior to the campout and/or discuss special exceptions. Site Rules: Group activities should be contained within the rented campsite areas and should not interfere with other users. Activities planned should be conducive to an outdoor environment and should be friendly to promoting the natural surroundings (e.g., no loud music). Fire Bans and associated fines set forth by the County or the LCRA are applicable at the camp. If a ban is in place, ground fires are NOT ALLOWED. When fires are allowed, they are only allowed in pre-existing fire rings and grills. Never leave a fire site until it is cool to the touch. Contact the Camp Manager for questions about Fire Bans. Fire Bans are subject to change due to weather conditions. “Leave No Trace” camping must always be practiced at Camp. GSCTX will not tolerate graffiti or vandalism of camp property or natural surroundings. Damage or loss of property due to negligence or intent will result in replacement/repair costs billed to the group. All areas leased or used are expected to be thoroughly cleaned, and will be subjected to inspection. Failure to clean facilities will result in loss of deposit(s) and possibly additional cleaning fees. Graffiti done to camp property is not permitted and will cause the loss of your camp deposit. Troops/Groups that leave without checking out with the Camp Manager will automatically lose camp deposit. Trash & Recycling: Trash collection and removal is the responsibility of the group. Please remove all trash from units and program areas and place it inside the dumpsters. Failure to do so will result in deposit loss. A dumpster is located just inside the Texlake gates (as you’re leaving camp, it is on your right) and in the parking lot at KachiPage 7 na. Zilker Cabin Facility Zilker Cabin is located five minutes from downtown Austin. Zilker Cabin is great for a weekend getaway for your troop or group to enjoy the outdoors. The cabin is heated, provides indoor bathroom facilities and a full sized kitchen. Zilker Cabin has a max capacity of 32 for overnight use. A Security Deposit is required for all reservations to be processed ($50 for Overnight) Facility Name Overnight Fee Description Price Allows you to sleep at Zilker Cabin for the weekend. The Zilker Cabin is a rustic, heated building (no beds provided) with two bathrooms (upstairs bathroom has 2 toilets and sinks, downstairs bathroom has toilets, sinks, and showers) and includes a kitchen with stove, refrigerator, and microwave. Kitchen access is outside and down stone steps. No Air Conditioning. $105 Camp Kachina Facilities Camp Kachina is 244 acres located on Lake Belton. Camp Kachina is made up of 4 lodges, 2 cabin units, 1 platform tent unit, and 1 primitive camping site. Kachina’s capacity is 180 people. Facility Name Kiva Lodge Description Capacity Price Kiva Lodge is an acclimatized unit with a kitchen, interior bathroom, fireplace, and loft area. 25 $150 20 $125 15 $100 Wig-Wam Lodge Wig-Wam Lodge is an acclimatized lodge. The showers and restrooms are located inside the lodge, along with a kitchen, stove, and refrigerator. Wiki-Up Lodge Wiki-Up Lodge is an acclimatized unit with a kitchen. Its bathhouse is shared with the Dining Hall and is connected by a small porch. Hopi Cabin Unit Hopi Cabin Unit are open-aired structures with screened windows that has toilets and open-air showers. Hopi Cabins shares it’s bathhouse with Hopi Lodge. There are (2) Half Units available. 20 (per Half Unit) $75 Half Unit Zuni Cabin Unit Zuni Cabin Unit are open-aired structures with screened windows that has toilets and open-air showers. Page 10 Camp Texlake Page 11 Choose your OWN ADVENTURE with Activity Passes! Introducing Activity Passes (for Adults and Girls) for your camping experience! This year we will offer a variety of camp staffed activities each Saturday in an open-house style setting, along with creating a new Adventure Station with fun things your group can do on their own while you’re visiting our beautiful camps! Each weekend brings new possibilities and, since you’re writing your own schedule, no two weekends are ever the same. Benefits of this new Camper Activity Pass include, but aren’t limited to: Create your own schedule Save money by not having to pay for each activity individually Spend more time at your favorite activity (if space is available) Access to the Adventure Station for DIY camp activities like creating a Star Chart, Scavenger Hunts and more! There are FOUR types of Activity Passes: Camper Activity Pass, Equestrian Pass, High Ropes Pass, and Wild About Waterfront Pass. With the exception of scheduled activities included in the Horse, High Ropes, and Wild About Waterfront passes, all staffed activities are filled on a first come, first served basis and will start at specific times throughout the day. If your group only wants to do ONE staffed Activity, you must still purchase Activity Passes. Adults are welcome to participate as long as they also purchase a Camp Activity Pass and meet the requirements of the listed activity. Leaders MUST attend the 9 PM leader meeting the Friday Night of your campout to learn important details about your activity options for the weekend. The camp staffed activity options are subject to change based on weather and other considerations. Some activities, due to the nature of the activity are Camp Activity Passes Description Camper Activity Pass Use the Camp Activity Pass to create your own adventure by selecting 4—5 activities from both Guided and “Do it Yourself” activities. Each weekend brings new opportunities where you will get to choose your own adventure at your own pace. Activity Passes allows the individual to enjoy tons of fun camp has to offer, whether coming for just Saturday or staying the entire weekend! (The purchase of Activity Passes will waive the fees for Day Use and Primitive Camp- Age Capacity Price 5+* 50 $15 per 5+ 40 $30 per 60 $30 per 50 $30 per ing.) *Some activities may not be appropriate for girls under 6. Horse Activity Pass Only at Texlake Horse Waiver Required High Ropes Pass Only at Texlake Challenge Course Waiver Required Wild About Waterfront Pass The Horse Activity Pass gives you a 90 minute horse session during your weekend PLUS up to 3 Guided/DIY Activities. We have three different programs to choose from. Each weekend we will offer one of three horseback riding programs for your girls to enjoy. Make sure you double check the dates for the program you want! Please see page 13 for descriptions... Enjoy up to 3 Guided/DIY activities PLUS a scheduled 90 minutes session of high ropes. High ropes sessions include zip lining! Participants will receive their high ropes session time 2 weeks in advance of their campout. Parental Waivers required. AVAILABLE THIS SPRING, the NEW “Wild About Waterfront” pass gets you a scheduled 90 minute session with Kayaks (Texlake and Kachina) or Canoeing (Kachina ONLY) PLUS up to 3 Guided/ Do It Yourself Activities. This pass will be available for purchase for the 3/3-5/17 weekend and beyond. 9+ Junior And Up 7+ Page 12 Camp Texlake Horse Activities In addition to making your own adventure all over camp, with the Horse Activity Pass you get to have an hour and a half horse session during your weekend as well as take part in the everyday camp offered activities. Basically get the Camp Activity Pass with a horse activity addition! We have three different programs to choose from. Each weekend we will offer one of three horseback riding programs for your girls to enjoy. Make sure you double check the dates for the program you want! Horseback riding programs are popular and can fill up months in advance, so be sure to purchase your Horse Activity Pass before the spots are all gone! Just a few other things to keep in mind: Programs are weekend-specific so please be sure to check the calendar Adults can purchase a package and participate. For the health and safety of our horse herd, we have a weight limit of 200 pounds for all participants in our horseback riding program per veterinarian recommendations. You will receive your scheduled horse activity time 2 weeks prior to the campout Sold first come first served We do our best to keep groups together, however if a session meets the max number of participants the group may be split into two or more groups. Non-gripping boots with a ½ inch heel and jeans are required. We have some boots to loan to campers, however sizes are limited. Our horses can’t wait to meet you and your friends! In this awesome program, you’ll get to learn the basics of controlling a horse at a walk in an arena. You will also learn how to properly groom and care for a horse, learn to identify 5 or more parts of the saddle, and learn about 3 or more breeds of horses and their common usages. Cadettes will earn the Horsemanship Badge during this program. Our horses can’t wait to see you! Ready to see camp Texlake from the back of a horse? This is the program for you! You will get a brief refresher on how to control a horse at a walk inside our beautiful arena and go on a beautiful trail ride! Our horses can’t wait to see you! Page 13 Special Activities: Horse, High Ropes and Wild About Waterfront Activity Passes : These passes include access to all of the camp staffed activities for the weekend, the Action Station AND a scheduled time on Saturday for your group to do a high ropes, kayak/canoe, or horse program. You will receive your scheduled High Ropes or Waterfront time 2 weeks in advance of your campout from the Camp Manager. You will receive your scheduled Horse program time 2 weeks in advance of your campout from the Equestrian Specialist. You will not be able to request a specific time. Please note, we have 3 different horse programs available. Be sure to check the weekend dates to make sure the program you want is the program that will be delivered on that Saturday. Be sure to complete the Horse and Ropes Waivers found on website. Please Note: If you want to participate in more than ONE Special Activity listed above, it may be difficult to participate in more than ONE other Guided/Staffed activities due to scheduling. DIY Activities would be your best option to fill out your day. Additionally, you MUST purchase BOTH Special Passes. For Example, if you want to do High Ropes AND Kayaking, you must purchase BOTH the “High Ropes” Pass AND the “Wild About Waterfront” Passes for each person that is participating. We reserved the right to stop any camp staffed activity session at any time if participants are not following instructions and are being unsafe at the activity. Participants, including adults, who do not following instructions or are acting in an unsafe manner will be asked to leave a session and no refunds will be given. Do It Yourself Activities: In addition to our staffed activities, we also offer unstaffed, DIY activities that can also be included in your Activity Pass. These activities include: Hiking: Take a hike through the woods using our Nature Trail; follow the path all the way down to the lake, following the lake side, and finish your hike down at the beautiful waterfront. Take a copy of the nature trail leaflet with you to identify Camp Kachina or Texlake’s plants! Scavenger Hunts: Camp is full of wonderful sights and sounds! Take a tour around camp and see if you can fill all the letters of the alphabet in an Alphabet Scavenger Hunt, detect all the colors of the rainbow in a color Scavenger Hunt, or create your own Scavenger Hunt! Letterboxing: A mixture of treasure hunting, art, and navigation, letterboxing is a fun activity! Borrow the clues to Camp Kachina’s letterboxes and see if you can find the boxes hidden around camp to make your mark in the logbook! Star Chart: In addition to the Star Party at night, dive further into outer space and learn more about the constellations! Borrow a camp Star Chart to learn about how different cultures saw the stars! Orienteering: Borrow a camp compass and instruction sheet to start learning the basics of this useful tool with your girls! Pokemon Go: Are you on your way to becoming the greatest Poke-Master of them all? Bump your status by finding the Pokemon on camp and catch them all! Sports and Field Games: From Gaga to soccer to volleyball, borrow some camp sports equipment to have fun playing field games with your group or invite new friends you meet at camp to join in the fun! Option 2: Select a Meal Pass for meals in our Dining Halls! Priority will be given to those with Meal Passes. Page 21 How to Have a Successful Campout: Know the rules of the camp provided in this document. Follow them. Be comfortable with all weather conditions, bugs, dirt, exercise, and delayed or “ruined” plans. If you are not comfortable with the basics of camping, that may be a sign that you are not ready to camp, and neither is your group. Don’t expect the camp staff to bend/change the rules for you. Practice your meals on a campfire before you come to camp. Have a backup cold meal in case the meal is burned, dropped, or it is pouring rain. Pick up litter, even if it isn’t yours. Clean all areas that you use. If you are well trained and prepared, you will have a good time. Be respectful of the other groups around you. We teach our girls to be a friend to every camper and expect the same from you. Contact your Camp Manager if you’re having concerns with another group. A good progression to follow: 10 p.m. in your bed, 10:30 lights out, 11 p.m. no more noise. This allows the children (and leaders) to calm down and prepare for sleep. Remember, if the children don’t get enough sleep, they will make you pay the next day. Leaders and parents need to follow this too—lead by example. The supplies that we furnish are not free for us, so please use them wisely (paper towels, toilet paper, cleaning supplies, electricity, water etc). By working together, we can keep camp as affordable as possible for everyone! Please check the supply area upon arrival—there is one in every unit—to make sure you have enough supplies for your weekend. Please let the Camp Manager know about any missing supplies. Housekeeping: Throughout the camp outing, grease should be collected in a can, allowed to harden, and disposed of with other garbage. Please do not pour grease in sinks. Dishwater should be strained, and disposed of away from the unit shelter and at least 200 feet from the lake. Activities run on Saturdays only from 9 a.m. to 5 p.m., with an hour off for lunch. Camp staff will schedule the activities to make the best use of the facilitators’ time. All Activities are on a First Come/First Served basis. Activities at Camp require appropriate clothing. Close-toed, sturdy shoes (tennis shoes or boots) are required for all activities. Dress for the weather! Activity times may be adjusted or cancelled depending on weather conditions. We will refund activity fees only if the Camp Manager cancels them. Bring plenty of drinking water to all activities. Activities may be shared with other groups. Important Times To Remember: Check-In Time Check-in is from 6-9 PM on Friday unless other arrangements have been made. Your Troop/ Group Leader must check-in with the Camp Manager at the camp office before unloading your items. Leader Meeting A Mandatory Leader/Adult Meeting is at 9 PM and is required for each Troop/Group Leader to attend. At this meeting you will select your Check-Out Time. Check-Out Time Check-out is from 8 AM—12 PM on Sunday. Your Troop/Group Leader must check-out with the Camp Manager before leaving camp, failure to do this results in loss of deposit. All campers must be offsite by 1 PM. Day Use The Day Use timeframe is from 8:30 AM—6:00 PM on Saturday. If you want to request different arrival or departure times from those above, please contact the Camp Manager at least 2 weeks prior to your arrival and discuss possible alternative times. Early or late arrivals must be pre-approved in advance by the Camp Manager. REMEMBER to bring your Camping Agreement Form (located at the end of this booklet) with you to Check-In. Please make sure you have read and signed the document. Friday evening at 9PM there is a Leader’s Meeting held for Troop/Group Leaders to attend, this allows Leaders to find out any specific information pertaining to the weekend (cancelled activities due to weather or conditions) and allows Leaders to ask questions. Check-Out Process Location: Will be held at each Camp Unit/Lodge/Cabin Time: Check-Out is between 8 AM - NOON on Sunday. A minimum of two (2) non related female adults per sleeping area must occur and Adult/Girl ratios must be maintained. Male Volunteers All men accompanying troops/groups camping should be an active part of the adult team of the troop/group. If a male volunteer is one of the adults camping with a troop/group, the following steps must be taken: Males must sleep in a separate sleeping area while at camp and have separate bathroom facilities. Registered males CANNOT be counted as part of the Adult/Girl ratio Males may be in the girls units between the hours of 8 AM – 10 PM Camp Behavior Attendees to all Girl Scouts of Central Texas facilities and/or camps are expected to follow the Girl Scout Promise and Girl Scout Law. Girls and adults cannot bring or use weapons, alcoholic beverages, drugs (other than those prescribed by a physician), or tobacco products at any Girl Scout of Central Texas property. Personal Items Girls and Adults are responsible for all items brought to camp. Girl Scouts of Central Texas will not be held responsible for the loss or damage to any personal belongings. Page 25 Health and Safety Health Form Troop Leader(s) should have a copy on hand with them at camp of all girls Health Forms. Health Forms are required to be completed by all girls in order to go camping. Medications Please ensure that you have an adult in charge of keeping up with any and all medications for your troop girls. Your troop leader/first-aid volunteer is responsible for medications and for administering these medications to your troop girls at the appropriate time(s). Homesickness Homesickness is normal and it doesn’t have to ruin the camp experience. The American Camp Association (ACA) suggests the following tips for families to help their campers prepare for camp: Encourage independence throughout the year Discuss what camp will be like before your camper leaves, such as using a flashlight to find the bathroom Pack a personal item from home, such as a stuffed animal Buddy System While at camp all campers should have a specified “buddy” they are to stay with when traveling around camp. No camper should be alone at any time while at camp. If you have an uneven number of girls attending, have a group of three girls’ team up to be a “buddy group”. Water Safety All of our camps provide water activities for girls while at camp. When participating in water activities, girls must adhere to guidelines and instructions from the facilitator to allow a safe and fun experience. If girls or adults do not adhere to instructions given from the facilitator, the activity may be cut short to ensure that no one is put in danger and the troop will not be refunded its activity fee’s or deposit. Page 26 ARE YOU READY FOR CAMP? By now you and your troop have spent many meetings and trips learning the basic outdoor skills and are prepared for a weekend retreat at camp. Below are a few helpful guidelines you may use to make sure that your troop is ready for their greatest camping experience of all: ADULTS GIRLS TROOP One of your adults has the appropriate training necessary for your camping excursion Let’s Go 1: Needed if camping in an established sleeping and bathroom facility (does not allow volunteers to cook using a fire) Let’s Go 2: Allows troop to cook outside using a fire Prerequisite: Let’s Go 1 Let’s Go 3: Needed if camping in a tent or primitive camping Prerequisite: Let’s Go 1 & 2 One of your adults is a certified First Aid/CPR adult Troop has enough volunteers to meet Girl Scout Adult/Girl Ratio Troop has helped plan, practice, and prepare for upcoming camp experience Want to go camping! Understand living conditions in camp Made transportation arrangements Female leaders/adults MAY sleep in separate cabins/tents/lodging area. If sharing the girls sleeping area, two unrelated adult females must be present. All Males sleep and bathe in separate area of camp. May be in units from 8 AM to 10 PM Parent supports camp experience Can cope with: Darkness Woods Insects and small creatures Can cope physically Can carry own equipment Want to go camping! Understand living conditions in camp Do camp chores (cleaning) Have skills, knowledge: Can use kitchen and camp tools How to wash dishes and other camp skills Have previously participated in day and/or overnight experiences with troop/group Have practiced packing personal belongings for easy carrying Have planned and practiced their camping skills together Understands emergency procedures while at camp Has read through Camp Booklet Planned an “After Camping” evaluation for troop and parents to improve their future camping experiences ned? Plan for the “What if…” What if…it rains all weekend? Do you have any activities planned? Do you have Rain gear? What if…there is an accident? Do you have Health Forms for all girls? Where is your first aid kit? Do you have emergency contact information for the girls parents? What if…the troop is sharing a unit with other troops? Have you talked about sharing “space” with other troops or groups that are also camping? Sharing the bathroom facilities? Sharing the cooking equipment? Once you have talked about the “what if’s” and their solutions, then you and your troop are ready to go camping. Light colors are best in the heat because they reflect the sun’s rays Halter tops/spaghetti straps should not be worn; shoulders will burn. Wearing a hat keeps the girls’ heads cool while protecting against sunburn Even in the lightest drizzle, girls should wear rain gear in order to keep coats and clothing dry.
