Failure to move out by this time will result in an improper move-out penalty of $85, plus lock change and key replacement costs ($131). Once your keys are returned to Residence Services upon move-out, you are no longer considered a resident at the University of Alberta, so you will not be able to access the tower or return to your room. Charges will be assessed to you and/or your floor for improper disposal. You will not be able to re-enter your room once you have turned in your keys. • Remove all garbage from your room and take it to the designated disposal area to avoid any unnecessary charges. Personal belongings and garbage should NOT be left in service centres or floor common areas or charges will be assessed. • Do not use the garbage bins of surrounding businesses to dispose of unwanted items. Residence Services provide large garbage bins designated for this purpose. • Move your vehicle as soon as it is loaded to allow others to load their vehicles. • Do NOT park on the lawn – only park on paved areas. • If you stop your vehicle in an emergency access lane, the driver must remain in the vehicle, in the event that emergency response professionals require access, or you risk being ticketed and/or towed. International House • Please do not leave your vehicle unattended while loading in the front of the building as this is an emergency access lane. Vehicles left unattended may be tagged and/or towed. For more information about parking, contact Parking Services at www.parking.ualberta.ca. Lister Centre • The fire gates for each tower will be open to allow residents the easiest access for vehicles. • Bring all of your belongings to the outside of your tower entrance to be loaded into your vehicle. Residence Saint-Jean • Parking is very limited. Vehicles left in the loading dock for more than 15 minutes may be tagged and towed. 6 RESIDENCE SERVICES 5 security deposit • Your room will be inspected for damages and cleaning once you have moved out. • All cleaning and damage charges will be billed to your account and deducted from your security deposit. • Please be advised that damage and vandalism charges have been assessed on a continuous basis throughout the year. If we are unable to identify those responsible through our investigations, charges are divided equally within a wing, floor or entire building, depending on the type and location of the damage. As such, your account may have incurred numerous small charges that have added up to a large charge over the year. • Your floor will be assessed for cleaning and damage charges starting May 1 – charges will be divided equally between floormates and charged to each account unless those responsible are identified. • If the charges on your account exceed the amount of your security deposit, you must pay the outstanding balance immediately or a hold will be placed on your University account - you will not be able to access your University transcripts or register for any classes until your balance is paid in full. • Residence Services accounts will be updated as charges are assessed so regularly check your account at bit.ly/ResAccount Due to the volume of residents moving out at the end of April and the number of charges that Residence Services staff must assess and process, it may take 2-4 weeks to receive all Residence Services refunds for which you are eligible. Please note that your refund may be processed to the credit card used to submit your residence application. Be sure to update your forwarding address via your online Resident Account. 6 7 RESIDENCE SERVICES extensions Your contract expires 24 hours after you have completed your final exam or by no later than 12:00pm (noon) on May 1, whichever comes first. If you require a nightly extension for academic reasons (field course, deferred exam, etc. - extensions not to exceed May 8, 2016), complete and submit the Application for Extension form and any other required documents by April 8, 2016. For long term extensions, please see the Spring/ Summer student housing information below. • The Application for Extension form will be available in March. More information will be emailed to you. • Extensions will only be granted for academic reasons. • Conference groups will be accommodated in Lister Centre beginning the first week of May, so if your extension request is approved, you may experience noise disruption on one of these floors. • Extensions must be approved by Residence Services - applicants will receive approval or denial by email to their UAlberta email by April 13, 2016. labelling food Residents with an approved extension must identify all food in common areas (fridges and freezers) by placing it in the pink bags that will be available to successful extension applicants in April. More information on the pink bags and food removal will be provided if your extension request is approved. spring/summer student housing Spring/summer student housing is available in East Campus Village, HUB, International House and Lister Centre. For more information and to apply, please visit residence.ualberta.ca. • Residents who have a confirmed space in Lister Centre for spring/summer, will be required to transfer to their spring/summer room assignment on May 3, 2016. • Before that date, Housekeeping Staff will start cleaning and preparing all floors in Lister Centre for the conference season. 8 RESIDENCE SERVICES 7 storage Residence Services does not offer any storage in Lister Centre - we will dispose of any items left behind and you will be responsible for removal charges. If you require storage, please search the web under “Storage” for companies offering this service. Residence Saint-Jean residents who have been selected to return to Residence Saint-Jean for the 2016-2017 academic year may apply for Returning Residence Saint-Jean Resident Storage. Check your RSJ listserv for the link to the storage application. Please note that this offer is available ONLY to Residence Saint-Jean residents who are returning in September 2016. redirect mail Residence Services is unable to redirect mail that arrives after move out. Canada Post also does not forward or redirect mail from a dormitory or shared delivery address. You must contact your bank, phone company, etc. to change your address. meal plan information (Lister Centre) • For information about Meal Plan funds, please visit onecard.ualberta.ca • Meal Plan funds are non-transferable - this means that funds cannot be transferred to another resident’s ONEcard. • Meal Plan funds are non-refundable. At the end of the academic year, any unused funds will be transferred to a taxable Meal Plan account on your ONEcard, and will remain there until spent. • You can check balances on your ONEcard (including funds transferred to the taxable Meal Plan account after May 1) by logging in to the ONEcard website with your CCID and password. • Spring/summer residents can add money to their ONEcard and use it at participating food service outlets or use the funds in their taxable Meal Plan account (if applicable). 8 9 RESIDENCE SERVICES tenant reference information If you are planning to move off campus, your prospective new landlord may ask permission to do a tenant reference check, which includes account and behavioural information, before offering you accommodation. Due to the Freedom of Information and Protection of Privacy Act, Residence Services cannot release any information about any of our residents, past or present, without ermission from the resident. In order for us to release your information, you must complete the Residence Services Tenant Reference form, available online under 2015-2016 Online Forms at bit.ly/ResAccount.
