BEST WESTERN Balgeddie House Hotel, superbly set in its own landscaped gardens has always
enjoyed an enviable reputation for the quality of comfort, tranquillity and ambiance that you would expect
from a good Country House Hotel, and has always prided itself on providing a consistent standard of
service and cuisine.
The “Nairn Suite” is equipped with all the modern facilities necessary for guaranteeing a successful
Wedding Reception.
In addition to the Nairn Suite, we have also created a magnificent Honeymoon room - “The SpencerNairn Suite”, which boasts one of the finest views in Fife. Apart from the spacious and luxurious
furnishing in the bedroom itself, it also has a fabulous huge bathroom with double king size corner bath
and a double king size shower all tiled in Italian marble.
The Wedding Service
We are able to offer the opportunity to have the wedding service at The BEST WESTERN Balgeddie
House Hotel, either in our Nairn suite or weather permitting on the patio area, whether a Religious or Civil
Service, the charge is £350.00.
Making the Booking
Every wedding is a unique and individual experience and we will be happy to discuss your particular
requirements for your special day. We will give you a full tour of our facilities and we are sure that you will
be delighted with our venue.
Provisional bookings will be held for 7 days after which a non refundable, non transferrable deposit is
required to confirm your booking. This will be held as a first deposit and will be deducted from your final
bill. The hotel reserves the right to release unconfirmed reservations. When the deposit is received we
shall write to you confirming the details of your wedding, along with a copy of the terms and conditions for
your records.
The Hotel will be glad to provide you with contact numbers of professionals whom we currently work with,
whom will give you preferred rates if you use our name as reference.
Keeping in Touch
After you have made your booking you are most welcome to call or visit the hotel as often as you like to
talk over the different aspects of the day or to show friends and relatives the venue you have chosen for
the “big day”, however we do recommend making an appointment so as not to be disappointed.
On the Day
A red carpet welcome for you and your guests. The cocktail bar and gardens will be your reception area
on arrival after the ceremony, drinks and canapés can be served at this time.
The bridal party will find no shortage of beautiful places to have photographs taken, knowing that all your
guests and friends are relaxed and looking forward to the meal and speeches!

The Wedding Meal
When you are finished with photographs, the Bridal Party will form a receiving line at the Nairn Suite.
There are many different ways in which the order of the day can proceed and we are happy to advise
and discuss the sequence of events. This will include the cutting of the cake and the timings of speeches.
We also provide you with a master of ceremonies to help and advise you throughout the day.
We are proud of our reputation for excellent food and organised professional service and our aim is to
provide you with a memorable meal and pay particular attention to all details.
When the formalities are over we will invite your guests to use the other hotel facilities for a short time
while we re-set the Nairn Suite for your evening reception.
The Evening Reception
Once the band or discotheque has set up we will ask you to return to the suite to greet your evening
guests and to start proceedings for the Bridal Waltz. After the bridal party have been introduced and the
first dance is over you can all head to the bar for well-earned refreshments!
Later in the evening, generally at 9.30pm a buffet will be served to your guests; all guests must be
catered for. We will set the evening reception according to the numbers catered for.
Bar service can continue until Entertainment finishes, the latest being 12.30 am, allowing 30 minutes
after to finish drinks and bid guests goodnight.
The Wedding
Your wedding is priced according to the final menu you select but also included in the price are:

 Wee Nairn buffet room is provided free of charge when the evening buffet is for 150 or more

* there is a room hire fee applicable when holding your ceremony within the hotel
Numbers Attending
For weddings that take place on a Friday or Saturday from 1st May to 31st October the minimum numbers
charged are 70 adult meals. For weddings at other times of year the minimum number is 50.
Weddings that take place Sunday – Thursday are offered a 10% Discount on the wedding meal.
The maximum numbers that we can accommodate are 180 on round tables or 220 using long banqueting
tables.

Hotel Accommodation
The Hotel now has currently 33 en-suite bedrooms.
Our standard rooms are on the second floor and are well appointed with en suite facilities and flat screen
TVs. Rooms on the first floor tend to be larger and more opulent and in keeping with the period of the
house, these are graded as Deluxe Rooms.
Our Bedrooms that lie above our Fountain Spa Leisure Club are of up to the minute design and are also
graded as Deluxe. We also have one of these new rooms designed with wheelchair users in mind that
has a wet room en suite.
We have three Family Garden bedrooms which have separate ground floor access from the main hotel
But also have Patio doors which allow access to the gardens, these rooms can accommodate an extra
bed/s.
If you require the honeymoon suite, the reservation for this should be made at the same time that you
book the wedding reception, this is always a very popular room and it is best to book this room as soon
as you can to avoid disappointment.

Please note that our prices for accommodation can change on a daily basis or even hourly basis
depending upon: accommodation availability, demand, lead time etc
The only type of discounted Package we will offer guests attending a wedding reception here at
BEST WESTERN Balgeddie house hotel will be a bed and breakfast package.
Guests would have the full use of all our leisure facilities for the duration of their stay.
Other booking channels, such as online booking agencies will not be able to offer lower rates for the
same package.
Should you wish to hold a small number of rooms for close family and friends please ask our Duty
Managers advice.
Additional Information
We can also provide you with assistance in sourcing additional wedding services such as a
photographer, cake, car-hire, florist, band or disco.
We do not allow self catering arrangements, but would be delighted to discuss specific wine or food
requests.
Please note that the evening buffet prices in this brochure are based on the purchase of the full wedding
package and are not available at the prices shown on an individual basis.
A corkage charge when guests are supplying their own wine will be charged as follows;
Still wine £13.00 per bottle, Sparkling Wine or Champagne £16.50 per bottle.
We are not responsible for any loss, damage or storing of wedding gifts, including the transfer of:

TERMS and CONDITIONS
A booking can only be confirmed when this agreement is signed and returned to the hotel and deposit paid.
The Fixed Inclusive Package

The prices quoted in this Bespoke Wedding Brochure for the food and drinks packages are valid for Wedding
Receptions held between 1st January - 31st December 2016 inc VAT.

Prices of our Fixed Inclusive Wedding Package of 2016
The price quoted is fixed subject to final numbers advised 14 days prior and confirmation by the hotel which
will also confirm your selections from our external wedding suppliers.
E.g. top table flower colours, table decorations, chair covers and colour of sash & cake preferences.
PAYMENT
Provisional bookings will be held for 7 days after which a non refundable, non transferrable deposit of
£500.00 is required to confirm your booking. This will be held as a first deposit and will be deducted from
your final bill.
Six Months Prior to the wedding we require a further non-refundable Payment of £1000.00
Eight Weeks Prior to the Wedding we require Final Details including Menu and Drinks Package
Eight Weeks Prior to the Wedding we require 50% of the Estimated Account
The Final Balance & Final Numbers will be due 14 days prior to the Wedding.
Any additional charges shall be settled upon departure.
Minimum charge is from Banqueting Menu 1, Drinks Package 1 and Buffet Menu 1 for all attendees.
DAMAGES
The hotel reserves the right to charge the client for any damage caused by an attendee or their agents.
WEDDING CEREMONY CHARGES
We are able to offer the opportunity to have the wedding service at The BEST WESTERN Balgeddie House
Hotel, whether a Religious or Civil Service, the charge is £350.00.

CANCELLATION BY THE CLIENT
If you cancel your wedding there will be a cancellation fee applicable, this fee is based on an estimated cost
of your wedding, Menu 1, Drinks Package 1 and Buffet 1 will be used to calculate these costs.
 Cancellation 3 months or more prior to the wedding, 50% of estimated value.
 Cancelation between 3 months and 1 month prior to the wedding, 75% of estimated value.
 Cancellation less than 1 month prior to the wedding 100% of estimated value.
CANCELLATION BY THE HOTEL
The Hotel may cancel the reservation if  The Hotel or any part of it is closed due to circumstances outside of its control
 The client becomes insolvent or enters into liquidation or receivership
 If there is breach of these terms and conditions
 If the booking might prejudice the reputation of or cause damage to the hotel
In such an event, the Hotel will refund all advance payments, but will have no further liability.
MISCELLANEOUS
The hotel cannot be held liable for any services that have not been provided by us.
