1. Creative Encounters Information
Times


Camp runs Monday to Friday from 9:00am to 4:00pm
We ask that campers arrive a little early so that camp can start right on time
Extended Care ($50)



Campers can be dropped off as early as 8:00am and picked up as late as 5:00pm

If a camper is picked up after 4:15 or dropped off before 8:45 and does not have
Extended Care, parents are subject to additional charges.

Camper drop-off and pick-up will be at Johnston Green
Drop-off parking will be available in the visitor parking, P44, in front of Johnston Green
(Please refer to map on Page 9)
We ask parents to only park in this lot for a short time as many campers must be
dropped-off
To Gain Access into P44 Parking Lot: enter by the College Avenue entrance
o Mention to the lot attendant that you are dropping your child off for camp
Inclement Weather

If there is inclement weather pick up and drop off will be at the same location
(at Johnston Green). Campers will be held in the north entrance of the
Mackinnon Building to stay dry.
Please bring Photo Identification to pick up your child every day, this is
to ensure the safety of your child. Thank you in advance for your cooperation.

Late Camper
 At around 9:15 every morning all camps will pack up from Johnston Green and leave
for the Albert A. Thornbrough Building


Please bring late campers to the Albert A. Thornbrough Building (Refer to map on
Page 9 for more details)
Creative Encounters Office is located at Richards Building Room 1519

Campers will be brought to the Johnston Green Sign-In location promptly at the
time you have requested

Sign In & Sign Out
We would like to emphasize the importance of the Sign In & Sign Out tables at Johnston
Green as there are many children and camps at the University of Guelph.
 9:00am “Sign In” table – all campers sign in
 4:00pm “Sign Out” table - all campers must be signed out
 Campers are only permitted to leave camp with “Authorized Pick-Ups” (Unless it has
been specified they can sign themselves out)

Photo ID must be shown in order to pick up. Please have this ready at every Sign Out
 Remind other Authorized Pick Ups as well

Phone calls home will be made if:


A camper does not arrive to camp in the morning
A camper does is not signed out at the Sign Out Table
Fantastic Fridays!
All parents, family, and friends are invited to spend an afternoon
of Fantastic Fun with the Creative Encounters Team!
When: Friday afternoon of camp, promptly 3:00pm to 3:45pm.
Where: Lecture Room 1200 Albert A. Thornbrough Building
Parking: P12 and P31 visitor parking lots. It is recommended
that parents park at a meter (the charge should be $2 for an
hour) to avoid getting a ticket
At the Parent-Camper Party, we will be displaying pictures to
show families what their campers have been up to all week! After
the presentation, we give out our Class of the Week awards.
Campers will also be given their certificates of graduation for
completing the week. At the end, parents are welcome to go
check out the camp classrooms and talk to our instructors!
Please note location may change due
to Summer exam scheduling. Parents
will be notified otherwise.

What to Bring to Camp





Lunch and snacks… lunches with no garbage items are the best kind!
Hat and sunscreen (we will be spending time outside)
Sweater or sweatshirt – air conditioning in buildings can be chilly!
ECO – PLEASE NOTE THAT THIS CAMP SPENDS MORE TIME
OUTDOORS! Bring extra sunscreen, a hat, water, etc. Campers should also
be prepared for changing weather, equipped with a rain jacket and rain boots
if necessary.
On swimming days campers should bring a bathing suit and towel.
Note! Campers will be receiving their Creative Encounters t-shirts on the Monday
morning of camp. These shirts must be worn every day in order to differentiate from
other camps at the University.
What Not to Bring to Camp





Please do not bring any electronic gadgets (e.g. Video games, radios, CD/.mp3
players, iPods)
Cell phones must be stored away for the day (either in the office or in a back
pack)
The use of skateboards/scooters will not be allowed during camp hours
Please do not bring any trading/gaming cards (e.g. Yu-Gi-Oh! And Magic cards)
Campers are not permitted to bring money for vending machines or cafeterias
DO NOT BRING NUT PRODUCTS TO CAMP!
Please check what is packed in your lunches – many
campers are seriously allergic to nut products.

2. Registration Site
Cancellation Policy
All cancellations & transfers are done on the back-end of the registration site, please contact
[email protected] or call 519-824-4120 Ext. 53045 to complete the cancellation or transfer.
In order to receive a full refund, cancellations must be made more than 2 weeks prior to the
session start date in which the camper is enrolled. Cancellations after this time will be
subjected to a depreciating value.




Less than 2 weeks before camp: 75% refund
Less than 1 week before camp: 50% refund
Less than 48 hours before camp: 25% refund
On the First Day of camp: No Refund
Please note we do not refund missing days.
Example of Cancellation Protocol
For example, if your child is registered for camp the week of Monday July 4th – Friday July
8th here is the protocol for cancellation:





Cancellation before Monday June 20th = 100% refund
Cancellation between Monday June 20th – Sunday June 25th = 75% refund
Cancellation between Monday June 26th – Friday July 1st = 50% refund
Cancellation on Saturday July 2nd & Sunday July 3rd = 25% refund
Cancellation on Monday July 4th = No refund
Transfers
Transfers are dependent on the availability of each camp.
Please note: extended care does not transfer with the camp transfer and will therefore
need to be refunded and re-ordered for the proper camp.

3. General Camp Information
Medication and Special Assistance
If a camper is bringing an epi-pen or requires medication to be administered while at
camp we require a Medical Authorization Form to be filled out and handed in on the
Monday of Sign-In. (We will also have forms ready on Monday Morning in case you
forget)

Your Child’s Safety
While we like to have fun and learn at Creative Encounters our first priority is always the
safety of your children. All of our staff members are trained in Standard First Aid with
CPR C + AED with St. John's Ambulance or the Red Cross. In addition, all of our staff
and volunteers all have Police Record checks.
Our instructors carry a list of emergency contacts at all times in addition to an updated
medical record on our campers as well. The medical information on the registration site
is also what the instructors are informed of on the first day. We have a strict no nut policy
and can accommodate other allergies or medical concerns as well. Additionally, all
Creative Encounters instructors are trained to deal with Epi-pen scenarios.

Swimming Schedule
Each camp will go swimming once a week in the Gryphon Athletic Centre. Due to other camps using
the pool, every week will have a different swimming time. Please see the schedule below for each
camp’s swimming session. Parents and campers will be reminded of their swimming session on the
first morning of camp and on the day before swimming.
In order to ensure the safety of all campers, a swim test will be conducted by the lifeguards at the
beginning of each swimming session. All campers must perform the swim test (or opt to wear a life
jacket in all areas of the pool) in order to be granted swimming privileges. Campers that do not pass
the swim test will have to wear a lifejacket in both the shallow and deep ends of the pool in order to
swim. Due to the required number of staff in the swimming pool, an alternative activity will not be
planned for campers wishing not to swim; they will be supervised on the bleachers of the swimming
deck.
We request that families arrive on time for days where there is 9:15-10 swimming and to be lenient
on days with swimming scheduled at 3-3:45. Please let us know if we can accommodate in any way.
We apologize in advance for the inconvenience and will do our best to remain on schedule.
Note! Google Codemakers will be swimming on Wednesday from 1-2
TechMaker does not include a swimming component.
OVC will be swimming on July 13 from 9:15-10 and on August 10 from 1-2

Behavioural Policy
Creative Encounters does not tolerate bullying, violence, abuse of U of G property or other
behaviour that may harm or take away from another camper’s experience. If a camper is
behaving inappropriately they will be sent home for the remainder of the week. Disciplinary
measures are at the discretion of the camp directors.
Checklist
Have you filled out the appropriate consent forms? Here’s a simple checklist to make sure you
have all of the forms filled out for camp:
 Medical Authorization Form – needed for any camper who needs to take
medication while at camp
 Special Needs Form- if there are any specific considerations that need to be taken
into account in order to make your child’s experience the best it can be please fill out
the special needs form
Please Note: We will have copies of all of these forms available on Monday morning if
required.
