Introduction
The Dragon Medical 360 | eScription (formerly eScription) product line is designed to increase
the productivity of medical transcriptionists, and is based on the simple premise that it is faster
to edit than to type. Physicians dictate as usual, but rather than having their dictations typed
from scratch, EditScript creates accurate and fully formatted first drafts that medical
transcriptionists can quickly review and edit. As a result of using EditScript, health care
organizations have doubled the productivity of medical transcriptionists, saved costs, and
decreased turnaround time — without interfering with clinicians' workflow.
Using unique, patent-pending features, four major components work together to deliver
productivity results unequaled by any other technology vendor:

Records, digitizes, and optimizes medical dictations for speech processing.

Converts dictation to text while producing fully formatted draft documents.

How to use this guide
This user guide describes the features and capabilities of EditScript Online and NetScript and
discusses the important concepts that are associated with it. In addition, the guide will explain
how EditScript Online and NetScript work with other components of the
Dragon Medical 360 | eScription system to create a powerful and intuitive transcription
workflow.

EditScript Online
EditScript Online is a web portal that allows
you to securely access online technical
support, billing and productivity reports, and
NetScript. EditScript Online provides online
resources to three types of users: Health
Information Management (HIM)
administrators, clinicians, and medical
transcriptionists (MTs).

clinicians use it for e-signature. For more
information on NetScript see Chapter 2: Using

Archived dictation search
The search page in NetScript now allows
you to search for documents that were
transcribed between six months and two
years ago. A status called ‘Archived’ has
been added to the Status text box. See
Dictation Information in Chapter 2 on
page 54 for more information.

What’s New in Version 10.6?
The following features have been added to version 10.6.
New CC List Format
A new, more descriptive format has been created for the CC List so that users can clearly
determine who is being CC'd for a document. When viewing a document, the contacts
selected in the CC List will appear below the CC List button. Each contact will be displayed
on its own line, with the contact's street address and email address following the name of
the contact (provided that both of these addresses have been defined).
Prevent Signature When Blanks Are Present
Clinicians working in NetScript can now be required to resolve document blanks when
attempting to sign a document. To enable this feature, in EMon go to Tools menu> NetScript
Options. On the General tab, check the Prevent Signature When Blanks Are Present
option. See Appendix A: Prevent Signature When Blanks Are Present on page 112.
What’s New in Version 10.8?
The following features have been added to version 10.8.
New Option to Limit the Type of Statuses MTs can Search on
A new NetScript Search functionality option has been added that limits the statuses that MTs
can search on to Unsigned, Partially signed, Signed, and Transcribed. In EMon go to the
Tools menu> NetScript Options. On the General tab, check the Limit eScriptionists to signed
and unsigned documents option. See Appendix A: Limit eScriptionists to signed and
unsigned documents on page 112.
Signature Note Enhancement change
Disabling the ‘Signature Note Enhancement’ feature in the Application Features console in
EMon will disable the feature in both EMon and NetScript. Previously, the feature only
disabled signature notes in EMon. Now if the feature is disabled, the Save, Review, & Add
Note and the Save & Add Note action buttons will not appear in the reviewer's/signer's
queue in NetScript. This feature allows a user to send a note to the next reviewer/signer for
a document, if the distribution's action results in a transmission to an eSignature queue.
New Distribute button added
When you search for and view a signed or partially signed document in NetScript, a
Distribute button is now displayed, allowing you to distribute a signed document from
NetScript. Previously, only a Save/Distribute button would appear for unsigned documents.
Note that if a change is made to a partially signed document, the Distribute button will be
disabled.
Added Navigation buttons to signature queue
Previous and Next navigation buttons have been added to the bottom of the clinician’s
signature queue in NetScript to allow the clinician to skip or go back to a document. Now a
clinician can leave a document unsigned if he/she sees an issue with it. Previously, the only
way to skip a document was to use the Return to Document List button and re-do the
search, leaving out that particular document. A progress indicator has also been added
which shows the number of the document that is currently displayed, such as ‘3 of 4’.

What’s New in Version 10.20?
The following features have been added to version 10.20.
Support for Win 7 IE9 and Win 8 IE10
NetScript version 10.20 supports additional operating system and Internet Explorer
versions:

Internet Explorer version 9 (32-bit) on Windows 7.

Internet Explorer version 10 (32-bit) on Windows 8.
Note: Please note that all documents will be displayed in plain text only (for example,
Spell Check functionality is not supported) and the browser’s own Spell Check,
provided with IE10 and later versions, is not supported. (See How to Disable IE’s internal
Spell Check feature on Windows 8 IE10 on page 33.)
ActiveX component upgrade for ‘Listen to Audio’ and ‘Printing’ Features
To listen to audio or to print documents, version 10.20 requires an upgrade to its ActiveX
software component. Users will be prompted to install the new version the next time they
use the ‘listen to audio’ or ‘print’ functionality in NetScript. The upgrade requirements and
installation steps are identical to those of a first time installation, as described in the
“Getting Started” section below.
What’s New in Version 10.22?
The following section has been added to version 10.22:
Configuring Internet Explorer 9 for Compatibility mode
Institutions who wish to configure their browsers to use Compatibility mode in Internet
Explorer 9, please see page 15.
What’s New in Version 10.24?
The following section has been added to version 10.24:
Configuring Internet Explorer 11 for Enterprise mode
Institutions who wish to configure their browsers to use Enterprise mode in Internet
Explorer 11 may configure their Group Policy to enable Enterprise mode and use a site list.

What’s New in Version 10.28?
The following features have been added to version 10.28:
The Print and View buttons now appear at the top and bottom of dictation lists
The Print and View buttons will now appear both above and below the list of dictation from
the Signature Queue or from the results of a dictation search.
Double-clicking on a row in a dictation list opens that document
Double-clicking viewing on a row in the list of dictations from the Signature Queue or from
the results of a dictation search will now open the details for that particular dictation.
Previously, users had to click on the checkbox and then the View button. See Viewing and
printing entries in Chapter 2 on page 62.
Signature result checkbox default appearance
The dictation list in the Signature Queue may now be configured to have all its rows either
“checked” or “unchecked” by default for all providers at the institution. By default, all rows
are checked. To set this option, go to EMon> Tools menu> NetScript Options> Listings Page
tab. See Appendix A: Configuring NetScript Listings Page properties on page 113.
Do not auto-check non-reviewed documents in the signature queue
The dictation list in the Signature Queue can now be configured so that documents that have
not yet been reviewed by the reviewer are not checked by default. This is only valid for
cosignature parallel workflows. By default, the documents are checked. To set this option,
go to EMon> Tools menu> NetScript Options> Listings Page tab. See Appendix A:
Configuring NetScript Listings Page properties on page 113.
The ‘Birth Date’ field is now available for display in NetScript
A patient’s date of birth has been added as an optional field that can be displayed as part of
the list of dictations in the Signature Queue or search results page, as well as the details
page. By default, this field is unchecked. To set this option, go to EMon> Tools menu>
NetScript Options> Listings Page tab or Details Page tab. See Appendix A: Configuring
NetScript Listings Page properties on page 113 and Appendix A: Configuring NetScript
Details Page properties on page 116.

Getting Started
Before using EditScript Online, check to see that your machine satisfies the hardware and
software requirements in the Requirements for eScription Component Installations
document (found on the Support Center). In addition, if you are listening to audio or printing
documents, you will need to install the ActiveX software components.
If UAC (User Account Control) is enabled for a particular machine, you can only listen to audio
or use the print functionality if the eScription site is configured as part of the "Trusted Sites".
See Adding the eScription web site as a Trusted Site on page 16.
If the ActiveX component is already installed, and an upgrade is required, you will be prompted
to install the new version the next time you use the ‘listen to audio’ or ‘print’ functionality in
NetScript. The upgrade requirements and installation steps are identical to those of a first time
installation, as described in the sections that follow.
Installing ActiveX software components
When you attempt to listen to a dictation or print a transcription for the first time, EditScript
Online will need to download ActiveX software components from
Dragon Medical 360 | eScription. These components allow you to listen to dictation audio and
print transcriptions. The installation has to be done only once per machine.
IMPORTANT! To install NetScript for printing or listening to audio, you will need to be a
Windows administrator and have administrator privileges. If you do not have Windows
administrative privileges, contact your IT department. Running Internet Explorer as an
administrator is not enough.
The installation on Windows XP is straightforward. See Installing ActiveX with Windows XP on
page 24. If you are using Microsoft Windows 7, there are additional steps. See Installing
ActiveX with Windows 7 on page 13.
Installing ActiveX with Windows 7
Prior to using EditScript Online on Windows 7, you will need to follow the steps below to be able
to listen to a dictation or print a transcription from NetScript.
Verifying 32-bit Internet Explorer for Win 7 64-bit
On a Windows 7 64-bit client platform, when Internet Explorer 8 or 9 is installed, both the 32bit and 64-bit versions will be made available. The ActiveX components for audio and print
functionalities only support the 32-bit version of IE8 and the 32-bit version of IE9, so verify that
the Internet Explorer version in use is 32-bit. To do so, go to Help menu > About Internet
Explorer.

Alternatively, you may configure Compatibility mode by using Group Policy (GPO) and
pushing the appropriate settings to your users.
IMPORTANT! Please note that the compatibility mode as described in this section is
only supported for IE 9. The compatibility mode for IE 8 is not supported. Consequently,
in the event that the browser version is downgraded from IE 9 compatibility mode to
IE 8, the eScription sites must be removed from the IE 8 browser's compatibility view
settings.
Adding the eScription web site as a Trusted Site
You will need to add www.eScription.com (or www.eScription.ca for Canadian customers) as
a trusted site.

In IE9, the zone security properties are no longer displayed in the status bar. To verify
the zone security of the site, access the page's properties using the steps below:

Listen to Audio for the first time as an Administrator
Continue with the internet browser window opened in the previous section.

Installing the ActiveX component on Windows 8
Before installing the ActiveX component or using the NetScript audio feature on Windows 8, the
following prerequisites must be verified:

The Internet Explorer version used must be the regular Desktop mode and not the new
Metro mode.
Setting Windows Media Player as the default audio player for all audio files
Before installing the ActiveX component or using the NetScript audio feature on Windows 8, it is
important to note that on Windows 8, the application program that is assigned by default to
handle music files is the new "Music" app and not Windows Media Player, as on previous
versions of Windows operating systems. This "Music" app cannot correctly handle eScription
audio WAV files. As a result, the Windows Media Player must be reassigned as the default
program for handling audio files. See below for steps.

Internet Explorer Desktop Mode
Starting in Windows 8, Internet Explorer (such as IE10) supports two modes: the new Metro
mode and Desktop mode. ActiveX controls can only function in Desktop mode, so you must be
sure that you are using Desktop mode. See below for information on how to identify which
mode you are in.
When launching Internet Explorer from the Desktop view, Desktop mode is used. However,
when launching from the Apps Start screen, it is possible that Metro mode is used by default.

Metro mode can be identified by its application program icon. The icon shows a white letter 'e'
on a blue background, as opposed to a blue letter 'e' on a white background. See below for the

window, the navigation bar and address field display at the bottom of the screen, rather than at
the top, as shown below:

To switch from Metro mode back to Desktop mode, click on the wrench icon in the address bar
and select View on the desktop.
The desktop is shown, and the Desktop version of IE is automatically launched to the same URL
that is currently being visited.
Verifying 32-bit IE10 on Windows 8
ActiveX controls can only function with 32-bit versions of Internet Explorer browsers. That
remains true for Windows 8 and IE10 as well. However, on Windows 8 64-bit, whenever IE10 is
launched, at least two processes are run: a "high-level manager" process for IE10 to monitor all
browser tabs or window instances currently running on the machine, and an additional process
per individual browser tab or window that is opened or created.
This "high-level manager" process is always run in 64-bit. Fortunately, when IE 10 is in Desktop
mode, each tab inside the browser or each additional browser window opened is initiated in 32bit process by default.

A testing environment is also available for you to test current and new features of EditScript

Uploading files
The Upload to eScription link under the Administrators page allows you to quickly send a
file to Support or other Dragon Medical 360 | eScription departments.
To send files:

Enter the recipient in the Send To field. The default address is
[email protected].

Click Browse to select the file on your local computer you wish to upload. The file
selection window appears.

Once you find your file, select it and confirm that the desired file name is entered in the
File name field. Click Open.

NetScript is a web-based application that
allows you to search for and review dictations
and transcriptions. You access NetScript
through EditScript Online.
From the NetScript search engine, you can
search for transcriptions with a variety of
parameters. The search results (listings) page
displays all the dictations and transcriptions
that match your search. From this list, you
can listen to, view, or print the full details of
an entry. If additional clinicians need to be
consulted, you can carbon copy (CC) the

Accessing NetScript
Clinicians, administrators, and MTs use NetScript to search for dictations in audio or text
format. All three users can access NetScript via the menu options located on the left as follows:

Clinicians: > Clinicians > Search for Dictations

MTs: > MTs > Search for Dictations
Note: In order to access NetScript, users need to belong to an appropriate NetScript
Permissions security group. You can set up security groups, define permissions and

Changing your password
If your password has expired, you will not be able to access the
Dragon Medical 360 | eScription system until it is reset.
Note: You will always be able to log into EditScript Online. However, you will not be able to
access NetScript, e-signature, or Reports until your password is reset.

NetScript Search Engine
The NetScript search engine allows you to search for documents via several input parameters.
The more parameters you specify, the faster and more precise your results will be.
Improved search page layout
The search engine will display one of two layouts, based on whether the user is a clinician or an
administrator/MT. These new layouts are designed to allow you to enter and retrieve
information as quickly and as efficiently as possible.
Search parameters are divided into Basic and Advanced search areas. Basic search parameters
include those that the user is most likely to search by, and are ordered according to how a user
would most typically enter them. For a clinician, the basic search parameters include
confirmation number, clinician name, patient name, and MRN. For an administrator or MT, the
basic search parameters include MRN, account number, clinician name, patient name, and text
search. See the graphics below.

Status: the dictation’s processing status. The latest version of NetScript allows users to
search for dictations with a status of Archived. Archived dictations are dictations that
were transcribed between six months and two years ago.
Note: Intermediate statuses cannot be searched unless Search Intermediate
Statuses is enabled in the EMon Application Features dialog. See the EMon User
Guide for more information.

Dictation ID: the unique ID for the dictation associated with a specific patient visit.
Confirmation Number: the unique transaction number automatically generated for the
clinician after each dictation is recorded.

Order Code: the unique ID for a product or service ordered for a specific patient visit.
•
Transcriptionist Name: the name of the MT responsible for the dictation.
•

Dictation Period: a start and stop date between which the dictation was originally
recorded. If you specify a start date but not a stop date, then the search engine will
assume the current date is the stop date.
Transcription Period: a start and stop date between which the transcription was
originally uploaded. If you specify a start date but not a stop date, then the search
engine will assume the current date is the stop date.

Work Type: the type of report dictated, e.g. operative note.
•
Business Entity: a subdivision of your medical institution.
Full-Text Search

Text Search: enter a word or phrase to search for in the dictations. See Full-text

Tip: Click on the question mark next to search field for information on the different

You can only search the current version of a document.
You can only search the dictation cache. Typically the cache contains documents that
are no more than 180 days old.
Results of full-text searches are filtered by your search permissions, just as the results
of any dictation search are filtered. See the EMon User Guide for more information on
filters.
To perform a search, follow the steps below.
Note: At any time, you can reset the search parameter fields by clicking the Clear button.

If full-text search has been enabled for your institution, you can search on a word or
phrase in addition to the other parameters you enter (see Full-text search on page 55).
Tip: Use the Sort Order drop-down menu under RESULTS to display your results in
a particular order. The default order is patient.

Full-text search
The full-text search feature allows you to further refine a search by searching dictations for a
word or a phrase. There are a number of search operators available to help you refine your fulltext search (see Full-text search operators on page 57).
Following are the guidelines of full-text search:

parameter in the clinician, dictation, or patient sections of the search page. If the results

You can only search the plain text version of a document. .rtf documents are not
included in full-text searches.
Getting started with the full-text search feature
Before you can use this feature, you must:

Activate the NetScript Full-Text Search feature through the Applications Feature dialog
in EMon. See the EMon User Guide for more information on this dialog and for
instructions on enabling new features.
Note: You must have the appropriate security permissions to enable features
through the Application Features dialog.

Belong to a NetScript security group with the permission to search. See the EMon User
Guide for more information on security groups.
When this feature is enabled, you will notice the following changes to the NetScript interface:

The Text Search field is displayed on the search engine page.
Understanding search terms
A full-text search allows you to enter search terms. Search terms can be a single word (e.g.,
medicine, hospital) or a phrase (i.e., “at the hospital”). In order to create a multi-word term,
use double quotes. The search engine treats the words within the double quotes as a single
term. For instance, if you want documents that contain the phrase “at the hospital,” you must
enter that phrase (with the double quotes) into the search field. If you simply type the three
words without quotes around them, the search returns documents that contain any of those
words in them, not necessarily that phrase.
Using the full-text search feature
Follow the steps below to perform a search using full-text.
Steps:

Open the Search for Dictations and Transcriptions page in EditScript Online.

Enter search criteria in one or more of the search sections: clinician, patient, dictation.
Note: You must enter at least one search parameter in the clinician, dictation, or
patient sections of the search page. If the results of the search based on clinician,
patient, or dictation criteria exceed the maximum number of results, you will
receive a message notifying you that you must further refine your criteria.

Enter your search term(s) in the Text Search field under Full-Text Search. You can use
the available operators to narrow your search (see Full-text search operators on
page 57). Click Search.
Note: The Text Search field is not available unless the full-text search feature has
been enabled (see Getting started with the full-text search feature on page 55).

The Listings page displays the results of the search. When you view a dictation from the
list of results (see Viewing and printing entries on page 62), the term(s) that you
entered in your search is displayed.
In addition, any occurrences of the term(s) are highlighted in the text. You can use the
Search Results check box to toggle between highlighting and unhighlighting the
occurrences of the search terms in the document text.
Note: Highlighting search terms must be enabled through the NetScript Options
Details page dialog in EMon. For more information, see Appendix A: NetScript
Options (EMon) on page 109.

Full-text search operators
There are a number of operators that you can use in conjunction with your search terms (see
Understanding search terms on page 56) to further refine your full-text search. This section
contains descriptions of the operators available to you when performing a full-text search.
Boolean operators
The following logic operators (boolean operators) are supported for full-text searches.
Note: Boolean operators must be in all caps (as shown below).

AND: Use AND to narrow your search. A search using AND returns documents that
contain all of the terms you enter in the text search field. For example, a search on
medicine AND hospital returns documents that contain both “medicine” and “hospital,”
but not just one of them.
OR: Use OR to broaden your search. A search using OR returns documents that contain
one word, or the other, or both. For example, a search on medicine OR hospital returns
documents that contain either “medicine,” or “hospital,” or both.
NOT: Use NOT to narrow your search. A search using NOT returns documents that
contain one word, but not the other. For example, a search on medicine NOT hospital
returns all the documents that contain the word “medicine” as long as they do not
contain the word “hospital.”
+ (Plus Sign): The plus sign (+) is used in multi-term searches to indicate that a
particular term is required. Use it at the beginning of a term to indicate that the term
must exist in the document, as opposed to the other term(s), which may exist in the
document. For example, a search on +medicine hospital returns documents that contain
the word “medicine” and may contain the word “hospital.”
- (Minus Sign): The minus sign (-) is used in multi-term searches to indicate that a
particular term is prohibited. For example, a search on medicine -hospital returns all the
documents that contain the word “medicine” as long as they do not contain the word
“hospital.”
Grouping operator
•
You can group search terms using parentheses. This option is very useful when you wish
to control a complex search that uses the boolean operators. For example, the following
search (medicine OR hospital) AND doctor indicates that in order for a document to be a
valid search result it must contain the word “doctor” and may contain either the word
“medicine” or “hospital” or both.
Term modifiers
There are a number of operators available that allow you to modify terms within your
search. The following list includes the type of term-modifying searches that are available
and the operators that are used for each.
Note: Many of these operators work either with single-word terms or multiple-word
terms, but not both. This information is specified for each operator below. For more
information on search terms, see Understanding search terms on page 56.

Wildcard searches: Use the wildcard operators when you need to search on an
incomplete term.
Note: You can only use the wildcard operators with single-word terms.

Use the question mark (?) to perform a single character wildcard search. For
example, a search on te?t returns documents with words that match with that
single character replaced, such as “text” or “test.” You cannot use the question
mark as the first character of a term.

Use the asterisk (*) to perform a multiple character wildcard search. Wherever the
asterisk appears in the search term, it can be replaced with multiple characters.
For example, a search on test* returns documents that contain words with zero or
more characters after test, such as “test,” “tester,” to “tests.” You cannot use the
asterisk as the first character of a term, but you can use it in the middle of a term.
Fuzzy searches: Use the tilde (~) with a single-word term to find documents that
contain terms similar to the term you enter. For example, roam~ returns documents
that contain terms such as “foam” and “roams.” If you wish to specify how similar the
terms should be to the one you enter, you can include a value between zero and one
after the tilde (e.g., roam~.8). Higher values indicate that only terms with a higher
similarity are matched. If you do not specify a value, the default is .5.
Proximity searches: Use the tilde (~) with a multiple-word term to find documents that
contain terms within a specified number of words of each other. For example, a search
on “medicine hospital”~10 returns documents in which medicine and hospital are within
ten words of each other.
Escaping special characters
There are certain characters that are part of the query syntax, meaning that these
characters are used by the search engine to perform the search. Thus, these terms cannot
be used in a full-text search unless they are preceded by an ‘escape’ character that tells the
search engine to treat them differently. The following characters are special:
+, -, &&, ||, !, (, ), {, }, [, ], ^, “, ~, *, ?, :, \
To escape one of these characters, use the backslash character (\) before the special
character. For example, to search for (1+1):2, use the following line: \(1\+1\)\:2.

NetScript Search Results (Listings) Page
When the NetScript search engine (see NetScript Search Engine on page 52) finds dictations
matching your search parameters, it returns a list of the results on the search results page.
The results are organized by row for each entry that matches your search criteria. Columns
show the relevant information of the dictations. There are several standard columns that
always appear. In addition, there are a number of optional columns that you can elect to
display. For more information on configuring the columns in NetScript, see Appendix A:
NetScript Options (EMon) on page 109. The standard and optional fields are listed below.
A check box appears to the left of dictations with viewable text. If audio is associated with a
document, a speaker icon is visible.
Following are the standard column fields, which cannot be disabled and are always included on
the search results page:

Clinician: the name of the dictating clinician who created the original dictation.
Confirmation Number: the unique transaction number automatically generated for a
clinician after each dictation is recorded.

Dictation ID: the unique ID for the dictation associated with a specific patient visit.
•
Patient Name: the name of the patient to whom the record refers.
•
Work Type: the type of report dictated, e.g. operative note.
•
Status: the processing status of a specific dictation.

The following fields are optional. Through EMon, you can determine which, if any, of these fields
are displayed on the search results page. The first ten fields listed below are enabled by default.
See Appendix A: NetScript Options (EMon) on page 109.

Medical Record Number: the unique medical ID number of the patient.
•
Birth Date: the birth date of the patient.
•
Patient Account: the unique visit ID number.
•
Dictated: The original recording date and time of a dictation.
•
Transcribed Date: the original transcription date and time for a dictation.
•
Signature Date: the original signature date and time for a transcription.
•
Business Entity: a subdivision of your medical institution.
•
Note: a user comment describing issues with the record.
•
Problem Start: the date and time of an issue with the record.
•
Entered By: the individual or process responsible for logging a problem with the record.
•
Order Number: the unique ID for an order from a specific patient visit.
•
Duration: the duration of the dictation in minutes and seconds.
•
Transcribed By: the name of the transcriptionist who edited/transcribed the dictation.
•
Priority: the assigned priority of the dictation.
•
Status Start: the time at which the dictation entered its current work status.
•
Procedure Date: the date of the procedure described in the dictation.
•
Problem Description: the text describing the problem with a dictation.
•
Speaker ID: the speaker code, or unique ID of the clinician.
•
Patient ID: the medical record number (MRN), or unique ID of the patient.

Line Count: the line count that Dragon Medical 360 | eScription uses to bill the

Net Line Count: the line count the customer uses to reimburse the transcriptionist who
edited or transcribed the document.
Customer Line Count: the line count that an MTSO uses to reimburse the MT who
edited or transcribed the document.
Review status color coding
For institutions using co-signature workflows, NetScript can display whether documents have
been reviewed or not. Through the use of color coding and additional Review Status column on
the Search Results page, you can quickly determine a document’s reviewed status.
To view the review status color coding, you must enable the Display Review Status Information
option in the NetScript Options Listings dialog, see Appendix A: NetScript Options (EMon) on
page 109 for more information.
The review status indicators for documents on the Search Results page are as follows:

If the dictation has not been reviewed - the term Outstanding appears in the
Review status column, and the row displays in red.
If the dictation has been reviewed - the term Reviewed appears in the Review status
column, and the row displays in green.
If the dictation does not have review as part of its signature workflow - the
term N/A appears in the review status column, and the row displays in grey.

Note: The Review status column only appears if one or more of the search results has a
review status of Outstanding or Reviewed.
Sorting results
If column sorting is enabled at your institution, you can manipulate the results list on the
NetScript Search Results (Listings) Page on page 59 to find a dictation more easily.
Note: This feature must be enabled in the EMon Application Features Console. For more
information, see the EMon User Guide.
Steps:

Click on the desired column header to sort the entire list by this column.
Click once to sort the column results in ascending order.
Click twice to sort the results by descending order.
Click a third time to undo the sort.

To reorder the columns, left-click and hold on any column header in the list and drag it
to a new location.

When the column is in the desired location, release the left mouse button to drop the
column into place.
Note: Column order will not be saved from session to session.
Viewing and printing entries
You can select one or multiple entries on the search results page to view or print. If a dictation
has not gone through speech recognition or transcription, it cannot be viewed or printed (i.e.,
there will be no corresponding check box in the search results). In addition, you may not be
able to view or print documents with certain statuses, depending on your institution’s
configuration. Your institution can configure whether or not documents with a Pending or
Checked Out/Ready for Editing status can be viewed or printed (appear with a check box). It is
also possible to disable check boxes for all documents (see Appendix A: NetScript Options
(EMon) on page 109).

To print one or more entries
Note: There are two ways you can print to your local printer: from the search results
page or the details page.

Click Check All to select all entries. This is useful if you want to select most, but not all,
of the entries on the page.
To clear all the check boxes, click Clear All.

Microsoft Word opens an .rtf file displaying how the document will look when printed.

Viewing a document draft
You can view a draft of a document that has been recognized but has not yet been edited by a
transcriptionist. This is particularly useful when you wish to view a stat (high priority) dictation
that has yet to be edited.
Note: Your institution must enable the check box next to dictations with statuses of
Checked Out/Ready for Editing in order to make them viewable. See Appendix A: NetScript
Options (EMon) on page 109.
Steps:

you wish to find.
You can select the Ready for Editing status from the status drop-down menu. This
search criteria narrows the search to all documents that have been recognized but have
not yet been edited.

Listening to entries

one dictation to listen to at a time.

the document status, dictation information section, and your institution’s preferences.

NetScript Details Page
The details page displays the full details of a selected entry. When you click the view button on
the search results page, the details page displays. Each full record consists of the header, the
transcription text, the action buttons, and the Highlight Control (if highlighting is enabled in
EMon).
Header
The header information is located at the top of the details page. The header provides
information regarding a transcription. There are two standard header fields that always appear
on the details page. In addition, there are several optional header fields that can be enabled

through EMon. For more information on configuring the header, see Appendix A: NetScript
Options (EMon) on page 109.
Note: The header fields are not editable in NetScript.
Following are the two standard fields, which cannot be disabled and always appear in the
header of the details page:

Status: the processing status of a specific record.
Note: If Display Review Status Information is enabled (see Appendix A: NetScript
Options (EMon) on page 109), the Review status of a document displays. See Parallel
co-signature in Chapter 3 on page 80 for more information.
•
Dictation ID: the unique ID for the dictation associated with a specific patient visit.
Following are the optional header fields. You can configure which, if any, of these fields appear
in EMon. For more information on configuring the header, see Appendix A: NetScript Options
(EMon) on page 109. The first six options listed below are enabled by default.

Patient Name: the name of the patient to whom the dictation refers.
•
Patient ID: the medical record number (MRN) or unique ID of the patient.
•
Speaker: the name of the clinician who created the original dictation.

Speaker ID: the speaker code or unique ID of the clinician who created the original
dictation.

Transcription text
The transcription text appears below the header. If you are allowed to edit the transcription,
the text is enclosed in a text box. If you are allowed to edit, then you can use spell check (see
Spell Check on page 70). If you are only allowed to view, the text is displayed without a text
box enclosure.
If you would like to increase the size of the editing window so that it stretches to fill the browser
window, activate the Enable Full Width Text option in EMon. In addition, if you would like to
make available a toolbar through which NetScript users can increase font size, activate the
Document & Header Text option in the NetScript options dialog in EMon. Note that these
changes affect all NetScript users. See Appendix A: NetScript Options (EMon) on page 109 for
more information.
Action buttons
Action buttons allow you to perform certain actions with the transcription. Certain action
buttons are configurable on an institution-wide basis. For more information on configuring
action buttons, see Appendix A: NetScript Options (EMon) on page 109. In addition, your
security group’s permissions affect which action buttons are available to you (e.g., you cannot
save a document unless you have permission to modify it, you cannot pend a document with a
note unless you have permission to pend it, etc.). For more information on security
permissions, see the EMon User Guide.
The following action buttons are available on the details page:
Note: There are additional buttons for e-signature users. They will see any of the buttons
below that have been enabled, in addition to the e-signature action buttons.
Note: If Allow everyone to save is enabled in the NetScript Options and Headers dialog in
EMon, then administrators with permission to modify will be able to send a signature note
from NetScript using the Save and add note button.

CC List
Click to edit the CC List, which is the list of additional clinicians associated with the
document.
Save Only
Click to save the document. If you have permission to edit the document, you can do so and
use this button to save without distributing it to others. This button is not configurable and
will always appear for users with the permission to modify in NetScript.
IMPORTANT! If a distribution rule is set to run When a document has been modified in
EMon or NetScript, then the document will be distributed when this button is used.
Save & Distribute
Click to save the document and distribute it to others. Clicking on this button will create a
new window that allows you to distribute the document to the default recipients or to a
recipient that you manually specify.
Note: You cannot distribute to an e-signature queue with this option. Distribution to an
e-signature queue must be done through EMon.
Unpend
Click to correct a document that has been pended. The status will change from Pended to
what the document status was prior to being pended.
Listen
Click to use the default audio player to listen to an individual dictation.
Print
Click to use the default Rich Text Format (rtf) editor to print an individual transcription.
Pend with Note
Click to assign a status of Pended to any document with errors. The document pends with a
note attached explaining the reason for pending. This can be used at any point before a
document has been signed.
Highlight Control
The Highlight Control, in the upper-right corner of the Details page, appears if highlighting of
blanks has been enabled in EMon. In addition, it appears if highlighting of search results
(terms) has been enabled in EMon and you perform a full-text search. The control allows you to
disable (or re-enable) highlighting of blanks and/or full-text search terms for a particular
dictation. Depending on what type of highlighting is enabled in EMon, and whether you have
performed a full-text search, the following two check boxes may appear in the Highlight
Control:
Note: The Search Results check box only appears if you have performed a full-text search
(and highlighting of search results is enabled in EMon). In addition, if only search results
highlighting is enabled in EMon, and you do not perform a full-text search, you will not see
the Highlight Control.

Search Results - use to disable highlighting of full-text search results. If highlighting is
enabled, occurrences of full-text search terms are highlighted in yellow.
Blanks - use to disable highlighting of blanks (five or more underscores). If highlighting
is enabled, any blanks in a dictation are highlighted in red.
Spell Check
If you have the permission to modify the transcription text, you can use spell check. NetScript
Spell Check places a red line under any misspelled word, incorrect capitalization, or other
grammatical error. Spell check draws on the same medical dictionaries and English dictionary
as EditScript MT.
Note: Words that begin with numbers are NOT included in the spell check dictionary.
Note: Spell check must be enabled through the Tools> Application Features menu in EMon
for use. See the EMon User Guide for more information.
Steps:

Select the document you wish to edit.
The details page appears. The misspelled words contain a red line beneath them.
Note: Misspelled words that you type into the document will also be spell checked.

To correct a misspelled word, click on the misspelled word.

NetScript CC list page
From the details page, clicking on the CC List will take you to the CC list page. The CC list page
allows you to edit the list of clinicians who will receive a copy of a transcription. If the CC list
already includes clinicians, they will appear in the Current CCs text box in the middle of the
page. Any new clinicians you add to the CC List will also appear in the Current CCs text box.
Adding clinicians to the CC list
There are two ways to add a clinician to the CC list: through the clinician list or the search field.
In addition, you can add a new contact if he is not listed in the CC list.
To add a clinician via the clinician list:

On the details page, click CC list.
The CC lists page appears.

Locate the clinician’s name in the clinician list at the bottom of the page.
Note: Clinicians are listed in alphabetical order by last name.
If the name of the clinician does not appear on the current page, click Next until you
reach the page containing the name.
If the clinician is not in the list you can add them as a new contact, see Adding a new
contact on page 73.

Check the check box to the left of the clinician’s name.
The name of the clinician appears in the Current CCs text box.
To return to the details page without updating the CC list, click Cancel.

(EMon) on page 109).

The names of the CCs appear below the CC list button.
To add a clinician via the clinician search:

When the list of clinicians in the Current CCs text box is complete, click OK at the top
of the page to update the CC List and return to the details page.
The clinicians’ names in the CC List appear below the CC list button.
Note: Do not click the Back button. It will result in a warning page. If you click Back
by mistake, click on the Refresh button on your web browser to return to the CC list
page.
Adding a new contact
You can add a new contact if a clinician is not listed.
Note: Adding a new contact may cause the dictation to pend, depending on your
institution’s settings.

Tip: You can remove all clinicians, you added, by clicking Deselect All to remove all
the names from the Current CCs text box.

Dictations bound for an e-signature queue follow the same process as other dictations. The
workflow diagram below highlights the dictation’s process from IntelliScript to becoming a
signed document. In addition, it also highlights the requirements necessary to achieve each
step in the process.

e-signature Workflows
The major e-signature modes are single, dual, co-signature, and group signature. For dual and
co-signature modes, you have a choice as to whether you want the document received by
clinician’s simultaneously (parallel) or one after the other (sequential). For documents, when
two clinicians handle a document, a clinician can now add a signature note (if enabled) for the
other clinician to view prior to signing the document.
In this section, the six different e-signature workflows are presented along with possible
scenarios of how they might be used in an institution. For more information on setting up the esignature workflows at your institution, see Chapter 4: Implementing e-signature on page 87.
Note: When using e-signature, clinicians have the option to sign or review, save only, or
pend with note. Though some of the action buttons in e-signature are configurable, these
options, listed above, cannot be turned off.
Single signature
For single signature, one clinician signs the document. This the simplest signing mode.
Workflow

The clinician dictates and then receives the transcribed document in her signature
queue. The document status is Unsigned.

The clinician can edit and Save and Sign the document. The document status becomes
Signed and is final.
Scenario 1
A clinician sees a patient for a basic office visit. The clinician dictates the report. Then, the
clinician receives the report in her signature queue and signs the report.
Scenario 2
A physician assistant sees a patient and dictates the report. Then, the clinician reviews and
signs the document.
Parallel, dual signature
Dual signature requires signatures from two clinicians. Using the parallel workflow, the dictating
clinician and the signing clinician receive the document simultaneously. Either clinician can sign
first. The document is final after both clinicians have signed the document.
Workflow

The resident clinician dictates the emergency department report. The dictating clinician and
the signing clinician both need to sign the report. Either can sign first.
Scenario 2
A physician assistant and a clinician perform a standard procedure. The physician assistant
dictates the report. Both the physician assistant and the clinician sign the document.
Parallel co-signature
Co-signature requires the dictating clinician to review a document and the signing clinician to
sign the document. In the parallel workflow, the dictating clinician and the signing clinician
receive the document simultaneously, and either clinician can handle the document first.
Note: In parallel co-signature, if the dictating clinician handles the document first, then the
signing clinician can still edit the document. However, if the signing clinician signs the
document first, the dictating clinician must review it but can no longer edit the document.
When a signing clinician goes to view the document, he can see if the dictation clinician has
reviewed the document if Display review status information is enabled in NetScript Options in
EMon. For more information, see Appendix A: NetScript Options (EMon) on page 109.
The Review status displays either Reviewed (with a green border) or Outstanding (with a red
border) to notify the signing clinician whether the document has been reviewed by the dictating
clinician.
Workflow

the document is sent to the signing clinician’s signature queue for his review and signature.

Group signature
Group signature allows a predetermined group of clinicians to sign each other’s documents. A
single signature from any one clinician belonging to the pre-defined group is required to
complete a document.
Workflow

All the clinicians in the group receive the document in their signature queues. The
document status is Unsigned.

Using e-signature
In order for a clinician to electronically sign a document through NetScript, he must have the
proper permission granted through security groups. For more information on security access to
e-signature, see Chapter 4: Information on security groups on page 88 and the EMon User
Guide.
Accessing e-signature
Clinicians can access e-signature via the Clinician option in EditScript Online, as follows:

Once you have been granted access, clicking on the e-signature link displays all transcriptions
ready for your electronic signature. For information on the Listings page, see NetScript Search
Results (Listings) Page in Chapter 2 on page 59. For information on the Details page, where the
clinician signs the transcription, see NetScript Details Page in Chapter 2 on page 66.
Note: Clinicians must have appropriate access to use e-signature. If you have not been
granted access, an error message will appear. If you receive a message, contact your
administrator.
e-signature action buttons
The following action buttons are available to clinicians using e-signature depending on their
security permissions. The e-signature action buttons are enabled by default and cannot be
turned off.
Note: These buttons appear in addition to the standard action buttons that are enabled at
your institution (see Action buttons in Chapter 2 on page 68). For more information on
configuring action buttons, see Appendix A: NetScript Options (EMon) on page 109.
Note: If your institution has enabled signature note, then the first clinician to handle a
document will have the option to add a signature note for the second clinician for
sequential signature workflows. The action buttons will reflect this ability.
Save and Review / Review
Click to acknowledge that you have reviewed a document and found it acceptable. If you
have permission to modify the document, you can do so before clicking this button. If the
document has already been signed, then you will only have permission to review the
document; in this case, the button will simply appear as Review.
Save and Sign / Sign
Click to finalize a document with your electronic signature. This will change the status of the
document to Signed or Partially Signed, after which the document can no longer be edited.
If you have permission to edit the document, you can do so before clicking this button. If the
document requires you to sign without editing, then the button will simply appear as Sign.
In this case, if you still need to edit this document, you will need to click the Pend with Note
or the Save as Unsigned buttons.

Save as Unsigned
Click to return a document that has a status of Partially Signed to a status of Unsigned. You
can edit the document before clicking this button. You will prompted to enter a note
indicating why you have unsigned the document. This is typically used by a signing clinician
to reject a document with errors that has been approved by a dictating clinician. Using the
note as a guide, the dictating clinician can correct the document and re-sign it.
Electronic signature workflow
You can review or sign documents electronically through NetScript by following the steps below.
Steps:

Log into EditScript Online and click on e-signature under the Clinicians option. All
documents that have been transcribed and are ready for your signature will be
displayed. From this page, you can view, print, or listen to a document. See NetScript
Search Results (Listings) Page in Chapter 2 on page 59 for more information.

To select all of the available documents to view and sign, click Check All, and then
View. Or, to manually select a few documents to sign, click Clear All, then click on the
appropriate check box(es). Click View.
The Details page appears displaying the transcription. See NetScript Details Page in
Chapter 2 on page 66 for more information.
If there is a signature note attached to the document, it will display when you first view
the details of the document.
You can then edit the document, pend the document with a note, or sign it from the
details page.

To edit the document, make the necessary changes and click Save. You can also save
and sign the document simultaneously by clicking Save and Sign.
To pend the document, click Pend with Note. You will be prompted to enter a pending
note. Enter the reason for pending the document, and click OK.
To sign the document, click Sign. The status of the document changes to Signed. Once
a document is signed, you can print the document and listen to the audio, but you can
no longer edit or pend it.
If signature note is enabled, you can add a signature note for the next clinician using
Review and Add Note or Sign and Add Note.
Note: You can only add a signature note to a document for the next clinician, if the
document has the status of Unsigned. If the document is Partially Signed or
Reviewed, you need to Save as Unsigned and add a note.

Setting up e-signature
When setting up e-signature, you need to be aware of the multiple components of the
Dragon Medical 360 | eScription system that need to be addressed prior to implementation.
Not all of these components are directly related to e-signature. This section will address the
different components that must be evaluated, modified, and set up as needed before esignature goes into effect at your institution.
IMPORTANT! e-signature should be set up and tested in your TEST environment before
being moved into your PRODUCTION environment.
To set up e-signature, follow the steps below.
Steps:

Dragon Medical 360 | eScription representative if any changes need to be made.

Information on security groups
In the Dragon Medical 360 | eScription system, security groups grant users permissions to
perform a variety of actions. Security groups determine who has the final right to sign and the
right to electronically sign in Dragon Medical 360 | eScription. The Clinician (Other) security
group is used to determine who has the final right to sign documents. The Clinician NetScript
Permissions Security Group grants the right to electronically sign in NetScript.
Note: A clinician can only belong to one security group per work type or business entity
filter.
IMPORTANT! The signing clinician header field drop down menu is populated based on
clinicians who have the permission to electronically sign in the Clinician NetScript
Permissions security group and clinicians who have the permission of other electronic
signature in the Clinician (Other) security group.

Clinician’s NetScript access
All clinicians using e-signature must have a login for NetScript. For more information on
NetScript logins and passwords, see the Managing Clinicians section in the EMon User Guide.

Clinician NetScript Permissions security group
All clinicians using e-signature or NetScript need to be members of a Clinician NetScript
Permissions security group. Each permission can be individually controlled through restrictions.
Depending on the signature mode, different clinicians need different access rights. For
information on clinicians’ permissions needed for the different signature modes, see Setting up
the Specific Signature Modes on page 99.
When setting security group permissions, you must also determine the restrictions (if any) for
each permission. For example, if a clinician has the right to modify documents, you can restrict
that permission to only documents the clinician signs using the eSigner permission override
(see below).
The following permissions are available to members:

Search: search for dictations.
Modify: edit transcription text. It is recommended to restrict this permission to
documents that the clinician either dictates or electronically signs.
Pend: pend a document with a note. Clinicians, who use e-signature, should always
have this permission granted.
Unpend: unpend a document. Allowing a clinician to unpend a document is useful if you
want the clinician to fill in the blanks of a report because the MT could not understand
what was said.
Electronically sign in NetScript: sign and finalize documents. Allows a clinician to
electronically sign a document through NetScript.
eSigner permissions override
You can reduce the time it takes to set up security groups by using the eSigner permission
override. If a clinician has the right to search and electronically sign documents, the eSigner
permission override will enable modify, pend, and unpend for documents that are in the
clinician’s signature queue only. This greatly enhances the control you have over documents
and saves you time when assigning permissions to clinicians.
The eSigner permission override is enabled through EMon’s NetScript Options dialog. See
Appendix A: NetScript Options (EMon) on page 109 for more information.
The e-signature permission override needs to verify the following conditions:

The clinician has the right to electronically sign the document.

The document is in the clinician’s signature queue.

The e-signature permission override has been enabled.
If all conditions are met, the signing clinician will be able to modify, pend and unpend the
document she needs to sign.
Clinician (other) security group
The Clinician (other) security group has two permissions. This security group should be used
regardless of whether you are using e-signature or not.

The first permission of the Clinician (other) security group is Other electronic signature. This
permission is for clinicians who have the right to be the final signing clinician for documents. In
this group, you would put any clinician who is the final signing clinician regardless of whether
they use e-signature.
The second permission creates a group to be used as a validation rule criteria. You can use the
security group with this permission as a filter to validate documents. Multiple security groups
with this permission can be created to work as filters for different validation rules.
Tip: The Clinician (Other) security group can be used to create validation criteria for
clinicians without giving them the final right to sign.
Information on validation rules
Validation rules are error tests that run during a specific event, e.g. when a transcriptionist
uploads a dictation. When a document fails a validation rule, it is automatically pended.
Validation rules are optional but are recommended for e-signature.
Validation rules for e-signature check that the appropriate clinicians are associated with a
document. The following section describes the validation snippets useful for e-signature and
when to apply them. For more information on validation rules, see the EMon User Guide.
Neither dictating nor signing clinician have permission to sign
The dictation will pend if:

The dictating clinician is not a member of a Clinician (other) security group with the
permission of other electronic signature.
The signing clinician is not a member of a Clinician (other) security group with the
permission of other electronic signature.
Note: If the Clinician (other) security group includes all clinicians who have the final
right to sign, then you should apply this validation snippet to all dictations.

Information on distribution rules
Distribution rules send documents to specified locations at specific times. An e-signature
distribution rule sends a document to a clinician’s signature queue. Distribution rules for esignature should be specific and should not be combined with any other type of distribution.
Note: Distribution rules do not check against security groups when distributing a
document. It is possible for documents to go to a signature queue that a clinician cannot
access.
Prior to defining distribution rules, it is important that you clearly understand the filter
organization and which filters you need to use. The organization from biggest to smallest filters
is: institution, business entity, work type, and clinician. It is easier to maintain broader filters.
If you use a variety of scenarios, you must determine the smallest organization you need the
rule to apply. See the Document Distribution section in the EMon User Guide for more
information.
Note: You can regularly use the dictating clinician as a filter for the distribution rules. Be
aware that the clinician filter requires the most maintenance due to clinician turnover.
Note: When creating the distribution rules, do not select “All except these speakers” as a
distribution filter. If you use this filter, then documents can be distributed to clinicians
recently added to EMon who do not use e-signature. The only time you would use “All
except these speakers” is if all clinicians in a specific business entity signed with esignature.
Signature Notes
If an administrator adds a signature note to a document, the clinician(s) ability to view the
signature note are dependent on the e-signature workflow. Below is a list of who will see the
administrator’s signature note based on distribution method and workflow. For more
information on signature note, see the EMon User Guide.
If the distribution is custom, you can select who you want to receive the signature note, and
you do not have to determine where the document is in the signature workflow.
If manually distributed using pre-defined distribution rules:

Single Signature: clinician sees the signature note.

Parallel Signature: both clinicians see the signature note.
Tip: The first clinician to handle a document can add a note using the Save and Add
Note button followed by the Save and Sign button. Any note from an administrator
will be overwritten if a new note is added.

if first distribution rule runs, only the dictating clinician sees the signature note.
Tip: The dictating clinician can add a note using the Save and Add Note button
followed by the Save and Sign button. Any note from an administrator will be
overwritten if a new note is added.


if second distribution rule runs, only the signing clinician sees the signature note.
Group Signature: all clinicians in group see the signature note.
The signature note appears as a grey box when a clinician is viewing the transcription.
Information on prefill options
Your institution can select to prefill different parts of a dictation header. You can use prefill to fill
in the signing clinician field prior to transcription. Prefilling increases productivity for MTs and
decreases the occurrence of incorrect data. For example, if in a specific work type, all clinicians
dictate and sign their own documents, then you can prefill the signing clinician field header. To
set up the prefill, contact your Dragon Medical 360 | eScription representative.
Note: Prefilling only occurs once. If the dictating clinician is changed, then the signing
clinician must be manually changed.
Tip: Best practice is to prefill for your institution where there is a clear signing clinician for
a specific business entity and work type combination.

You can prefill the signing clinician field in the following ways:
If Not Speaker, Patient Visit Attending
The signing clinician field will prefill with the dictating clinician if he can electronically sign or
has the final right to sign. If the dictating clinician cannot sign or electronically sign, then
prefill will check to see if an attending clinician is specified in the ADT data. The attending
clinician will be added to the signing clinician field. If neither condition is met, then the
signing clinician field will not be filled.
Note: This prefill option does not check that the attending clinician has the final right to
sign or the right to electronically sign.
Note: This option cannot be used if dual signature is used, or if the dictating clinician
has the right to electronically sign.
If Not Speaker, Do Not Prefill
If the dictating clinician has the right to electronically sign or has the final right to sign, then
prefill with the dictating clinician. Otherwise, the signing clinician field will not be prefilled.
Information on additional components
Security groups, distribution rules, validation rules, and prefill options are all necessary when
setting up e-signature. They deal directly with the e-signature process. Other components,
such as interface, additional distribution rules, reports, and clinician access to NetScript, must
also be addressed when setting up e-signature.
Interfaces and other distribution rules
When setting up e-signature, you must evaluate your interfaces and other distribution rules to
identify any changes that will need to be made. For example, you must determine if you want a
document sent to the EMR before it is signed, after it is signed or at both times. You need to
identify any changes that need to made to your interfaces when you set up e-signature for your
institution.

Reports and eAlerts
Reports and eAlerts allow you to monitor e-signature. Certain eAlerts need to be turned on by
Dragon Medical 360 | eScription. For more information on the reports and eAlerts specific to esignature, see Appendix B: Monitoring e-signature on page 123.
Unsigning documents
Through EMon, administrators can unsign documents. Your institution may elect to turn on the
option to unsign a document. For information on unsigning documents, see Managing
Documents section in the EMon User Guide.

Common questions
e-signature is extremely flexible in its set up. The following section answers some questions
about e-signature’s set up, monitoring options, and uses.
Below are some common questions about e-signature.
Does the signing clinician header field always need to be filled in?
The signing clinician field does not need to be filled in if the dictating clinician is the final
signing clinician.
However, if you use, the Signing clinician field is empty or specifies someone without signing
permission validation snippet, then the signing clinician field MUST be filled in every time, or
the document will pend.
If you use this validation snippet, then it is best to prefill the signing clinician field when you
are able. For more information on prefilling, see Information on prefill options in Chapter
4 on page 92.
How do I tell if the documents are going to the wrong clinician’s signature
queue?
You can find where dictations are going by viewing the e-signature aging reports available in
EditScript Online. If you search by clinician, you can see if there are documents in an
inactive signature queue. You can find out more about monitoring e-signature through
reports in Appendix B: Monitoring e-signature on page 123.
If you need to check on a specific dictation, you can track the distribution of that dictation
through the document transmission history in EMon. See the EMon User Guide for more
information.
Clinicians who do not have permission to access NetScript are receiving
documents.
Check the distribution rules. If you set the speaker filter to “All except these speakers”, then
the distribution rule will fire for all speakers not listed.
Also, check the distribution rules to see that you did not accidently add the clinician to any of
the speaker filters. To correct this problem, simply remove the clinician from the filter.
Where can I find out how long a dictation has been in a signature queue?
Check the aging report located in the Reports and Productivity page in EditScript Online. If
your looking for all dictations past a certain number of days, you can sort the report by the
number of days unsigned. For more information on e-signature reports, see Appendix B:
Monitoring e-signature on page 123.
If you are looking for a specific dictation, you can search for it through the dictation tab in
EMon and view the dictation details there.
I have resident clinicians who sign in one work type but only review in another.
How do I set this up?
Simply make sure that Review Only is checked on the recipient properties dialog in the
distribution rules for documents that are being reviewed.

Chapter 4: Implementing e-signature
I need to distribute the document before and after it is signed.
When distributing a document before and after signing, it is recommended that you use two
distribution rules.
The first distribution rule should contain an indicator (ISCopyIndictator) to identify that the
document is unsigned. The rule should run when the transcription is uploaded.
The second distribution rules should contain an indicator (ISCopyIndictator) to show that
the document is signed. The rule should run when the document is signed.
For more information, see the EMon User Guide.
Is NetScript available in formatted text?
Currently, the editing of formatted text is not supported by e-signature. However, you are
still able to print documents as formatted text.
If edits are made to formatted text, then the document will lose any existing formatting.
I deleted a clinician but there are still documents in the signature queue.
If you remove a clinician from NetScript security groups, their signature distributions are not
removed. The clinician must be removed from the distribution rules. If the clinician is not
available to sign the remaining documents, then you need to contact a
Dragon Medical 360 | eScription Support representative to remove the documents from the
signature queue. For information on deleting a clinician using e-signature, see the Managing
Clinicians section of the EMon User Guide.
I have a clinician in my system with two speaker IDs from two different business
entities. Is there any way he can sign in just one signature queue?
If the clinician wants to do single signing, you can use group signature if you have a clinician
with two IntelliScript IDs from two business entities. You can create a group so that
documents from both IDs will go to one signature queue.

Getting started with NetScript Options
Before you can use this feature, you must:

Activate NetScript Options and Headers Management through the Applications
Feature dialog. See the EMon User Guide for more information on this dialog and for
instructions on activating features. Once you enable this feature, NetScript Options
appears in the Tools menu.
IMPORTANT! Once you enable this feature through the Applications Feature dialog,
you must log out and log back into EMon before the feature is available in the Tools
menu.

Belong to an Administrator EMon permissions security group that has the Manage
NetScript Options permission enabled. For more information on security groups and user
access rights, see the EMon User Guide.
Note: This permission is not automatically added to security groups with EMon
administrator permissions. You must add it manually.

Configuring General NetScript properties
Through the General tab of the NetScript Options dialog you can enable a timeout feature for
NetScript, give all users the ability to save documents via NetScript, as well as configure
several other search and signature settings. Follow the steps below to configure these
properties.

Click on the General tab. Configure one or more of the available options. Click OK.
Timeout
Select the On radio button to create a timeout period for NetScript users. All NetScript
sessions will automatically expire if they have been inactive for the number of minutes
you specify in the Minutes field. This functionality is useful for security purposes. Select
the Off radio button to deactivate the timeout period.
Allow searching for intermediate statuses
Select to allow searching in NetScript for dictations that have no audio, are suspended,
deleted, abandoned, or being recorded.

Use business entity short name on search page
Select to display short names in the business entity drop-down list on the dictation
search page in NetScript. By default this option is disabled and business entity
descriptions are displayed in the drop-down list.
Allow everyone to save changes in NetScript
Select to allow eScriptionists and administrators to modify and save changes to
documents in NetScript. By default this option is disabled so that only clinicians have
this capability. In order for users other than clinicians to modify and save documents in
NetScript, they must also belong to a NetScript security group with the permission to
modify documents.
Display review status information
Select to see when a dictation has been reviewed in the co-signature workflow. This is
useful for signing clinicians who wish to see if the document has been reviewed before
signing. See EditScript Online/NetScript User Guide for more information.
Limit eScriptionists to signed and unsigned documents
Select to limit the statuses that MTs can search on to Unsigned, Partially signed,
Signed, and Transcribed.
eSigner permission override
Select to allow certain permissions to be granted to signing clinicians for documents in
their queues. If a clinician has the right to search and electronically sign a document,
the eSigner permission override will enable the ability to modify, pend, and unpend
only documents that are in the clinician’s signature queue. This greatly enhances the
control you have over documents and saves you time when assigning permissions to
clinicians.
The e-signature permission override needs to verify the following conditions:

The clinician has the right to electronically sign the document.

The document is in the clinician’s signature queue.

The e-signature permission override has been enabled.
If all conditions are met, the signing clinician will be able to modify, pend and unpend
the document she needs to sign.
Only eSigners can print
Select to disable the Print button for administrators and MTs. See Printing from
NetScript on page 118 for more information on how to restrict the Print button.
Prevent Signature When Blanks Are Present
Select to require clinicians working in NetScript to resolve document blanks when
attempting to sign a document. When viewing a document with blanks in the rich text
editor, the blanks will be highlighted. After modification of a blank, whether by a cut,
paste, or drag and drop operation, or by typing, it will be unhighlighted. If the
document still contains blanks on signature, the clinician will see an error indicating
how many blanks remain. Also, when saving or signing, any new blanks created since
the document was opened will be highlighted.

Configuring NetScript Listings Page properties
Through the Listings Page tab of the NetScript Options dialog you can define what columns
appear in the search results, determine the initial appearance of the check boxes (checked or
unchecked), determine which dictation statuses appear with a check box, and define whether
logout appears as a link or a button. Follow the steps below to configure any of these
properties.
Note: You cannot customize column labels using this dialog. Contact your Support
representative to customize column labels. If you upgrade to this version, and your system
already uses custom labels, you will not see them in EMon, but they will appear in
NetScript.

Select the columns that are displayed in the search results on the Listings page. There
are six standard columns (Clinician, Confirmation Number, Dictation ID, Patient Name,
Work Type, Status) that always appear and cannot be deactivated. The next ten
columns listed are enabled by default, but can be disabled.
Note: If you are upgrading, your current column configuration will be retained.

Logout Appearance
Determine the appearance of the logout option on the Listings page by selecting either
Link or Button (link is the default value).
Disable View Text For All Documents
Select to disable all check boxes on the search results page so that documents cannot
be viewed or printed. All appropriate search results and columns still display. In
addition, you can listen to audio if it is available.
Show Checkbox for Documents with Status
Determines whether or not documents with the Pending or Checked Out/Ready for
Editing statuses are displayed with check boxes.
By default, check boxes (which allow you to view or print a document) do not appear
next to dictations with a status of Pending in the Listings page. Select the Pending
check box to display check boxes next to pending dictations on the NetScript search
results page.
By default, check boxes do not appear next to dictations with statuses of Checked Out
or Ready for Editing. These statuses correspond to dictations that have been speech
recognized, but not yet edited by a transcriptionist. Select the Checked Out/Ready For
Editing check box to show check boxes next to these dictations.
Default Search Result Checkbox Appearance
Determines the default status of all check boxes by selecting either Checked or
Unchecked. By default, all check boxes next to dictations in the Listings page are
unchecked initially.
Default Signature Queue Checkbox Appearance
Determines the default status of all check boxes in the Signature Queue by selecting
either Checked or Unchecked. By default, for all providers at the institution, all check
boxes next to dictations are checked initially.

Action Buttons
Select the action buttons available to users on the Details page. The buttons you select
here apply to all users, including e-signature users, except Pend with Note, which only
applies to non-signers. The Pend with Note button is always available for e-signature
users, so enabling or disabling it will only affect non-signers. To allow users to
distribute manually from within NetScript (via print, fax, or email), check the Save &

Highlighting
Select Blanks to enable highlighting of five or more underscores. When enabled, these
blanks appear in red when you view a dictation.
Select Search Terms to enable highlighting of the search terms entered in the full-text
search. When enabled, the terms you searched for appear highlighted in yellow when
you view a dictation.
Note: In order to perform full-text searches, you must enable the feature in the
Application Features dialog.
Magnify
Select Document & Header Text to allow NetScript users to increase font size on the
Details page. Users can adjust the font size (via a toolbar) when viewing a report in
NetScript.
Enable Full Width Text
Select this option to increase the size of the editing window (which contains the
transcription text) so that it stretches to fill the browser window. This allows users to
view more of the dictation text at once.
Signature
By default, the Print button is enabled for all users, but it can be disabled for clinicians
if you do not want them to be able to print. When this option is enabled, clinicians will
see the Print button from the Details page when viewing a document. When it is

disabled, they will not have the option to Print from the Details page. See Printing from
NetScript on page 118 for more information on how to restrict the Print button.
Printing from NetScript
By default, the Print button in NetScript is enabled for all users. When you want to restrict
printing from NetScript, use the print settings in the NetScript Options dialog. There are two
settings that determine which users can print: Only eSigners can Print (on the General tab) and
Signature Print (on the Details Page tab). Depending on which users you want printing from
NetScript, use one of the combinations below.
Note: Printing is restricted based on whether the user is a clinician or an administrator/MT.

Configuring NetScript Spell Check properties
Through the Spell Check tab of the NetScript Options dialog you can specify the default
dictionary that will be used for spell check and select which dictionaries will be available to
NetScript users. Currently, US English and UK English dictionaries are available.
Note: If your institution uses NetScript’s Spell Check feature (enabled in EMon via Tools>
Application Features), there must be at least one dictionary selected as Available, and one
dictionary designated as the Default.
Steps:

Select NetScript Options from the Tools menu.
The NetScript Options dialog appears.

Click on the Spell Check tab. Specify a default dictionary and select which dictionaries
will be available to NetScript users. Click OK.

Document Selector for Group Signature
Currently, in eSignature’s group signature workflow, whenever a document is distributed for
signature, it is distributed to all of the clinicians in the group. When a clinician logs in to
NetScript to sign, all documents for clinicians in the group are present in his/her signature
queue.
A new EMon option on the Application Features dialog called Document Selector for Group
Signature (Tools menu> Application Features) allows clinicians who are part of group
signature to view only documents for which they are the speaker or signing clinician.
With this feature enabled, a new drop-down menu appears on the Search results page for all
clinicians. It contains two options:

View own documents - shows only the documents for which the logged in clinician is the
speaker or signing clinician (selected by default).

Monitoring
e-signature
You can monitor e-signature through esignature reports and the signed documents
option in EMon eAlerts.
The aging (e-signature) report displays
documents that have a status of unsigned.
The signed document option in the Complete
Daily SummaryeAlert can display which
documents were signed within the last day, or
X number of hours. These options are very
useful for monitoring e-signature and keeping
track of your backlog.

Aging Reports
The aging (e-signature) reports are available by request on EditScript Online. They contain
information about unsigned documents in clinicians’ signature queues. There is both a
summary and a detailed report. Aging reports are updated daily and archived monthly.
The number of days unsigned is based on the discharge date. However, the number of days
unsigned can be set to start from the date of transcription. Contact your
Dragon Medical 360 | eScription Support representative if you wish to change the start date.
Note: If your institution uses group signature, it is possible to have an inflated number of
unsigned documents in the aging report. If a document is distributed to five clinicians in a
group, then the report will display the document as being in five signature queues. When
the document is signed, all five instances of that one document will be removed from the
aging report.
The reports are in Microsoft Excel and contain the following information:
•
Clinician: the clinician who is responsible for signing or reviewing the document.
•
Dictation ID: the unique ID for the dictation associated with a specific patient visit.
•
MRN: the unique medical ID number for the patient.
•
Account Number: the unique visit ID number.
•
Patient Type: the patient type
•
Work Type: the type of report dictated, e.g. operative note.
•
Business Entity: a subdivision of your medical institution.
•
Admit Date: the date of admission.
•
Discharge Date: the date of discharge.
•
Date Transcribed: the date the dictation was transcribed or edited.
•
Days Unsigned: the number of days from the date of discharge that the transcription
has been unsigned.
To sort the information in the detailed report follow the steps below.

Reports page.

Select the sort criteria you want to use, such as business entities, then clinician and
whether you want to view them in ascending or descending order.

To subtotal the number of documents per business entity:

Signed Documents (eAlerts)
Information about which documents have been signed the previous day, or in the last X number
of hours, can be sent to you daily via email. An option called List documents that were
signed is available in the Complete Daily Summary eAlert in EMon (EMon>Tools menu>
eAlerts). For information on how to set up this eAlert, see the eAlerts chapter of the EMon
User Guide.
Tip: If you have EDT/Status, then your deficiency system will automatically be updated.
The list of signed documents will be in the body of the email and include the following
information:

Dictation ID: the unique ID for the dictation associated with a specific patient visit.
•
Signed At: the date and time the document was signed.
•
MRN: the unique medical ID number for the patient.
•
Account Number: the unique visit ID number.
•

ActiveX
A Microsoft software module that allows a program to add functionality by calling ready-made components that blend in and
appear as normal parts of the program.
EditScript Online uses this to install Microsoft Windows Media
Player as the default audio player for listening to dictations, and
Microsoft Word as the default .rtf text editor for printing transcriptions.
Administrator
A Health Information Management (HIM) administrator. One of
the three main users for EditScript Online.
Business Entity
The name of a subdivision within an institution network using
Dragon Medical 360 | eScription products.
Clinician
The physician responsible for creating a dictation. Also known as
a Dictating Clinician. One of the three main user types for
EditScript Online.
Confirmation Number
The unique transaction number automatically generated for the
Clinician after each Dictation is recorded.
Dictation
The audio record associated with a specific patient visit.
Dictation ID
The unique ID for a Dictation.
Document
The combined audio and text data associated with a specific
patient visit.
EditScript Online
The web portal resource that allows Administrators, Clinicians,
and MTs to securely access data and online technical support
from Dragon Medical 360 | eScription. Important features include
NetScript and e-signature.

NetScript
An Dragon Medical 360 | eScription product that allows Administrators, Clinicians, and MTs to search for patient Documents.
Other Clinician
A clinician who is not the final signing clinician.
Order Code

Order Number
The unique ID for a product or service ordered with regard to a
specific patient visit.
Patient Account Number
The unique account number associated with each patient.
Rich Text Format
A method of encoding both formatted text and graphics for easy
transfer between software applications.
NetScript and e-signature use this method to print transcriptions
with the correct formatting.
Right to Sign
The clinician’s right to legally sign documents in any format. A
final signing clinician needs this right.
Right to Electronically Sign
The clinician's right to sign documents using e-signature. Dictating clinicians and final signing clinicians who sign in e-signature
need this right.
Signing Clinician
The physician responsible for final signature of a document.
Speaker Code
The unique ID for a clinician. Also known as the clinician ID.
Status
The state of completion of a dictation in the
Dragon Medical 360 | eScription process.
Transcription
The text record created from a dictation associated with a specific
